1 The Position Position Description Xavier College Director of Development & Community Relations The Director of Development and Community Relations is responsible for the strategic direction and operations of Xavier College s Community Relations Office. The position will also be the Executive Officer of the Xavier College Foundation. The Director sits on the College Executive and reports directly to the Principal. The Office is primarily responsible for the College s Marketing and Communications including Brand Management and Publicity; Development and Advancement via Fundraising and Philanthropy; Alumni Engagement; Heritage, Art and Archives; as well as engagement across a range of important community stakeholders such as Xavier College Foundation, Parent Associations, Old Xaverians Association, Affiliate Supporter Groups and various Community Programs. The role will strategically bring together these current areas, whilst capitalising on opportunities to innovate, enhance and drive efficiencies into the practices of these key activities and stakeholders. The strategies and operations underpinning the function of these vital areas ensures that the targets relating to the current and future population of the College are met as well as the development of positive, lasting relationships with stakeholders within and outside the College Community. This position must mould the demands of a young and vibrant student community with the history and heritage of a highly respected institution, whilst creating opportunities to create real business gains. This role will be fundamental in establishing Xavier College as one of the most respected and demanded educational institutions in the country in the minds of future, current and past families. Background Xavier College, first opened in 1878, was named after St Francis Xavier, one of the closest friends of St Ignatius of Loyola. Together with five other companions, they founded the Jesuit order in Jesuit principles of education emphasise the centrality of the Catholic faith, pursuit of excellence, development of the whole person, care of each individual (Cura Personalis) and service to others. These principles define all aspects of life at Xavier which is part of a world-wide network of Jesuit schools that collectively educate nearly two million students. Xavier College understands the crucial importance of laying the foundation for the future for their students, from skills, passion and work ethic to self- image and place in the community. Xavier educate students from Early Years (3 year olds) to VCE. There are three campus locations: Kostka Hall, Brighton (3 year olds to Year 8, co-education to Year 4); Burke Hall, Kew (3 year olds JFE Commercial-in-Confidence Page 1 of 7

2 to Year 8, co-education to Year 4) and the Senior Campus, Kew (Year 9 to 12, all boys including boarding). Present enrolment is a total of some 2,075 students including 67 boarders. The College has a total of approximately 440 employees (excluding casual staff) of whom 260 are teaching staff. Xavier College aims to develop students who will become men and women of conscience, competence and compassion, who are able to bring about a more peaceful and just society by example and deeds. For more information please refer to Key Responsibilities Leadership & Strategy Take an active involvement in the development and achievement of the College s business objectives, in line with the College s Strategic Plan Ensure documentation implementation and regular review of Community Relations strategy including but not limited to: Marketing Plan; Fundraising Plan; Alumni Engagement Plan; Parent Engagement Plan; and Heritage & Archives Plan Maintain an active role on College Executive Attend College Council and various Sub Committee meetings where required Executive Officer of the Xavier College Foundation. Relationships Develop analysis and research practices that build tactical plans in all areas of Community Relations Strategically manage the Brand and reputation of Xavier College through our marketing, communications, philanthropic, friend-raising and fundraising activities Establish a communications strategy for the College that creates a greater sense of connectedness with prospective and existing families, Old Xaverians, current and past staff Build a deep understanding of the culture of the College and develop strategies to promote, publicise and educate the College community to achieve greater awareness, respect and understanding Create positive, authentic and lasting relationships between the College and the general community Develop structures and systems to promote positive interactions and enhance the Xavier community spirit. Reporting & Budgeting Develop strategies for the achievement of Key Performance Indicators with the College Executive Prepare monthly operational and strategic forecast reports for the Principal and School Council Establish annual goals, implement the operational plan, develop all financial budgets and set clear targets as measured by agreed and reportable KPIs JFE Commercial-in-Confidence Page 2 of 7

