1 POSITION Hospitality Manager THE SALVATION ARMY METROPOLITAN DIVISION Ray & Joan Kroc Corps Community Center - Chicago POSITION DESCRIPTION MISSION The Salvation Army Ray and Joan Kroc Corps Community Center of Chicago exists to express the mission and ministry of The Salvation Army through a safe, enriching and sacred environment where all individuals have access to opportunities to reach their physical, intellectual, social and spiritual potential. The Vision of the Chicago Kroc Center is to touch individuals, families, and seniors of the Southside with: Community Wellness Excellence Character Faith. OUTCOMES The Hospitality Manager is responsible for the Food Service and Events areas, staff, and programming for all hospitality services in the Kroc Center. This includes the long-term and day-to-day Food, Beverage, and Event operations at RJKCCC. Execute sales of events and food including room reservations and invoicing. This individual must oversee all concessions functions including catering and special event planning and execution. Also among the specific duties are menu approvals, pricing and inventory control. This individual must directly supervise all food and beverage and special events staff as well as plan and implement budgets; hire, train and supervise all events, catering, café and banquet staff, and apply marketing principles to assure satisfaction of members and guests. As manager of the events area, will plan, develop, and execute the sales program and room reservation process for events held at the Ray & Joan Kroc Corps Community Center (RJKCCC); optimize all aspects of revenue-producing avenues related to facility rentals, such as business meetings, gala s and social events (e.g. holiday gatherings, weddings and receptions), tradeshows and exhibits, corporate outings, etc.; supervise staff designated for related efforts; and work with staff in determining optimal uses of the venue to meet the missions of the RJKCCC. This position also requires nights and weekends as needed. ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Marketing and Revenue Generation a. Develop an annual plan for the revenue generating components at the Kroc Center specific to special events, rentals and food services aspects of the facility. The marketing and sales plan will include strategies designed to increase the utilization of facility, an action plan with established goals, a budget to meet the goals of the plan, and the process to provide regular, interim (e.g. monthly) review efforts to identify areas of improvement to the plan. b. Participate in the on-going research and analysis of facility services and pertinent rate structures, as they may relate to the marketing of the venue for facility rentals. c. Assist the Marketing area in the coordination of efforts to determine effective marketing techniques and materials to solicit public and corporate events, as well as other facility utilizations (e.g. exhibits, meetings, galas, etc.), along with the promotion of each revenue generating component of the RJKCCC. d. Solicit new business, and provide follow-up support for previously procured business, through various leads and as identified in the marketing plan.

2 e. Conduct on-site tours of the Kroc Center, as required. f. Develops operating budget for each events and food venues. Takes corrective action as necessary to assure that budget goals are attained. g. Review all rental and event agreements to make sure all peripheral expenses are covered, i.e. security, sound techs, etc. and that clients are billed for these services. 2. Room Reservations a. Responsible for the execution and coordination of room reservations and events held in the RJKCCC. b. Become integrally involved in the on-going management of the facility scheduling software program, including the input of data to design and reserve spaces, and all required follow-up entries to oversee the documentation to plan and execute special events and food service. c. Assist in the development of written facility use policies, procedures, and contractual documents (i.e. rental agreements, memorandums of understanding). d. Manage staff in the maintenance of the facility schedule. Gather accurate event information and ensure that facility and event setups are complete and accurate for all food service, rentals, and events. Ensure that events begin and end on time and that food is coordinated as contracted. e. Manage the summary of labor and other event-related expenses for final invoicing to client and coordinate invoicing. 3. Special Events a. Schedule and coordinate joint meetings between clients and the RJKCCC departments, including Facility Operations, Sports and Education Services, and contracted services (e.g. audio/visual) to ensure all requirements of the event are planned for and implemented. b. Manage staff to develop detailed plans, diagrams, and checklists for assigned events. c. Represent the RJKCCC at special events and oversee the activities of the facility staff. d. Keep accurate records of the process of assigned events, to include contract components and meeting documentation, client contact, event planning and follow-through. 4. Food Service a. Ensures that all standard operating procedures for revenue and cost control are in place and consistently utilized. b. Takes weekly inventories and generates weekly COG for food and beverage. c. Approves and codes all supplier invoices before submitting to Accounting. d. Certifies month-end inventory and submits to Accounting by 7th of following month. e. Responsible for maintaining realistic inventory levels to optimize cash flow and keeps storage orderly and minimize waste. f. Maintains POS and accurate daily sales reports; reconciles errors. g. Keeps historical records of special events and day-to-day business for purposes of educated forecasts. h. Inspects to ensure that all safety, sanitation, energy management, and preventive maintenance plans are in continual use. i. Helps plan and approves external and internal marketing and sales promotion activities for building food and beverage business. j. Oversees POS system, activities, & personnel. Reconciles and Cashes out POS terminals as required.

