3 Additional Jobs / Multiple Managers Use of a specific job title is important! As more jobs are being added, it s now integral that the manager is adding a unique identifier to help the employee select the right position. Contact your Recruiter to create the position you need for the additional job if you do not have an open position on your team. Make sure position is assigned to correct Manager (based on site location) 3

4 Commissions Two Step Process (if Non Exempt/Hourly) Must still Check In / Check Out for time worked Request Commission Payment Job Aid is being updated to bring clarity to this process 4

5 Company Paid Time Off New Job Aid and Policy being created Will be posted on Workday Headquarters once finalized Examples: Inclement weather Extended team lunches Client Holidays 5

6 Overnight Schedules If schedule crosses over Midnight, Workday will automatically create two time stamp entries It will check you out at 12:00AM (midnight) It will check you in at 12:00AM (midnight) Only splits visually on approval Manager screen Will show as one time block entry on Associate timecard If this is a Saturday on a Pay Period end date, the Sunday hours will carry over into the next pay period. The hours after Midnight will NOT be included in the current pay period Exclusions: Shift Eligible/Premium (Examples: 24/7 Nurseline, Advocacy will consider full duration of shift into Sunday timeframe) 6

7 California Meal Penalties What is it? California state law requires that all hourly associates are provided a meal break anytime they work 5 or more hours consecutively. When will it trigger? If a shift of 5 or more hours is recorded without a break, the system will generate a 1-hour Meal Penalty which will issue an additional hour of regular pay to the associate as compensation for not receiving a meal break. How to address it? Managers with California-based workers must ensure that all hourly staff members are provided a meal break if they are working 5 or more hours consecutively. If a Meal Penalty is generated in error due to a missed punch, when the time is corrected to reflect the meal break the Meal Penalty will be removed automatically Can it be waived? Not currently. Contact your HR Business Partner for assistance if you have questions. 7

8 Billing Reports If Client requires specific billing report, Managers will want to contact Patrick Munn directly Scheduled report will get setup for them to run after each pay period These types of reports typically can t come from Time Tracking since they need to include rate/earning details 8
