1 to Another Organizational Unit Contents Procedure Overview Step 1: Transferring a Position Step 2: Appointment Change (if applicable) Procedure Overview Overview To gain an understanding of how an HR Generalist or Decentralized Personnel Office of the originating department can transfer a position to another Organizational Unit by recording the following: Position Number Effective Date of Transfer New Org. Unit New Reports to (if applicable) New Subordinate position/s (if applicable) (FINAL) please contact HRIS Support

2 Step 1: Transferring a Position Click on the following path: Human Resources Organization Management Tools Object Fast Entry Position Maintenance Transaction Code: ZHPU003 Fast Entry Position Maintenance - Initial 1. Enter the position number in 2. Enter the effective date of transfer NOTE: Effective date of transfer must be current year. 3. Click or press Enter key to display position title. 4. Click on the Execute button Fast Entry Position Maintain - Details The following are greyed out and are defaulted based on the job attached to the position. Job 1008 Account Assignment Features 1013 Employee Group/Subgroup 1. Maintain 1001 Relationships. a. Enter the new org unit of the position to be transferred in the Org Unit field. (FINAL) please contact HRIS Support

3 2. Maintain 1001 Relationships: Reporting Relationships, if applicable. a. If applicable, enter the new manager s position number of the position to be transferred in the Reports to field. b. If the position to be transferred has subordinate position/s, click (Create) in the New Subordinates section and enter the following information: i. Subordinate Position Number ii. Effective Date of the subordinate reporting relationship Note: Click (Insert row) to add more subordinate positions. (FINAL) please contact HRIS Support

4 3. Maintain 1002 Descriptions: New Descriptions, if applicable a. Click to enter details for the position transfer. i. Select applicable subtype ii. Click to enter details of transfer iii. Click. 4. Click to verify changes made. 5. Click to process position transfer. 6. Click to check if position was transferred successfully. (FINAL) please contact HRIS Support

5 If NO employee is attached to the position, the update process is complete. If there is an employee attached to the position, the HR Generalist or Decentralized Personnel Office MUST process STEP 2 to reflect the employee s new position title in the HR Master Data. Step 2: Appointment Change (if applicable) Click on the following path: Human Resources Personnel Management Administration HR Master Data Personnel Actions Transaction Code: PA40 Personnel Actions 1. Enter the personnel number 2. Enter the effective date of the position title change in the from field. 3. Click on appointment change 4. Click Execute Copy Action Screens Populates (Automatically) 1. Select the reason for action 2. Click on 01- Org Unit Transfer 3. Click or press ENTER. 4. Click to SAVE. Copy Organizational Assignment (0001) Screen Populates Organizational Assignment (0001) Screen Populates (Automatically). This screen shows the Main or Primary position for the Staff Member. Verify that the appointed Staff Member is connected to the correct organizational unit (a.k.a. Home Department). 1. Verify the information populated on this screen or change if necessary. 2. Click or press ENTER (FINAL) please contact HRIS Support

6 Note: The new organizational unit will be displayed. 3. Click to SAVE. Copy Contract Elements Screen Populates (Automatically) 1. Click to end the process. (FINAL) please contact HRIS Support
