2 ABOUT CORPORATE SOCIAL RESPONSIBILITY REPORT Kelprojektas Group is now the biggest group of transport infrastructure engineering companies in the Baltic countries engaged in the design of transportation communications, buildings intended for public use, utility infrastructure, territorial planning works, consultation, technical supervision and project administration services in accordance with FIDIC and EU requirements. More than six thousand projects of various scope and complexity. Ten thousands of kilometers of new and renovated roads, streets, and railways. Highly recognized and rated bridge projects and territorial planning works. And it is just a small part of Kelprojektas Group s contribution to the modernization of transport infrastructure in Lithuania and other countries. By implementing the objective of the Group to contribute to creating the future of the country and the world based on continually improving and innovative society, environmental protection, and sustainable economic development Kelprojektas is strengthening the group of companies: in May 2014 acquired 100 percent of shares in Kelvista, UAB. Kelvista, UAB is the second company to revive Kelprojektas Group with highly skilled specialists and experts. Now the Group employs over 310 people: Kelprojektas, UAB 234, Urbanistika, UAB 34, Kelvista, UAB 46. Extensive experience and know-how, also investment into advanced solutions, innovations, modern design technologies, employee training, and improvement of work processes enable to perform the activities pursuant to the principles of sustainable development and social responsibility. This Corporate Social Responsibility Report is the third report of Kelprojektas and the second report of the Group covering the presentation of activities of the Group in relations with clients, employees, society, and in the field of environmental protection for the Year 2014 (1 January 31 December). The Report is presented on the web pages of the Group and is made available to all parties concerned: clients, business partners, employees, representatives of the media, and society. In implementing the environmental policy of Kelprojektas Group to protect natural resources the Report is not printed. Corporate social responsibility reports will be prepared and presented once a year. 3 CEO S WORD Three years ago Kelprojektas, UAB presented its first corporate social responsibility report. During this period the company has grown: expanded the spectrum of services rendered, started working with foreign partners and customers, acquired other companies. Today we are the biggest transport infrastructure engineering group in the Baltic countries. We have built a team of the best specialists to share our knowledge, experience, and ideas. Through personal development we can create a more cohesive and sustainable environment for the society. I am pleased to be able to present the third corporate social responsibility report of Kelprojektas and companies within the Group covering the presentation of progress and contribution that we have made to responsible business as well as development and modernization of sustainable transport infrastructure. By following our vision to always be two steps ahead we consistently aspire after being an innovative and responsible Group deserving the trust of our business partners and society. In 2014 we took another step towards the provision of premium quality services based on the principles of sustainable development we acquired an engineering consulting company Kelvista, UAB. Kelvista, UAB is the biggest and the most famous private technical supervision company operating in Lithuania. Having during fifteen years of work gained extensive experience and built a team of competent specialists, Kelvista contributes to the implementation of responsible business obligations assumed by the Group. A united approach of the Group towards the importance to create sustainable and responsible business is reflected in the Corporate Social Responsibility Policy of Kelprojektas Group and Quality, Environmental Protection, Occupational Safety and Health Policy of Kelprojektas Group approved in November Successful implementation of objectives and obligations of the Group is endorsed by the appreciation expressed by customers, partners, and various organizations. We are very happy that our active and focused activities, advanced and unconventional solutions were awarded in 2014: the project of construction of bypass to the east of Panemunė with a bridge over the Neman River prepared by Kelprojektas was recognized to be the Best Road Project of the Year at the competition organized by the Lithuanian Road Administration and the Lithuanian Roads Association, a gold medal at the Lithuanian Product of the Year competition was awarded for the project of reconstruction of the road A9 Panevėžys Šiauliai stretch (including Kairiai bypass), the Lithuanian Business Confederation granted the award in the Most Intellectual Workplace category. Continuous progress can only be achieved through continuous improvement, responsible combination of business processes, society needs, and environmental interests, investment into advanced solutions, innovations, and modern technologies, as well as employee training. 4 ATTITUDE OF THE GROUP TOWARDS CORPORATE SOCIAL RESPONSIBILITY Kelprojektas Group undertakes to apply the best practice, experience, and know-how oriented towards continuous progress to the creation of value added for clients, partners, environment, and society. Implementation of social responsibility in business is one of the components of the Group s long-term strategy reflecting the philosophy, vision, mission, and values of activities. We see corporate social responsibility as: Ethical behavior with employees, clients, and partners; Provision of quality, innovative, as well as environmentally and socially friendly services; Balance between environmental protection, satisfaction of society needs, and our business development in the future. Kelprojektas Group implements corporate social responsibility in the following four main fields: Relations with clients (market); Relations with employees; Relations with society; Environmental protection. In our activities we go by: Code of Ethics of Kelprojektas, UAB; Quality, Environmental Protection, Occupational Safety and Health Policy of the Group; Corporate Social Responsibility Policy of the Group; FIDIC (Federation Internationale Des Ingenieurs-Conseils) Code of Ethics for consulting engineers. 4

