1 CHECKPOINT LEARNING FIRM IMPLEMENTATION QUICK Welcome to Checkpoint Learning Welcome to Checkpoint Learning - your one-stop shop for continuing education, compliance tracking, and program management! Before following any of the steps below, you are encouraged to take all the relevant trainings designed for Firm Administrators. Each product has a recorded and/or live training schedule. Each product also comes with reporting abilities and training on the reporting features within Checkpoint Learning. 2 SET UP YOUR FIRM ACCOUNT Set Up Your Firm Account Here is how to get started in your Checkpoint Learning account: Create Administrative Groups: Administrative Groups are used to organize the professionals in your account. Groups can be based on staff title (Associate, Senior Associate, Manager, Senior Manager, and Partner, etc.), location (multiple offices), departments, licensed and non-licensed etc. Add Sponsors: For those CPE providers that your firm uses regularly, create a sponsor profile to expedite entering CPE for your learners. The sponsor profiles will appear in the drop down menu as options for the Add Activity and Add Activities options. If your learners have write-access, they will be able to select the sponsors you add for your organization. Add Locations: Are you using Checkpoint Learning as your firm s learning management system to manage your in-house programs? Do you have multiple offices or training rooms in one office? If so, add these separate locations as options to select for your in-house program offerings. Policies: Instead of marking your personal calendar with a reminder to send out an to remind your staff to check their status reports, have Checkpoint Learning do this for you. Set up policies to set a reminder based on a specific date, period, regulator, or administrative group. The reminder can go out annually, monthly, at a specific date, or even a set amount of days prior to a deadline. Add the Firm Logo: Send a copy of your firm logo in either a gif or jpeg file, and our Support Team can upload the logo to your firm account. Your logo will display in various pages for your staff as well as Administrators. Add the Firm Signature: If your firm is a sponsor of CE programs, have your certificate signer sign a blank piece of paper three times and submit the signature to CPL Support to upload to your organization. Customized Message for Learner s Homeroom: Create a message for your learners to see first thing when they login to their Homeroom. From listing specific courses to providing support contacts or links to the Checkpoint Learning Professional Training, you can make it easier for Learners to know what to do and who to contact for help. Customizing Learner s Accounts: As the Administrator, you can turn off (or on) the marketing and other Thomson Reuters CE-related advertisements provided to Learners on their Homeroom as well as their ability to make purchases or peruse Thomson Reuters vast course options. Add RSS feeds from your company s Facebook or Twitter accounts and more. Documents! From the questionnaires asked to set up the tracking component, to spreadsheets for importing data into your account, to external CPE entry forms, to learner guides and instructions; we have got a collection of documentation for you to use and customize. 3 COMMUNICATE TO YOUR END-USERS Communicate To Your End-Users A great rule of thumb is to provide valuable information in different formats and at different stages of implementation: 1. Verbal e.g. If your company can do this, recorded an introduction phone call and send to all End- Users. And/ or relay the message in the firm or department meetings. 2. Electronic e.g. your End-Users about Checkpoint Learning, how you will be using it, why and how it will be a benefit to them. Utilize our template with user guide and training links. Post coming soon information on your company intranet. 3. Paper e.g. Paper (electronic copy) of what they need to know, how to use and include support and other resources all in one place. If your firm has an intranet, place this information next to the shortcut to Checkpoint Learning. Time Frame (Insert Your Own) 2 weeks before DATE 3 days before DATE Day of DATE End User Training DATE Description Announcement to the Firm that you will be using Checkpoint Learning. Reminder that the firm is rolling out Checkpoint Learning. End-Users everything they need to get started and any specific instructions they need to complete. Provide live or recorded end-user training. Training can be provided as a group or offer users to watch on their own (recorded versions only). Develop in-house training to include business processes and direction for things like external CPE, account corrections, content support or purchase-ability. Purpose What it is, how it will be used (CPE, tracking, learning plans, in-house management, etc.), when it will be rolled out and how/when training will occur. 4 EDUCATE YOUR END-USERS Educate Your End-Users Gain the true value of Checkpoint Learning by training your End-Users on how to use the tool. Thomson Reuters provides recordings of the different modules. Organizations with 50 users or more can schedule a one-time virtual live customized training that will be recorded and provided to the firm for future use. 5 MANAGE YOUR ACCOUNT Manage Your Account Utilize Checkpoint Learning to its fullest! Each End-User s account is the perfect place to be the repository for all things CE related; certificates of completion, licenses, biographies (for those who instruct) and more! These items can be attached to specific professional accounts. Should the professional terminate with the firm, you can release the account so that the End-User can maintain their documentation as well as purchase to use Checkpoint Learning on their own. Thomson Reuters can provide terminated End-User data to you or re-link the detached account as needed. Additionally, you may find that new employees have had Checkpoint Learning account previously to joining your firm. Note: Contact Checkpoint Learning Support to request such accounts be linked or merged to your Organization. Finally, be sure you have completed all applicable Checkpoint Learning platform training; specific module training (e.g. Compliance Tracking, University for In-House Management, Competencies, Learning Plans, Subscription Packages), report training, custom settings training. Each training is designed to show you the various tools and how to use them to track and train your staff. Regardless of your firm size or what your Organization has purchased; your Sales Representative, Checkpoint Learning Support, and Checkpoint Learning Trainers are ready to launch you and your Organization onto the Checkpoint Learning Platform.
