1 Job Posting Title Mentoring and Coaching Program Manager (M&C Prog Mgr) Company Doctors Without Borders/Médecins Sans Frontières (MSF) is an international humanitarian organization that delivers impartial medical care to people affected by conflict, epidemics, disasters, or exclusion from health care in over 70 countries. Department The Field Human Resources Department (Field HR) is responsible for recruitment, selection, placement, and retainment of qualified and well-suited field staff to meet the growing needs of MSF field operations. Project Under the supervision of the PMU Manager, and in collaboration with the Mentoring and Coaching Hub (MCHub) in Oslo, the Mentoring and Coaching Program Manager (M&C Prog Mgr) is responsible for leading the implementation of OCP s mentoring and coaching programs for all field staff, and, occasionally, for HQ staff. S/he reviews each needs assessment for both mentoring and coaching requests to determine which program will be the most appropriately learning intervention to enhance the performance of OCP field staff. The M&C Prog Mgr leads the development of a pool of mentors, ensuring that they are trained in MSF workshops and matched with a mentee. The M&C Prog Mgr may also facilitate trainings and other initiatives designed to enhance the management competencies of MSF staff with a specific focus on OCP. Tasks I. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Identifying, Matching and Follow up of OCP Mentors and Mentees (50%) In collaboration with OCP Pool Managers, and in response to direct expressions of Interest, the M&C Prog Mgr identifies potential Mentors for validation by the Mentoring Committee / Heads of Department. Once validated, the M&C Prog Mgr: contacts each potential Mentor individually and conducts a preliminary information call to introduce the Mentoring program and extend the formal invitation to become a Mentor. schedules each prospective Mentor to attend a Level One MSF Mentoring Workshop confirms after the workshop each Mentor s interest in being matched and their availability

2 Potential Mentees all have introductory call with the M&C Prog Mgr to: determine if mentoring is the best solution for him/her explain the objectives and procedures of the Mentoring program, and, review the Mentee s self-assessment form. The M&C Prog Mgr proposes Mentors to Mentees and ensures that they have a first Let s get to know each other call. If the Mentor is selected by the Mentee to work together, the M&C Prog Mgr encourages both to complete the Mutual Agreement before starting the Mentoring relationship. Once a Mentee has selected their Mentor, the M&C Prog Mgr completes all additional steps of the Mentee s orientation. During the course of the Mentoring relationship, the M&C Prog Mgr checks in with both the Mentor and Mentee and remains available to provide technical oversight and general support. Encourages Mentors to attend conversations scheduled in the online Mentoring Café. At the conclusion of each Mentoring relationship, the M&C Prog Mgr: Debriefs both the Mentor (in all cases) and Mentee (on request) Ensures that they are sent the end of Post-Mentoring Relationship survey Checks the availability of the Mentor for a new Mentoring relationship For experienced Mentors, the M&C Prog Mgr proposes further professional development either by attending the Level Two Mentoring Workshop or the annual MSF Mentoring Retreat. Administration of OCP s Mentoring Program (15%) Liaises with OCP Pool Managers and RRHs to identify and propose experienced MSF field and HQ staff as potential Mentors. Develops and implements an ongoing communications strategy to maintain awareness of the Mentoring program with current and past MSF HQ and field staff. Oversees the translation of all materials into English, French and Arabic (as needed). Maintains records of all Mentoring relationships in the Salesforce database, reporting quarterly on key metrics. Liaises with: the MCHub and other OC Mentoring Referents to ensure consistency and collaboration about Mentoring issues across the MSF movement. the MCHub to conduct periodic evaluations to ensure the ongoing efficacy of the Mentoring program. other OCP managers to determine whether the Mentoring program can be extended to new profiles, and then takes steps to implement in line with other profiles. Facilitation of MSF Mentoring Workshops and other Initiatives to support OCP s Mentoring Pool (20%) In collaboration with other MSF Mentoring Referents, schedules and facilitates MSF Level 1 and Level 2 Mentoring Workshops and contributes to the ongoing refinement of MSF s Mentoring workshops.