5 MAIN FIELDS MARKET The strategy of the Group is oriented towards the development of new activities and international business by offering innovative engineering solutions for environment and infrastructure as well as territorial planning and technical supervision services. We comply with laws, legislation, and such other acts governing the activities in the countries that we work in. We support honest and transparent corruption and bribery free business. Market development Expanding into foreign markets is one of the key strategic objectives of the Group. Kelprojektas, having stepped into the Estonian transport infrastructure engineering market in 2013, in 2014 successfully participated in public procurement and signed three contracts with Tallinn City Municipality. The company has formed a strong circle of local partners an international team of local employees from Kelprojektas subdivision in Estonia and specialists from subdivisions in Lithuania. In 2014 Kelprojektas stepped into new markets and together with its partners successfully participated in public procurements in Sweden as well as by the end of the year signed its first contract. Quality Considerable attention is devoted to ensuring the quality of services rendered and acquiring software as well as such other means to optimize daily work: In 2012, the company acquired and started implementing one of the most innovative document management systems in the world Autodesk Vault. In 2014, 45 Kelprojektas projects were designed in this system. Every single project involves many different departments and subdivisions. Before the introduction of Autodesk Vault, departments/subdivisions would upload their documents/drawings on the intranet or send by . In order to ensure timely presentation of correct data, a head of a design had to constantly follow the progress of works. Where preparing the designs in Autodesk Vault system, departments/subdivisions can organize, control, and monitor the process in a multi-access system. This ensures a more efficient and quality preparation of the design: speedier exchange of information, lower incorrect information transmission risk, simplified communication between departments/subdivisions. We apply BIM (Building Information Modeling) in projects prepared by Kelprojektas. Building Information Modeling is a process, during which the entire information on building including any and all lifecycles thereof is generated and controlled from a primary concept of a design to demolition or renovation of a building. Application of BIM enables to significantly reduce time and other costs spend for building design, organization of construction works, construction, engineering supervision of construction, maintenance, etc. Meanwhile BIM model analysis enables detecting errors before the manufacturing starts, when the building adjustment costs are still minimal. Kelprojektas applies BIM model in designing digital models of roads, railways, manifold, in preparing reports, technical documentation, data for equipment control, and in making visualizations. In order to ensure reliable and safe IT infrastructure, in 2014 two companies of the Group (Kelprojektas and Urbanistika) opted for Office 365 and Windows Azure services and transferred their data to the Cloud storage. Upon the introduction of these services, s, calendars, and such other documents important for work became accessible from any employee s device irrespective of its location. It became easier for the employees to share the information, since additionally they were allowed to use Lync Online platform as well as SharePoint document management solution. These solutions enabled the companies of the Group to organize virtual meetings, presentations, and teamwork by simultaneously accessing and editing necessary documents. In 2014 Kelprojektas acquired PTV VISUM software. It is a strategic personal and public transport planning system for graphic road network editing, traffic analyses, evaluations, forecasts, and environmental impact assessments. This software enables offering a better quality and environmentally more efficient design solutions in consideration of traffic flows as well as noise and pollution effects on the environment. 5

