1 JOB DESCRIPTION Job Title: Sustainability Projects Officer Grade: SG6 Department: Estates and Facilities Date of Job Evaluation: Role reports to: Head of Sustainability Direct Reports Student interns Indirect Reports: Internal environmental auditors tbc Other Key contacts: Staff including senior management, students, consultants, contractors and suppliers working for the University This role profile is non-contractual and provided for guidance. It will be updated and amended from time to time in accordance with the changing needs of the University and the requirements of the job. PURPOSE OF ROLE: Reporting directly to the Head of Sustainability the post holder will assist with the promotion and implementation of the University s Sustainability Policy, contributing to the effective management of the University s environmental impacts, raising awareness about and encouraging the adoption of sustainability best practice across the University. A key focus will be on the development and delivery of projects that create sustainability outcomes that bring broad strategic benefits to the University. This will include managing the maintenance, improvement and expansion of ISO It will also include the delivery of specific projects, facilitating and capacity building within departments and creating projects that meet local and university wide needs. This will include projects focused on for example energy, procurement, communications and education for sustainable development and also training staff and students. The post holder must possess a broad knowledge of sustainability issues and a high level of confidence in dealing with a wide range of University stakeholders. KEY ACCOUNTABILITIES: Team Specific: Work with and report to the Head of Sustainability on the development of policy and strategy for sustainability at the University. Maintain, improve and expand the University s sustainability management system (ISO 14001). Ensure key staff are trained and managed to deliver internal audits to ensure ISO and environmental compliance. Initiate and take forward defined sustainability programmes covering a range of areas and collaborate and actively work with internal and external partners in their successful management and delivery. Support development and maintenance of appropriate environmental monitoring systems, surveys and audit processes and their incorporation into existing systems, procedures and records. Contribute to accurate data collection, monitoring and reporting requirements and support the collation of data and evidence for awards and benchmarking for external

2 and internal reporting requirements. Support achievement of the University s sustainability targets by assisting with the development of and implementation of sustainability projects. Actively support the Projects Officer to help deliver the University s staff sustainability champions programme (Green Impact) and ensure continued staff participation from across the university and with the recruitment and management of student sustainability volunteers and interns. Increase staff and student knowledge and awareness of sustainability issues and promote the University s sustainability work. Provide good practice advice and support the practical implementation of sustainability projects on campus to the University s staff, students, committees, Faculties and departments (examples include sustainable labs, sustainable food, biodiversity, carbon reduction, waste minimisation and curriculum). Engage and liaise with teaching and research staff, students and other sustainability related groups and individuals in support of the integration of sustainability into the curriculum. Develop placements for students that are credited through their curriculum. Provide sustainability advice for wider Estates and Facilities university contracts and review products with a sustainability impact. e.g. cleaning and catering tenders, catering services. Act as an ambassador for the sustainability team and deliver effective communication of its aims and objectives in liaison with the University s communication team, the Student Union and through other partners and external channels. This will include the creation of internal and external sustainability communications, and maintaining and contributing to development of the sustainability website, blog and social media channels. Support the coordination of an annual Green Week and a Sustainability Awards event and contribute as part of the sustainability team to University wide events. Assist in the development and delivery of sustainability training for staff and students, e.g. new staff inductions, staff and student sustainability volunteers, departmental training, student lectures and workshops. Represent the University externally at sustainability related and higher education networks e.g. London University Environmental Group and actively network with other university s sustainability officers to ensure sharing of best practice across the sector. Research and identify opportunities to fund sustainability projects from external sources. Generic: The post holder will be expected to be flexible and help develop a changing role and carry out such other appropriate duties as may be required from time to time in connection with the University s sustainability agenda, the Estates and Facilities Operating Plan and the University s Strategic Plan. To keep effective records in line with best practice requirements. Communicate effectively across all levels, internally and externally, both in writing and orally and represent the university in a professional manner. Prepare agendas, and write minutes for meetings.

3 Obtain tenders/quotations from contractors and suppliers. Managing Self: Engage in professional development opportunities to keep skills relevant and maintain an up-to-date interest and knowledge of new developments in sustainability, relevant legislation and technology and attend training courses as identified with line manager. Manage a variety of initiatives and projects from inception to completion. Agree briefs with stakeholders and prepare programmes and budgets. This will include identification of critical decisions, monitoring progress against programme and budget, and reporting to senior management. Ability to work independently on initiatives, make independent decisions, play a part in taking collaborative decisions and provide information to others with the guidance of and support from the Head of Sustainability where required. Work using effective time management, demonstrating the ability to prioritise tasks, meet deadlines and work accurately under pressure. Core Requirements: Adhere to and promote the University s Equality and Diversity and Information Security policies Ensure compliance with Health & Safety regulations Support and promote the University s Sustainability policies, including the Carbon Management Plan, and carry out duties in a resource efficient way, recognising the shared responsibility of minimising the university's negative environmental impacts wherever possible. Additional Requirements: Frequent inter-site travel will be necessary as will attendance at regional and national meetings and conferences. KEY PERFORMANCE INDICATORS: Performance objectives will be established in consultation with the Head of Sustainability as part of the post-holder s annual Appraisal and Professional Development Review. Likely KPIs will include: o Maintaining university s ISO accreditation o Maintaining top 10 position in People and Planet Green League Table o Delivery of annual projects and objectives as measured against agreed programmes and outcomes. o Progress against annual Sustainability Objectives & Targets o Contribution to the reduction of energy consumption by 30% by (from a 2009 baseline) KEY RELATIONSHIPS (Internal & External): As Sustainability Project Officer the post holder must possess and demonstrate a high level of professional expertise in dealings with a wide range of stakeholders; university staff, students, community members, colleagues across the sector, suppliers, professional advisers, external bodies and authorities. There will be a focus on engagement and liaison with staff, students and other

4 sustainability and environmental related groups to support the implementation of the sustainability policy. PERSON SPECIFICATION

5 Essential Experience Experience in a similar practical role within a large complex organisation Experience in initiating, designing and managing sustainability projects, delivering on deadlines and targets. Experience of delivering to and consulting with a wide variety of stakeholders Practical knowledge and application of accredited environmental management systems (EMS), e.g. EcoCampus, ISO14001 Knowledge of a wide range of environmental issues including energy, waste, transport, biodiversity, procurement etc. Skills Data gathering and interpretation, research and reporting skills Analysing data and preparing reports and briefings Creative communicator with excellent written and verbal communication skills Able to prioritise time and resources to meet workload and work accurately under pressure Excellent organisational and administrative skills, with a good level of computer literacy, including working knowledge of MS Office Desirable Experience Practical experience of implementation of current environmental legislation, regulation and best practice Sustainability data collection, analysis and monitoring Environmental auditing experience Developing and delivering training Volunteer management Managing social media channels Managing and maintaining a website/intranet site using web 2.0 Qualifications ISO14001 Internal auditor A degree and/or postgraduate qualification Membership of a professional body (e.g. IEMA) Qualifications A degree and/or postgraduate qualification directly related to sustainability Personal Attributes Well-developed interpersonal and leadership skills Enthusiastic and committed to sustainability and the environment and able to motivate others into action Practical and self motivated, able to work independently using own initiative but also able to work collaboratively in team environment Innovative and practical approach to problem solving Attention to detail