3 k. Reviews proposed menus and accompanying prices and margins for all venues and special events. l. Develops and enforces policies and procedures for food and beverage department. m. Monitors purchasing and receiving procedures for products and supplies to meet guidelines set for quality and pricing. 5. Personnel Management a. Provide Kroc Center staff, in a training environment, initial and refresher sales methods for them to assist in all revenue-generating opportunities. i. Oversee the effective hiring, training, and schedule of all Food service and Event Services Personnel. ii. Ensure supervision and performance management of the Events and Food Service lead Staff. b. Develop, review, and modify policies and procedures for Event and food service support operations. c. Ensures that all required certificates and licenses for food service and events staff are secured. d. Sees that effective orientation and training for any new events and food staff takes place, maintaining ongoing development of existing personnel via evaluations, continuing interaction and the setting of goals. e. Manage Payroll for the Events and Food Service area keeping control of hours and budget. Sign off and assist with the biweekly payroll verification. Audit payroll at least monthly. f. Structures the events and food service organizational chart for maximum effectiveness. Maintains balanced staffing and scheduling strategies to meet business needs. g. Defines position descriptions for all subordinate events and food services positions. h. Maintains open communications with above-mentioned subordinates via weekly management meetings and daily conversation. i. Maintains appearance, upkeep, cleanliness, and organization of all food and beverage facilities and equipment. j. Monitors employee dress codes according to Handbook. 6. Other Duties a. Work in a cooperative manner with the other on-site directors of the RJKCCC program, discussing any problems that may be occurring within the facilities in which their programs operate. b. Maintains high visibility by greeting and listening to guest and member comments and needs. Addresses member and guest complaints personally while keeping Director of Business Services informed. c. Attend all scheduled staff meetings and leadership team meetings when required. d. Follow and ensure adherence to The Salvation Army Policies and Procedures. e. Be a manager on duty (MOD) as assigned. f. Perform other assignments/duties as directed. REPORTING RELATIONSHIPS This position reports to the Director of Business Services and directly supervises the Events and Food Services Staff. This position works cooperatively with other staff members who manage spaces and the set- up of events.

4 In contacts related to this position s duties this individual acts as a representative of The Salvation Army and its mission. PERFORMANCE MEASUREMENTS This individual will be evaluated on how effectively the outcomes of this position are achieved. Timeliness and accuracy of accomplishing assigned goals will be reviewed. An evaluation of how effectively service is provided. EDUCATION/EXPERIENCE Must have significant training and/or experience in Food and Beverage industry including: a. Concession operation b. Catering planning and execution c. Restaurant management 1 year of managing or coordinating events. 2 years of college preferred in business management or equivalent for the events/food industry. CPR, First Aid, and AED Certified. Safe From Harm Certified. Valid Drivers License/MVR clearance Safe Serve Certificate and Food Service License with 60 days of employment. 5 COGNITIVE: A knowledge of large community centers offering a wide variety of programs and services. An understanding of how to supervise staff and participants of varying education levels and diverse cultural backgrounds. Excellent communication (verbal and written) and interpersonal skills, being able to effectively communicate in English. Knowledge of all health and safety regulations as defined by the Health Department as well as The Salvation Army. POSITION LIMITATIONS This individual will only commit Army resources that have been allocated or approved. This individual will keep the Director of Business informed on all critical issues relating to their area of responsibility. This individual will adhere to all army policies and procedures in carrying out the responsibilities of this position. PHYSICAL DEMANDS/WORK ENVIRONMENT This position is required to do moderate physical work and be able to lift and carry 40 pounds. In order to successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and a PC. At times they will be expected to participate in community center activities. The work environment for this position includes a community center environment with a medium to high noise level. Must be able to drive on occasion.
