1 2019 HR EXCELLENCE AWARDS SUBMISSION REQUIREMENTS Health, Wellness and Safe Workplace Award CPHR Manitoba s HR Excellence Awards submissions must provide all the information requested to complete your case for consideration of an HR Excellence Award. We suggest that an organization submit only one submission per category to avoid competing against yourself. Since you have five years to apply for each initiative we suggest that you wait until the following year to apply for another initiative in the same category Initiatives should fall under the applicable Functional Area (as defined by the CPHR Competency Framework) but do not need to cover all Functional Knowledge Areas that are included in the category nor all competencies which fall under the applicable Functional Knowledge Area. Description of the Health, Wellness and Safe Workplace Award: For helping employees stay healthy, well and safe, protecting them and the organization, using all measures at their disposal. Excellence in Health, Wellness and Safety includes: Understanding the legislation, regulations and standards. Increasing organizational awareness and compliance and managing risk. Implementing health, safety, and wellness policies, procedures, roles and responsibilities for leaders and employees. Ensuring compliance through training, monitoring and providing appropriate safeguards and disability management. Endorsing healthy lifestyles, educating employees and providing opportunities for enhancement of wellness. Establishing a proactive approach to mental health and psychological well-being in the workplace. Sound measurement that tracks against relevant individual and business priorities. The specific program or service may only be declared for an HR Excellence Award once, unless there have been significant changes or additional unanticipated results that can be clearly demonstrated. The program must have been implemented within the past five years of the date of submission, with a history of implementation of not less than one year. Minimum Eligibility Criteria: Initiative was implemented within the past 5 years: Initiative has been in operation for at least one year: Date of implementation: Initiative was developed and carried out in Manitoba: Two reference letters included 1

2 Submission Content: Submissions should include the following information: Small/Medium Business (250 employees or less) Large Business (more than 250 employees) SUBMITTED BY: Name: COMPANY AUTHORIZATION: Name: Title: Title: Company Name: Company name: Telephone Number: Telephone Number: Address: Address: Date Submitted: Summary (to be used in event program) Provide a summary of the initiative including Award Category Provide an overview of the initiative/organization including: o Date the initiative began o Date of completion of the initiative o Number of employees at the workplace o General industry and any pertinent information o Leadership commitment scope etc. o Organizational chart can be helpful - specifically senior leadership structure What impacts did the initiative have on the organization? Initiative How did the initiative demonstrate leadership and/or innovation in HR programming or services that is in alignment with the strategic direction of the organization? How did the initiative demonstrate that HR is a key strategic partner in the success of the organization? How did it demonstrate that the organization is committed to best practices in human resources? How was the initiative strategically integrated into the organization s operational strategies? 2

3 Planning Describe the project plan from conception to evaluation (schedules, project planning methodology, etc. must be provided) Describe the leadership strategy for the initiative. What were the goals, objectives and desired outcomes of the initiative? What criteria were used to determine the success of the initiative (KPIs)? Describe the change management plan that was implemented to support the successful implementation of the initiative including communication, training and resourcing (both technical and personnel). Leadership Support/Commitment Describe the leadership strategy that was put in place to ensure a successful implementation. Describe the leadership support received from conception through to implementation (including CEO, Senior Leadership team, Project team). Implementation & Challenges Encountered Describe the implementation process (time, budget, resources) and any challenges that were encountered along the way. o Ex. Managing change and resistance, limited internal resources, tight time lines, budget constraints; buy-in from senior leaders and team. Providing obstacles and resistance faced helps illustrate the difficulty of your initiative emphasizing the accomplishment as well as showing greater ingenuity, creativity, innovativeness and problem solving skills in achieving it. Describe how the change management plan was used to resolve any obstacles that were encountered. Impact/Outcomes Were the goals and objectives of the initiative reached? What measurable results have occurred in the organization as a result of the initiative? Financial implications Were there unpredicted positive results that enhanced the initiative beyond original scope? Impacts on larger community Impacts on other stakeholders Letters of Reference Include letter of reference from two of the following possible references: Customer impacted by initiative Vendor impacted by initiative Employee testimonials 3

4 Labour Union testimonials Executive Support: Did your CEO play a significant role in supporting and championing this initiative? Then consider nominating him/her for an HR Excellence Award. Please refer to individual awards HR Patron of the Year Award Earn CPD Hours CPHRs can now earn Continuing Professional Development (CPD) hours for completing the full application. Hours can be claimed under section 1. Professional Practice New Projects as an application. The number of hours claimed should be in accordance with the length of your submission and a reasonable estimate of the amount of time it took to prepare. The number of hours claimed will be subject to review by the Audit Committee. Helpful points for preparing your submission: Details and specifics regarding results and impacts on the organization are critical to each submission. Specific measurements that indicate success and challenges will assist the evaluation committee in determining scope, significance, along with an overview of leadership commitment. It is also important to spotlight the level of HR involvement throughout each stage. 1. Choose one category for your initiative. 2. Be specific and quantify where possible when describing the situation, challenges and results. Quantifying and being specific helps evaluators understand the full extent of your initiative. Example: For last three years, recruitment for x roles was open for over 8 months. External recruitment cost us XX. External hires (3) stayed with organization for average 1 year before leaving. Internal hires (2) stayed but performance was below satisfactory level. The lack of qualified XX was costing organization $$ annually. 3. Avoid jargon. The selection committee will not have the same level of familiarity with the work as you will. Submission Guidelines: Submissions must be sent electronically via in PDF format in one document only to hello@cphrmb.ca. Please note that multiple documents in the can make it extremely difficult to ensure tracking of all materials. As a requirement, all submissions MUST be only one PDF which includes all attachments, references and/or appendices. Subject line of must state HR Excellence Awards Submission Category. Selection Process: The Awards Committee will review all complete submissions received by the deadline. The Awards Committee will review only submissions completed according to the submission 4

5 specifications. Submissions will be considered as nominees if the minimum scoring threshold is met (as determined by the Awards Committee). Candidates will be notified of their standing as a nominee by mid-february and successful nominees will be recognized at the HR Excellence Awards on April 4, 2019, where the winner of the award will be announced. Information for Nominee 1. All submissions will be held by the CPHR Manitoba office and forwarded directly at one time to the Chair of the Awards Committee. 2. Interviews with the Awards Committee and/or supplemental data may be required to verify and validate the information provided. 3. You will be advised of the selection results in mid- February and the awards will be presented at CPHR Manitoba s HR Excellence Awards on April 4, If selected as a nominee for an award, one representative from your company will be required to make themselves available for a video interview in February/March Videos are produced for each nominee and shown live during the HR Excellence Awards. There is no cost to the nominee for the video. 5