6 MAIN FIELDS MARKET Fighting corruption Strict observance of the law and integrity are the main values of Kelprojektas Group established in the Code of Ethics of the Group. The document is binding upon any and all employees of the Group. The Code of Ethics also obliges the employees to stick to any and all contractual obligations, laws, regulations, and rules in connection to fair competition, corruption, political contributions, etc., applicable in the Group. Informing clients In order to inform our clients of innovative technologies, new solutions within transport infrastructure engineering, and projects implemented by Kelprojektas in 2014, we have published one Kelprojektas newsletter edition Innovations The Future of Transport Infrastructure. Appreciating activities In 2014 Kelprojektas participated in the Lithuanian Product of the Year competition announced by the Lithuanian Confederation of Industrialists, the Service of the Year 2014 announced by the Lithuanian Business Confederation, the awards organized by the Lithuanian Road Administration under the Ministry of Transport and Communications as well as the Lithuanian Roads Association: The company was awarded the Lithuanian Product of the Year gold medal for the project of reconstruction of the road A9 Panevėžys-Šiauliai stretch from 59.7 to km (including Kairiai bypass). The Most Intellectual Workplace award was granted for the application of innovative document management system Autodesk Vault in road and street engineering. Modern tools, such as Autodesk Vault system, is one of the ways to ensure the efficiency of designers, since it facilitates the control of work processes and enables taking advantage of all design software options. The Best Road Project of the Year award was granted for the project of construction of A12 highway Riga-Šiauliai-Tauragė-Kaliningrad stretch from to km (bypass to the east of Panemunė) with a bridge over the Neman River. A road of a few kilometers with a skyway and a bridge over the Neman River will connect the two states Lithuania and the Russian Federation (Kaliningrad District). It is the first and so far the only such project in the country prepared by designers of both states, whereas the designs prepared connect on the same support. 6

7 MAIN FIELDS EMPLOYEES Professional, highly skilled, creative, intellectual, and competent employees are the key factor determining successful activities of the Group. We appreciate our employees and undertake to adhere to the Ten Principles of the United Nations Global Compact, therefore, we do not tolerate: Discrimination (in respect to race, gender, age, etc.); Child labor; Unfree labor; Psychological violence. We respect our employees rights and comply with the law governing the security of the appropriate working conditions. Every employee is evaluated according to the result, competence, and responsibilities. General Kelprojektas, UAB employs 240 people, whereof 144 (60 percent) men and 96 (40 percent) women. Chief executive officer and 5 department directors hold key positions in the company. Average age of employees in the company is years, average length of service 7.43 years. Urbanistika, UAB employs 32 people, whereof 10 (31.25 percent) men and 22 (68.75 percent) women. Director holds key position in the company. Average age of employees in the company is years, average length of service years. Kelvista, UAB employs 46 people, whereof 35 (76.08 percent) men and 11 (23.91 percent) women. Director holds key position in the company. Average age of employees in the company is years, average length of service 3.7 years. Working environment, occupational safety and health Every year the Group organizes periodical employee health examination on site. Employees working under field conditions are immunized (get vaccination) against tick-borne encephalitis (TBE). Everyone can also get immunized (get vaccination) against flu. Also the company promotes healthy lifestyle and sports activities. Every month all employees are partially compensated for sports activities, receive special offers and discounts at the gym clubs, which the company cooperates with. Employee education (in-service training) For its employees the Group organizes a few types of training. In 2014 Kelprojektas employees attended: Management training: - Improving sales and negotiations skills; - Refreshing financial, human resource management, and IT knowledge; - Improving foreign language skills. Professional skills training. In 2014, 8 heads of a design and 16 heads of a part of a design attended professional skills training. Internal training. Internal training is conducted by the employees themselves or lecturers invited to the company. In 2014 employees were trained to work with various software programs implemented in the company and introduced to relevant amendments to legal acts. 7

New certificates in the field of territorial planning, geodesy, and land-use planning works were acquired. Kelvista employees attended: Management training. Requirements of quality management systems. Professional skills training. Projects according to FIDIC, PENS expert in-service courses, traffic safety, etc. Internal training. Internal training is conducted by the employees themselves, during which they share the information on relevant amendments to legal acts and exchange the information, which they found out during various courses and seminars. The company s employees attend various seminars, exhibitions, and conferences in both Lithuania and foreign countries. Social package The company has formed a fund for social needs to finance various allowances and benefits. The company partially finances sports related expenses and collective leisure activities. The company finances vaccines against flu and tick-borne encephalitis (TBE). The company has equipped the sports zones. The company offers an opportunity to acquire cheaper gym membership in a certain club. The company organizes various traditional and other events: summer event Spartakiada, Group Christmas party, Kelprojektas birthday party, etc. Employees can acquire holiday packages to spend their vacation at the company s Paaisečio poilsio bazė in Molėtai. The company offers an opportunity to acquire a legal Office package for home at a symbolic fee. The company offers an opportunity to attend cultural and sports events, which take place in Žalgirio Arena. The company partially finances foreign language courses. Employee satisfaction surveys The Department of Human Resources publishes surveys on the intranet in order to find out the employee opinion on various matters. Intelligent reward system The company has developed an intelligent reward system, which helps to reward the employees for their work according to the results achieved and the value created for the company. The reward system has been developed taking the specifics of activities of Kelprojektas and Urbanistika into consideration. It is a unique system designed to evaluate the employees educational background, the level of responsibility, the team leadership, etc. 8

