1 Career Opportunity Director, Corporate Services The regulates physiotherapists and exists to serve the public interest. The College protects the rights of patients to safe, competent and ethical care by ensuring physiotherapists maintain professional standards of practice and are held accountable for their conduct and practice. The is currently looking for a results-driven and detail-oriented person to fill our Director of Corporate Services role at our downtown Toronto office. Position Overview The Director of Corporate Services is responsible for developing, implementing and evaluating the Financial, Human Resources and Information Technology systems of the College. The Director maintains a centralized structure for project management and dashboard reporting for all College activities. The Director provides oversight to the day to day operations of the Corporate Services Team and ensures the maintenance and evaluation of the operating systems and facilities. The Director also provides responsive leadership on corporate service matters to the Registrar, staff, council and external stakeholders and participates in College-wide activities that contribute to the organizational mandate and a healthly working environment. Duties and Responsibilities Financial Oversight & Management Develops annual College budgets and prepares all financial statements/reports for internal and external users Supports the senior management team in budget forecasting and preparation, scheduling expenditures, analyzing variances and initiating corrective actions Liaises with external financial advisors to ensure investment decisions and recommendations are appropriately brought to the attention of the CEO Ensures development and maintenance of and adherence to appropriate financial controls Responsible for maintenance of financial records including accounts payable and receivable, expense claims, bank statement reconciliations, profit and loss statements, and balance sheets Works with auditors and external legal advisors to ensure the accuracy and reliability of annual financial reports Manages requests for materials and equipment from senior staff conducting needs and solutions analysis and obtaining appropriate approvals

2 Provides oversight for management of College payroll system 1 and liaises with benefits providers ensuring benefits are appropriately maintained Provides oversight for maintenance of systems for recording and reporting employee data such as vacation and sick day use providing analysis and reports as required Provides secretariat support to the Finance Committee Prepares reports, including contributing to dashboard measures, to the Finance Committee, Executive Committee, and Council. Operations Management Responsible for oversight of external information technology support providers and consultants from time to time. Takes principle advisory role on issues related to I.T., such as purchase and updating of database, software and hardware needs. Ensures office efficiency by ensuring the availability of equipment and supplies, researching maintenance, replacement or improvement options and proposing solutions. Oversees catering and physical plant support for meetings. Ensures maintenance and development of appropriate office policies including records retention, protection, retrieval, transfer and disposal, policies and procedures for IT equipment and use, including scheduled maintenance and replacement, disaster planning, regular incident reporting and an appropriate change management structure. Oversees maintenance contracts and contractors for all operational needs, including IT service providers. Working with HR & Records Management Specialist ensures setup of physical space and IT for new employees Project Management Manages and coordinates all aspects of assigned projects. Systems Management, Data Analysis and Reporting Ensures maintenance of a centralized structure for project management and dashboard reporting, including the development of performance indicators in consultation with Registrar. Ensures maintenance of appropriate records of all project activity. Oversees preparation of dashboard and progress reports for College strategic projects. Reviews, analyzes, and evaluates business systems and user needs. Documents requirements, defines scope and objectives, and formulates systems to parallel overall business strategies. This includes translation of business requirements into functional requirements. Collaborates closely with business and technical stakeholders during all phases including implementation. 1 In the absence of the Human Resources Generalist, or on a needed basis, ensures that payroll is processed.

3 Maintains the integrity of program data through regular testing to identify data accuracy issues and suggests solutions where problems arise or where quality improvement opportunities are identified. Maintains system protocols by writing and updating procedures. Provides references for users by writing and maintaining user documentation; providing help desk support; training users. Risk Management Notifies Registrar of any concerns relating to operational, organizational, personnel or political matters that may have the potential to disrupt College business with proposed solutions Ensures appropriate liability insurance is maintained Oversight of Corporate Services Staff Determines staffing requirements and contributes to the development of job descriptions Recruits, interviews and selects appropriate staff Oversees the performance management process for direct reports which includes monitoring the performance of staff, providing training opportunities and conducting an annual performance review Coaches and mentors staff as appropriate to improve performance With the Registrar, negotiates and determines salary Disciplines staff when necessary using appropriate techniques; releases staff when necessary using appropriate and legally defensible procedures College-wide Human Resources Support: Responsible for oversight of all human resource support activities, which include the following: o Development and maintenance of human resources, health and safety and legislatively required policies and practices o Development and maintenance of performance management systems and records o Providing advice and support to senior management and staff about performance management and incentives at the individual and collegewide levels, including the organization of events and development of programs, as required o Working with senior management and other staff, identifies organizationwide training needs, and appropriate educational resources o Working with staff identifies appropriate educational opportunities and maintaining records to build a library of best educational opportunities o Maintenance of attendance records

4 Education, Experience, and Qualifications Education Master s degree in business, accounting or finance or relevant professional designation. An accounting designation and relevant experience in a not-for-profit or member organization are desirable. Experience Minimum 5 years experience in an Office Management/Finance role including audit experience Demonstrated experience overseeing a payroll system and benefits program Experience with records management systems Demonstrated experience with management and analysis of data reports and success in using technology and leveraging data from databases to automate business processes Sound knowledge and experience in space and facilities management Specialized Knowledge Advanced computer skills including use of databases and spreadsheets Demonstrated knowledge of Microsoft Office Suite and QuickBooks Sound knowledge of human resources best practices and employment-related legislation Skills and Abilities Highly business process oriented Excellent oral and written communication skills Demonstrated analytical skills and project management skills Must be a self-directed, strategic thinker who possesses excellent time management and decision-making skills Proven facility in providing exemplary customer service in a fast-paced and demanding environment Demonstrated managerial, coaching, mentoring and leadership skills Proven ability to work independently as well as collaboratively within a team High level of proficiency with accounting, payroll, and Customer Relationship Management (CRM) systems, highly computer literate Terms and Salary Permanent full-time position Salary range: $106,700 to 122,000 (depending on experience and qualifications) If you are seeking a similar position in a professional organization and you meet all the requirements, please forward your résumé and cover letter highlighting related experience to hr@collegept.org no later than September 28, Please quote Director, Corporate Services in the subject line.
