1 Job Description Press & Print Co-ordinator Job Title Section Grade Reports to Staffing Responsibility Organisation Press & Print Co-ordinator Marketing and Communications L5 Head of Marketing and Communications Yes Attached JOB PURPOSE: To lead on development and delivery of the Trust s print and media coverage to position Luton Culture locally and nationally as a provider of high quality arts and cultural experiences. This includes all print production, display and distribution, as well as leading on print advertising. 2 PRINCIPAL RESPONSIBILITIES: % 1 To identify and develop innovative opportunities for press coverage building media relations locally and nationally. Pro-actively create, plan and manage press campaigns, writing engaging releases, and creating opportunities for the press to visit Luton Culture events and venues. Respond to press enquiries, organise press events and interviews and brief colleagues in advance of press interviews. Maintain press archive, ensure visiting companies and relevant partners are informed of press coverage. Process requests for filming on Luton Culture premises capitalising on opportunities for Luton Culture to increase its profile. 2 Manage all print production, including print for Luton Culture (internal) and every visiting company/event, including Luton Culture season guides, posters, banners, leaflets, invitations, from concept to printing. Negotiating with the programming team and with visiting companies directly to ensure suitable print is provided within the deals agreed. Commission design work and manage designers. Oversee print distribution developing/managing opportunities for visual displays across the Trust. Ensure all in house print is of a high quality. Ensure brand guidelines are adhered to. With the team, plan and deliver marketing campaigns. Work with visiting companies and project partners to build good relationships and ensure a coordinated marketing approach. Plan and deliver all print advertising campaigns including newspaper, billboards and banners. 3 Provide a high level of customer service when responding to enquiries from customers which come in from press and written. 4 Manage press and advertising campaigns. Commission photographers and oversee storage of Luton Culture images. Keep a record of quotes and testimonials for PR purposes. In partnership with Heads of Development, oversee communications with Luton Borough Council and other key funding partners. Evaluate and report on the success of marketing activity undertaken. 5 Manage press and media projects including contracts with external agencies and project partners. 6 Supervise Marketing Assistant on press and media tasks. Cover the Digital Marketing Coordinator s role in the absence of the Marketing Assistant. 7 Act as an Ambassador for Luton Culture when hosting or communicating with the press Please note these percentages are approximate and should be used for guidance purposes only. 3 DIMENSIONS: Supervisory Management: Support the press and PR aspects of the Marketing Assistant s work Line management of the Marketing Assistant Create opportunities for and manage volunteers as required Deputise for colleagues as required Contract manage freelancers as required to ensure that projects are being delivered Financial Resources & Responsibilities: In conjunction with the Head of Marketing & Communications, oversee the advertising, press events and print production budget. Delegated responsibility for development project budgets as they arise (value of up to 10,000). Physical Resources: list Printed materials and resources stock and supplies Marketing archive of press and media reports and notices PC, word and MAC based software packages Work Ethos: Respect colleagues and work together to achieve high standards of customer excellence in all our work. Produce reports against targets for budgets and performance KPIs to Leadership Team. Work flexibly and positively to achieve the business objectives of the Trust. Other: Able to work across Trust sites when necessary to support other teams in order to meet the business requirements of the organisation. Able to work evenings and weekends as required. Context: Luton Culture is a charitable trust with c150 members of staff and 14 venues. The Trust manages and programmes libraries, arts centres, museums and community centres, Key partners and funders include London Luton Airport Ltd, Luton Borough Council, Arts Council England, Heritage Lottery Fund and the Big Lottery Fund. Delivery roles are divided into three parts, (Managers, Co-Ordinators and Customer care advisors) - these roles will be a key to deliver excellent customer care and services in all our venues. These roles will manage day to day service delivery and will be first point of contact for our customers

4 Trust Responsibilities: Post holder will ensure they deliver against the agreed Trust Responsibilities as se out in the Team Responsibilities Grid at all times. Trust Standards: Post holder will operate at a Professional Standard as outlined in the Trust Standards Grid at all times. Working Environment: Working across the Trust sites but primarily based at the Hat Factory Equalities: The postholder will ensure that policies, procedures and activities for service delivery are revised and/or implemented in a way that supports equality for all. National arts and culture press contacts Proven track record in delivering innovative press campaigns to extend media reach. Demonstrable experience in developing strong relationships with the media Able to handle complex media issues and enquiries in a professional manner that s on brand Some experience of working with external designers and printers Some experience of budget management Some experience of digital marketing: eg Twitter & Facebook, Mailchimp/dot mailer (or similar software), updating websites. Demonstrable experience of seeing a range of print through from concept to production Planning advertising campaigns and evaluating their success. Ability to use initiative to drive forward improvements Skills/Abilities Exceptional writing skills, with an ability to create engaging copy for news releases, advertising and print,3 1,3 Able to use opportunities for visual displays to best effect High levels of literacy 1,3 Excellent proofreading skills, and attention to detail - 5 -