9 MAIN FIELDS SOCIETY We support the initiatives, which encourage the information society progress we support culture, sports, and education. We cooperate with the academic community by providing financial support and initiating sharing of knowledge and experiences. In 2014 the Group implemented the following initiatives: Creation of information society. We are concerned about the improvement of university study programs and the integration of students into the labor market. We maintain close relations with the universities: Kelprojektas employees give lectures at Vilnius Gediminas Technical University, attend at defending bachelor s and master s theses by the students of Kaunas University of Technology and Vilnius Gediminas Technical University. Urbanistika employees give lectures at Vilnius Gediminas Technical University and Vilnius College of Technologies and Design. Education: - For the second year in a row Kelprojektas arranged Transport Infrastructure Innovations 2014 conference. This year s conference covered the discussions on Lithuania s infrastructure plans in the EU context as well as the partnership between private and public infrastructure sectors. At the conference speakers presented innovative structural solutions of bridges, railways, and buildings, as well as perspectives of smart cities. - Chief programmer attended the annual Autodesk conference and read the following announcements: Working with Vault on Infrastructure Projects, Managing Business Documents: Actual Experience and Civil 3D Corridors for Rail Roads. Vault as a Component of BIM: Actual Experience. - Manager of IT department shared his experience in Office 365 service implementation and read the announcement on How We Use Cloud Storage: Office 365 and Microsoft Azure Experience. - Deputy CEO technical director attended the event organized at the Quality Department of Vilnius Gediminas Technical University and read the announcement on software programs used in Kelprojektas, which help to ensure smooth and quality work. Sponsorship. The Group sponsored various institutions. Kelprojektas sponsored: - Safe Traffic Class organized during Omnitel 1000 km race. - Main sponsor of Christmas Charity Night in Kaunas Town Hall. Urbanistika sponsored: - Culture Center of Varėna in organizing the Mushroom Festival. - Municipality of Šalčininkai District in organizing the Harvest Festival. Kelvista sponsored: - Children s Care Home in Plungė; - Darbėnai community; - Public organization Terra publica. 9

10 MAIN FIELDS ENVIRONMENTAL PROTECTION Being the biggest transport infrastructure design and engineering group in the Baltic countries, we realize that our services have a direct effect on the quality of life of society and the surrounding environment. Our solutions must ensure: Efficient development of infrastructure and transport communications; Reduction of adverse environmental effects; Preservation of flora and fauna. Therefore, we search for innovative solutions, which would help to ensure the implementation of all these three factors. In order to familiarize the society with our design solutions, which not only ensure the reduction of environmental impact, but also contribute to the enhancement of quality of life of society, we have thought of website column Environmental Solutions in Projects. In this column we publish the information on projects prepared by our company, which distinguish by interesting, innovative, and unconventional solutions. We also present such projects, which not only contribute to the environmental protection, but also assure better traffic safety. Saving resources Paper Waste Customers and partners are sent electronic holiday greetings. Documents, which are not necessarily to be printed, are prepared in an electronic form. Periodical publication Kelprojektas Newsletter intended for employees and customers is prepared and published in an electronic form only by using ISSU platform. Kelprojektas envelopes are made from 100 percent recycled paper. Waste, which is formed in economic activities, is collected, sorted, stored, and utilized in accordance with legal acts governing the collection and utilization of waste. In order to reduce the formation of e-waste, in 2013 the company introduced the auction, during which the company s employees can acquire computers at a symbolic price. At the auction of 2014 Kelprojektas employees acquired 7 computers. By organizing the auction, the company encourages equipment recycling. All companies within the Group collect scrap paper and deliver it for recycling. Transport In order to reduce CO2 emissions, the company renews its vehicle fleet every year. All vehicles acquired by the company meet Euro 3, Euro 4, and Euro 5 requirements and are more environmentally friendly. Kelprojektas has acquired teleconference equipment, which enables organizing meetings on site. Employees are encouraged to opt for such an alternative as video conference instead of going to a meeting by car or such other means of transport. 10