3 Either independently, or in collaboration with other MSF Mentoring Referents, develops and facilitates a series of online conversations for Mentors, the Mentoring Café, to reinforce key practices and build a learning community for current and past Mentors. Contributes to the PMU s quarterly newsletter, highlighting key data and Mentoring-related messages for MSF-USA and all OCP managers. Supports the MCHub to organize an annual Mentoring Retreat for experienced Mentors. Oversight and Administration of OCP s Coaching Program (10%) Liaises with OCP Pool Managers, RRHs, Department Directors, OCP s L&D department, HoMs, and MedCos to ensure that coaching is considered as one of the L&D options available to the target staff. Reviews all Coaching requests before sending them to the MCHub s Coaching team to be matched with an appropriate Coach. Conducts introductory calls with the Coachee (Individual Coaching) or Team Manager (Team Coaching), Develops and implements an ongoing communications strategy to maintain awareness of the Coaching program with current MSF HQ and field staff. Oversees the translation of all materials into English, French and Arabic (as needed). Liaises with MCHub and other OC Coaching Referents to ensure consistency and collaboration about Coaching issues across the MSF movement. May maintain a record of all OCP Coaching relationships in the Salesforce database, reporting quarterly on key metrics. Liaises with the MCHub to review the periodic evaluations they complete of each Coaching Package and to contribute to reflections about the ongoing efficacy of the Coaching program. Facilitation of Field Management Training (FMT) Courses (5%) Facilitates at least 2 FMT sessions each year and participates in internal PMU workshops to review and/or develop new FMT materials, Contributes to other training initiatives in the MSF movement when applicable. II. SUPERVISORY RESPONSIBILITIES Supports identifying and orienting potential mentors, in close collaboration with OCP Pool Managers. Matches and provides technical support to mentors during each relationship. Does not directly supervise any regular permanent staff but may give assignments to and coordinate work with interns and/or office volunteers. III. FISCAL RESPONSIBILITY Has indirect fiscal responsibility for all costs related to Mentoring Workshops and other learning events for the mentoring and coaching pools.

4 IV. EXTENT OF PUBLIC CONTACT Within the MSF movement interacts with all levels of staff, field workers and colleagues primarily in OCP to deliver mentoring workshops. V. PHYSICAL DEMANDS While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within the context of a moderately noisy office with many interruptions. Must be able to proofread own work accurately so that only minor corrections are needed on an infrequent basis. To travel to the field (usually in the developing world), the employee must attest to physical fitness to endure physically difficult, high stress situations which may include the necessity to walk long distances, carry a backpack or other equipment of up to 50 pounds, to ride long distances over very poor road conditions, to eat a limited diet and/or to reside in potentially uncomfortable housing or tents. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. WORKING CONDITIONS, TRAVEL AND ENVIRONMENT The duties of the job require regular attendance 5 days per week for a minimum of 35 hours. Must be available to work before 9:00 am, and after 5:00 pm or on weekends, as required. Some flexibility required as not all mentors and mentees may be available during U.S. working hours. Must be able to travel as required for domestic and international business travel as well as to MSF field projects. While performing the duties of this job in the field, the employee may be exposed to precarious settings under high security and/or very basic living conditions and outside weather conditions. Qualifications Essential Minimum 2 years MSF field experience, including experience in a coordination position. Experience delivering training sessions to HQ and field staff (structuring materials, presenting information, animating discussions and answering questions). Genuine interest in and commitment to the humanitarian principles of MSF. Demonstrated leadership skills and ability to contribute to the development and implementation of strategic orientations. Excellent interpersonal skills and prior experience resolving employee relations issues. Demonstrated ability to effectively manage and develop staff. Excellent communication skills in English and French (written and oral); Arabic and Spanish preferred. Ability to write reports and communication materials. Ability to handle a large volume of work and to work under pressure. Excellent judgment and diplomacy.

5 Strong computer literacy, including ability to use word processing and spread-sheet and database software and to search the internet for research purposes. Outstanding proven time management and organizational skills; Ability to prioritize ongoing vs. immediate needs appropriately Ability to travel within the United States and to Europe, and to facilitate field trainings for several weeks at a time, as needed. Desirable Minimum 3-5 years management experience, plus bachelor s Degree, or equivalent combination of education and experience.
