Covington Director of Residential Services & Therap Administrator Catholic Charities Disabilities Services (NY) Ain t Nobody Got Time for That! :Getting the Most Out of T-Logs As state and federal budgets shrink, all providers of services to ID/DD have to be more efficient. Communication is often a key to our success as providers. Therap is a great tool in streamlining that communication between administrators, clinicians, and direct support professionals. However, communication is only as good as the information provided. No agency can afford to pay people to read T-Logs that offer little useful information. As people log-in and their unread T-Logs number in the triple digits, it seems a daunting task to get through them all and time spent reading uninformative T-Logs is like money flying out the window. Learn how one agency worked diligently to train their staff to write better T-Logs and utilize Therap to create a culture of communication that is efficient, user friendly and more person centered. 10 : 15 am - 11 : 10 am

Our Agency has trained staff to use this page and take advantage of the ease in finding any information they may need when providing care to our Individuals. They access the ISP programs through this page to enter their data, View Care Plans, T-Logs, Health Tracking, Appointments, ISP, Habilitation and Behavior Plans, and much much more. The presentation spurs discussion on the different modules and provides basic information on using the different modules. The discussions are thought provoking and informative and based on the levels of use of the audience. The awesome Individual home presentation will open your eyes to a wealth of information. All of the capabilities of the page will be discussed. The presentation will promote discussion on the use of many different modules as we explore the options available from the Individual home page. Incorporating the use of the report feature in developing and casting your MVV. Information sharing among participants regarding how they use the reports. The learner will assist in creating classes and designing courses in the TMS. The learner will review the reports available in the TMS. 4 Elizabeth Krocke Therap Coordinator w/heritage Christian Services Heritage Christian Services (NY) Maintaining Your Agency s Therap Information and Data (Provider Administration) As a provider administrator for agency s Therap account, it is important that the data that is put into Therap is accurate to start, kept up to date, and appropriate for instant viewers. I would like to explain that as an agency and modules in Therap grow, it is unrealistic that the administrator will be able to maintain all data. It is important to train users how to best maintain their specific program s information. There are many beneficial reports for agencies within Therap; however, the data needs to be maintained and updated in order for those reports to be true data. 1 : 45 pm - 2 : 40 pm Tim Hennessey Director of Recreation Services The Arc of the Farmington Valley (CT) Therap and Chromebooks: Making Every Day Easier for Everyone One of the most stressful decisions an agency has when purchasing Therap, is deciding the device which staff are going to use it on. This presentation will examine the Therap web-based documentation and communication software system and how it can be easily used and managed on a Google Chromebook. A comprehensive discussion will involve what differs a Chromebook from other portable devices such as tablets, laptops and mobile phones. This discussion will also examine many of the attractive qualities of the Google Chromebook such as low retail cost, long battery life, security, speed and Management Console. The Management Console will be discussed in-depth including the ease and speed at which each device can be set-up, the flexibility each device can be tailored to its user and the limitations an agency can place on its staff members regarding accessing websites, programs and apps. 2 : 55 pm - 3 : 50 pm 4

5 Jessica Porter Coordinator of Training and Quality Assurance Boone County Family Resources (MO) Working Through and Oversight Account Using a seminar/tutorial format this presentation would give tips and tricks on how an organization can start using an oversight account successfully in conjunction with other agency accounts. After many starts and stops, issues and successes, our agency has all our staff logging into the oversight account and keeping the Therap system up to date so that we can begin replacing many of our outdated older systems. This presentation would include the intake process of a new client, assigning the client to a support coordinator caseload, and referring the client to a provider account. It would also include setting up users, our current process for setting permissions and privileges and how caseloads are maintained over time in the oversight account. 12 : 35 pm - 1 : 30 pm Letisha Echevarria Therap Administrator The Resource Center (NY) Central Intake/Admissions for Agencies Central Intake/Admissions for Agencies shows users a unique way of using a Custom Form to track referrals. Although it was originally create to track new admissions at the time of Central Intake, it may also be used to track eligibility and MSC referrals. (ND) Getting the Data and Using the Data - Best Practices Therap provides features for gathering information, creating reports and trending data. We at Friendship utilize the reports on ISP data, demographics, health tracking, management summaries and others from the Report Library. Once we gather our data in conjunction with our CQL Basic Assurances and other quality indicators, we have a broader scope of what is occurring. The reports empower us to make decisions that impact the people we support. The presenters will show attendees how to compare their current management system to the Therap GER Module, how to determine which components of the GER system to use, how to develop user guides, how to pilot the system, how to provide training to staff, and how to change policies based on the GER module. (NE) How to Track Controlled Medications Using MAR's There was not a very good way when documenting double locked medications on Therap. I have come up with a way to use the PRN section under the follow up button when counting/documenting the count. The first time document for the month users would document under the administer button as you would as a regular PRN. Then any other staff member would document the count using the follow up button. This is a very secure way to document the medications that NO ONE can change for any reason. We have found this works very well. 9 Tara Shade Program Manager Alternative Community Training (MO) Utilizing ISP data for time cards, billing and monthly reports This session focuses on getting the most out of ISP data documentation. Primarily, how to use ISP data to track employee time and calculate attendance for billing at the end of the month through the use of pivot tables in Excel. Our agency utilizes ISP data for billing, attendance and as a time sheet for remote employees for Personal Assistant and Behavior Development Services. This system has made the saying if it isn t documented, it didn t happen a reality. By completing ISP data documentation Personal Assistant employees are essentially filling out their time card at the same time. For our therapy services, ISP data is used to calculate attendance for billing to 15 minute increment in Excel as well as provide documentation for services using reports in Therap. As stated above, I would like to get MSC s together to talk about the changes that have occurred over the year, and how they are adjusting to them, and using Therap to work through them. This gives the opportunity for advanced users to share their progress and ideas with beginner/intermediate users who are looking for next steps or are not sure how to resolve an issue. 10 Mary Swygert, Nursing Supervisor Jennifer Kelley, Therap Administrator, Certified Therap Trainer Baker Victory Services (NY) Things to Know and Consider Before going Live with the Therap MAR This session is intended to offer advice and guidance for implementation of the Therap MAR. After using the Therap MAR for a few years now, there are things our agency would have done differently. We all have said at one time if I could do it all over again, I would. Tips, tricks and recommendations will be provided for participants to encourage them to move forward with the decision, planning and implementing the Therap MAR. Discussion and advice about the increased accountability, and preparing for the possibility of an initial increase in medication errors. Discuss the importance of the Medication Histories and how important the initial time investment is when moving to a live MAR. Discuss the importance of a thorough staff training process. Review the benefits of having the Therap MAR up and running smoothly. Wednesday, 1/29/ : 35 pm - 1 : 30 pm Beverly Arvidson RN Manager The Resource Center (NY) Health Tracking Module: Increasing Proficiency of Services and Providing Excellent Care I would like to do a presentation on Health Tracking Module and how it is used at the Resource Center to help our staff be more proficient in their jobs while providing excellent care for the Individuals we serve. I would like to show how we use health tracking to meet the needs of our individuals and how our staff use the mobile phone to chart and track/manage/provide needed medical information while on the go.
