2 Role: Program Producer Sydney, The School of Life Australia Full Time Term: Annual financial year contracts this term until June Location: Sydney, Australia Structure: Public Program, currently reporting to Managing Director, Sydney Works alongside: Internal relationships: TSOL Australia staff, faculty and publicist with working relationship with Managing Director, Creative Director, Program Producer Melbourne and Marketing External relationships: program partners, venues, suppliers and contractors, cultural organisations, festivals and events operators, TSOL community including corporate customers, media and VIPs Direct reports or management: Supervises casual, project and volunteer staff as required Meeting requirements: Fortnightly Check in with Managing Director personal and WIP Fortnightly Programming Meeting with Managing Director, Creative Director and Program Producers, Marketing Meetings with Creative Director as needed Weekly National WIP Meetings with Program Producer Melbourne and Publicity/ Marketing as needed Superpowers: Logistical juggling, proactive energy, an instinct for The School of Life approach, solutions orientated, team player, relationship/partnership management, an eye for details and event production, and a love of ideas. Background: The School of Life (TSOL) is dedicated to exploring good ideas for everyday living. We use philosophy, culture and wisdom from through the ages to help us live wisely and well. By developing emotional intelligence through the help of culture, we address such issues as how to find fulfilling work, how to master the art of relationships, how to understand one s past, how to achieve calm and how better to understand the world.

3 Our organisation has three pillars: we run a book shop in Bourke St Melbourne, we have an ambitious and broad-ranging public program of events, workshops and classes, and we have long-term partnerships with corporate Australia, providing training programs and consulting in the area of emotional and psychological wellbeing. TSOL has public branches in Melbourne and Sydney, with a corporate presence across Australia and NZ. Scope of Role: The Program Producer Sydney is responsible for the production and delivery of The School of Life Sydney s Public Program. This includes all producing responsibilities around our major events series and our public School program. For major events this includes budget prep and reconciliation, venue sourcing and liaison, presentation preparations, talent liaison and pre/post event communications with audience. In our School program this includes assistance with program drafting, faculty and venue programming and management of budgets and paperwork. The Program Producer Sydney also hosts Sydney social events, and occasionally hosts school classroom activities as well as assisting retail inquiries and managing space booking inquiries and our bibliotherapy bookings. They work very closely with the Program Producer Melbourne to ensure efficiencies and processes across our classes and events are nationally co-ordinated. The Program Producer Sydney will ensure that our class and event experiences are delivered to the highest possible standard, embodying our philosophy of enlightened hospitality. Key Responsibilities: Manage the smooth production and delivery of the TSOL Sydney Public Program Lead on the delivery of all events and formats including - Classes, Intensives, Special Events, Tours, Major Events, Salons, Sermons Work closely with our Managing and Creative Directors, faculty and partner organisations to manage quality control of program delivery Maintain program schedules, event budgets and reconciliation to ensure every event successfully meets targets Represent TSOL well as its public face; occasionally deputising for Directors to host events Support the curatorial process Work closely with the Managing and Creative Directors, who design the program, to develop and deliver it; Program all regular and repeat format events Assist the Managing and Creative Directors, with speaker and specialist performer outreach Research and develop ideas for venues, speakers and cultural performers Stay abreast of developments in the cultural landscape; including key partners and opportunities for collaboration

4 Event Production Secure a solid portfolio of offsite venue relationships from ( capacities) ensuring these are reviewed regularly and beneficial agreements are negotiated for TSOL Manage venue capacities, contracts, health and safety, insurance and risk assessments Liaise with venues, AV technicians, production companies, stage management as required Support tour management itineries and logistics for tours that TSOL manages Manage event setup, production and pack down of all offsite events Recruit and manage volunteers required for special event delivery Artist/ Speaker Liaison Manage speaker contracts/agreements, licensing, liaising with talent agents Secure all image and media consents ahead of major events and provide to marketing and publicity Coordinate and satisfy any rider, travel, comfort or hospitality arrangements as required Coordinate AV requirements liaising with venues to ensure all tech preferences are catered for Act as artist liaison contact in production Ensure guest speakers are hosted with enlightened hospitality Assist Faculty Coordination Coordinate up to date biographies and faculty photos on website Act as a key point of contact for regular faculty, visiting speakers and performers Book faculty for classes, intensives and other events as appropriate Keep a close conversation with tutors, programme coordinators and audience/participants to gather feedback, in order to share with and advise the wider team Support the Managing Director and others on faculty outreach, recruitment, interviewing, training (where required), induction and on-going support Manage production and printing of program materials Liaise with printers to ensure good quality, ethical production and within budget Find innovative materials and products to add a personal quality to TSOL events Ensure all design is in theme with TSOL brand and visual guidelines Sales, marketing and promotion of Program Alongside the Classroom Manager, manage the Sydney inbox including ticketing enquiries, sales and bibliotherapy bookings Alongside the Classroom Manager, manage the Sydney box office, including the allocated mobile phone during business hours Coordinate and implement the web upload of programs and events on TSOL webpage Keep track of bookings, checking every week for any faults or errors on webpages Contribute to image research for new events to keep the website looking fresh Co-management with Program Producer Melbourne our ticketing system including upgrades/ event loadings Contribute to collating events by series to pitch stories for online, social media and PR distribution;

5 Collate and keep track of feedback from special events Maintain Programme Systems and Processes Maintain scheduling tools (Program Pipeline, internal calendars and Work Tracker etc) Excellent internal communication; ensuring that team are updated on upcoming programs Clear and timely communication with all members of the wider team; clearly managing expectations and handling challenging discussions with sensitivity Respond to program proposals and enquiries Budget, credit card and cab charge reconciliation Circulate the weekly sales report to the internal team (coordinated with the Program Producer Melbourne) Essential Skills and Personal Attributes A deep and broad experience in event management and cultural programming Excellent project management skills; including budget preparation and control, managing people and expectations, delivering on tight deadlines An ability to meet unpredictable challenges, resourcefulness, and an ability to handle pressure with calm and grace Experience in the promotion and communication of cultural programming through marketing, publicity and social media initiatives Proficiency in managing online ticketing platforms and using a CMS (SilverStripe) Excellent communication skills: warm, friendly and engaging A team player with a solutions orientated focus Embody the idea of enlightened hospitality : the idea of genuinely kind and engaging customer service; Ability to work well in a small, fast-paced environment A keen understanding and passion for the philosophy and mission of TSOL An entrepreneurial flair: becoming part of a small team dedicated to growing a highly impactful cultural enterprise.