3 Attend all major College events noting that many of these occur after hours. Staff Management Provide direction of the Community Relations team and establish appropriate strategic business plans in the areas of: Marketing and Communications; Fundraising and Philanthropy; Parent Association Engagement and Alumni Engagement; Heritage and Archives; and Community Programs such as Xavier Social Justice Network Maintain close dialogue with Admissions and ensure the two offices work in harmony to maintain a healthy demand for enrolment at the College Drive improvement and modernisation of practices within the departments reporting to this role Ensure synergy, foster co-operation and understanding between all departments and staff within the Community Relations Office Conduct fortnightly Community Relations Office staff meetings Meet regularly with each team member to ensure task priorities Conduct yearly performance reviews for each team member Set professional development schedule for staff. Development and Advancement Provide strategic direction to the Development and Philanthropic team Attend all Xavier College Foundation Board meetings and all Xavier College Foundation events Encourage current parents, past families and alumni develop a strong sense of connectedness and pride in the College, demonstrated by showing support through philanthropic engagement and by being active members of the Xavier College community Actively promote the work of the College and specifically the Xavier College Foundation and other funds to parents, staff, sub-committees and support groups Provide strategic leadership and tactical development to maintain existing and grow new revenue streams Develop and regularly assess all fundraising programs in ways that further broaden the College s constituent base and therefore its potential donor numbers Provide oversight and set direction for specific programs such as Annual Giving, Bequest Program, Capital Appeals Oversee active stewardship of major donors and benefactors Seek out and develop opportunities for links with the local and international community. Marketing and Communications Provide strategic direction to the Marketing and Communications team Ensure the College has a considered and structured plan for communication with current and prospective families that builds confidence, trust and excitement about Xavier College In consultation with the Communication and Marketing Manager, develop and manage the strategic marketing plan for the College Provide direction for the marketing, advertising, publications and promotional activities including domestic and international marketing for the College Oversee the marketing aspect of special events, information sessions and school exhibitions to ensure they are strategic and consistent with Xavier s image and values Act to enhance the College's public image by proactively seeking and placing positive PR using mainstream media and various social media channels Provide advice and support to the Principal and senior managers in the College on the public relations and marketing implications of College policies, actions and practices JFE Commercial-in-Confidence Page 3 of 7

4 Work closely with College to mitigate risk, identify and minimise threats within the brand and PR environment. Alumni Engagement, Parent Engagement & Community Relations Provide strategic direction to Alumni and Community Relations team Provide management of key areas including community relations, friend-raising and fundraising, ensuring strong links between the College administration and its community groups, particularly the key stakeholder groups Old Xaverians Association (OXA), all other related OX Alumni Groups Provide management of all Xavier Parent Associations (PA) and the wider parent body, including affiliate supporter groups Provide direction and assistance to the Xavier Social Justice Network Investigate and develop new opportunities for the development and growth of the alumni and community relationships with the College. Heritage, Art & Archives Provide strategic direction to Heritage, Art and Archives team Ensure the College Art Collection is appropriately curated Ensure College Archives are maintained and operated according to industry best practice Develop heritage and archival displays as promotional tools and to assist in the marketing of the College. 5 Key Selection Criteria 1. Experience in the development and implementation of strategic plans with a demonstrated track record of achieving strategic outcomes in a complex organisation 2. A recognised tertiary qualification preferably in a field related to the area of work required (or equivalent work experience) 3. Significant leadership and experience in fields of fundraising, marketing, communications, public relations and development 4. Experience in working with and achieving agreed annual targets 5. Experience in philanthropy and fundraising specifically having managed capital appeals, major donors and/or bequest related giving 6. Demonstrable track record of asking for major gifts 7. Exceptional leadership qualities with proven ability to motivate and influence staff and the capacity to facilitate a changing culture 8. Experience in managing a team of staff, preferably in a large organisation 9. Proven experience in leading teams through change management 10. A background in dealing with Boards and working with senior management 11. Outstanding interpersonal skills and the ability to develop and maintain excellent relationships with members of the College community and members of the public 12. Exceptional written and verbal communication skills including presentation skills and proven capacity to prepare various written reports and plans 13. Experience in database management with programs such as Synergetic and Raiser s Edge 14. Proven project management experience and budget management experience 15. Experience in delivering innovation and continuous improvement 16. A proven and demonstrable can do/solution-driven mentality.
