1 FORM TITLE ACTING ASSIGNMENT - MSS PAGE 1 Step 1 Go to the KAUST Portal link, fill in your user ID and password and click enter. Step 2 On the top of the portal, click on the Manager Self-Service tab.

2 FORM TITLE ACTING ASSIGNMENT - MSS PAGE 2 Step 3 Once the MSS screen is loaded, then select full screen mode of the My Team Panel.

3 FORM TITLE ACTING ASSIGNMENT - MSS PAGE 3 The My Team full screen mode, the screen will open on People view, click on Organization view. The My Team Organization view displays your top organizational unit.

4 FORM TITLE ACTING ASSIGNMENT - MSS PAGE 4 Step 4 From your top Org Unit, the system will display the number of position reporting to you. Click on the body of the Org Unit as shown. Click on the Position view.

5 FORM TITLE ACTING ASSIGNMENT - MSS PAGE 5 Step 5 To search for the vacant acting position simply entering the position name to the search box on the top right hand side of the My Team full screen. When you start typing into this search box, the system will display possible positions reflecting on the text entered. Click on the position you wish to process. Step 6 From the correct position, click on the Menu icon, select the menu option Request an Acting Assignment.

6 FORM TITLE ACTING ASSIGNMENT - MSS PAGE 6 Step 7 New window for requesting Acting Assignment for Position will open. Please note: Your internet browser must be set to allow pop-up in order for this to work. If you need assistance, please contact IT Helpdesk. Fill in the Effective Dates From and to sections for the acting position. Step 8 Assign the employee to take on the Action Position. Either enter the Employee Number to Assign position to field or Select the employee who will filling the position by clicking on the square button as shown below for Organizational Structure Search. If you select the Organizational Structure Search functionality the below screen will appear, find/select your employee and then click Select.

If this the first time the employee is acting for this position select First Acting Assignment Otherwise if employee is already acting for this position and require to extend the period then select Renewal.

Step 10 Click the Check button, the system will verify your entry and inform you if any part of the form needs correcting. Once all critical errors are resolved then click on the Send button to submit the request. Step 11 The process for acting assignment have been requested.

10 FORM TITLE ACTING ASSIGNMENT - MSS PAGE 10 Standard Operating Procedure 1. Purpose The purpose of this document is about requisition for Acting Assignments i.e. when a position becomes vacant or the incumbent is on extended leave, another personnel member is assigned to fill the vacant position as the Acting Assignee. 2. Scope This shows the form that is filled out by the initiator and followed by approver. 3. Validations The period of acting assignment could be from 2 weeks to 12 months. Acting Assignment (up to 12 months) Director, People Services Upon endorsement by the functionally responsible VP or Dean and in accordance with approved policy (So Director People services will be the last Approval in these cases and will have to update SAP) 4.
