3 Pay Rate Change/History Report (12.1) Added in Version 12.1 this report makes it easy to access details on pay rate changes, address changes, rehire dates and termination dates and manual changes to vacation pay owing. These details previously could be accessed by going into employee s history button under Maintain Employee Records. This new report gives additional options in regard to pay rate changes and also can be exported to Excel. Report is found under Canadian Payroll > Files >

4 Employee s Edit Log (12.2) Added in Version 12.2 this report will track any changes made to an employee s file under Maintain Employee Records. Included in the details of the changes are when the change was made (time and date), what workstation it was made on and the user that made the change. In addition a Search Field has been added to narrow down searches (i.e. if you just wanted to see changes made to the deduction screen then you could enter the word deduction in the search field.) As with the Pay Rate/Change History report the Employee Edit log can also be pulled into Excel for further modifying and sorting.

5 Multiple Automatic Other Payment Per Pay Setup (12.1) An employee can now be setup with multiple types of Other Payment Per Pay as opposed to previous versions where only one Other Payment Per Pay amount could be setup. Other Payment Per Pay is designed for employees who receive the same additional dollar amounts each pay. By setting these up in the employee s file under Maintain Employee Records the user entering payroll does not need to worry about entering these amounts as system will process them automatically upon the first time an entry is done for that employee.

6 Redirect of Working Dues (12.1 And 12.2) In Version 12.1 the ability was added to redirect Working Dues #4 and #5. In 12.2 the same ability was added for the remainder of the working dues (#6-#11). Without redirection setup all working dues will combine and show as working dues under code D07. With redirection you are able to break them out into their own deduction code so that they will then also be broken out on the employee s pay stub. To specify the deduction code to redirect the dues too, go to Payroll Config > Special Payroll Options (note that in 12.1 the option is on the main screen while in 12.2 they have been moved off into a separate screen that can be accessed by clicking on Redirect Dues)

7 Redirect of Vacation Pay Expense for Jobs and Work Order (12.2) For employees that accrue vacation pay, the expense side of the accrual can now be redirected to a different job cost or work order type. Without redirection the expense follows the same cost type as the wages. (Note that the ability to redirect vacation pay expense when posting directly to a G/L account already existed in prior versions under the Burdens button in the Payroll Department setup.)

9 Payroll Audit Reports Preview Checklist Option (12.2) The Preview Checklist available when in the New Combined Time Entry screen can now also be printed from Payroll Audit Reports. Option for this is P under Which Report in the Payroll Audit Screen under Processing. Report, similar to below can also be brought into Excel if required.

10 Setting up New Users (12.2) To help streamline the process of adding in new employees who also need to be setup with a User Id in Jonas you are now able to click in directly to Maintain Employee Records while in the User Administration screen and setup the user in Payroll at the same time. (Note: this option is only enabled if person setting up user has the proper menu and payroll access)

11 T5 (dividend reporting) Form Printing and Filing (12.2) The ability to print on T5 form and also file electronically to CRA has been added in Version 12.2 (note that the forms themselves must be ordered from CRA and Jonas will then line up with the form when it prints the details and amounts.) This option is found under Canadian Payroll > Year End > Print T5 s. If printing the forms, choose Standard and if filing electronically choose Internet File. The amount that is to go on the form must be under some code in employee s YTD balances, enter in this code under either Eligible or Non-Eligible and system will calculate out the remaining columns.

12 WCB Yearly Maximum (12.2) Cost Allocation has been improved to stop calculating WCB in the pay that the maximum wages are reached. Previously if employee had multiple time entries in the period that the maximum was reached, the system continued to burden WCB in excess of the maximum wages (subsequent periods were okay, no WCB would be calculated).

17 Edit Other Hours (12.1) Other/Misc hours can now be edited under Edit ROD/TVO as opposed to going back into the initial entry screen and doing a plus or minus to adjust. (TVO refers to H04/H05/H06 hours).

18 Print Earning Statements & Selected Employees All standard earning statement designs now have the ability to print selected employees.

19 Employee Deductions & Multiple Garnishments (12.1) A combined maximum % that can be deducted for a employee with multiple garnishments can now be setup. If the combined % is exceeded then the last garnishment deduction will be reduced. To link the deductions with the combined % enter in the percentage with brackets at the end of the based on field (if there is other info in the based on field enter a space first).

20 Employee Deduction Update (12.1) Option has been added to upload details to multiple employees deduction screen at the same time. The deduction code must still be first setup under the Payroll Profile with the description, tax rule and G/L. Options exist to Match & Replace, Replace or Insert and can be run for selected, range or all employees. Example of when this could be used are if you have employees setup with 401K deduction and you have the maximum wage base in the based on field (i.e ) and want to change it to the new amount:

21 YTD Futa Tax Report (12.1) When running the 4th quarter FUTA tax report an option will now come up to print a YTD tax report (if you answer no it will print normal 4th Quarter report). The YTD report shows Year To Date FUTA wages, Excess wages, Taxable wages and Tax amount. Also two columns, Gross Wages and YTD 125 Deductions (those deductions that are coded with U as the pre tax rule) have been added for informational purposes. In addition report will list tax liability by quarter.

22 Print Payment History Report by Check Date (12.1) Print Payment History report now has an option to select pay periods based on date range (i.e. Pay Period ending March 30 th with a check date of April 02 would be included if running the report from April 01 st to June 30 th ).

23 Report Generator and Details by Pay Period (12.1) When creating report gen reports based on payment history for a selected date range, you can now have details broken out by pay period (as opposed to lumping together as one total amount). To do this a column must be added to the report for pay ending date. The data type for this column is XPED.

24 Report Gen and Code for Pre Tax Wages (12.2) A new code X@PT has been added in report generator design. This code will calculate actual federal taxable wages (gross less pre tax deductions).

25 Payroll Audit Reports Preview Checklist Option (12.2) The Preview Checklist available when in the New Combined Time Entry screen can now also be printed from Payroll Audit Reports. 26 Certified Report WH-347 Format (12.2) When printing a Certified Report from the Reports menu in Jonas a option has now been added to print the report in a format based on the actual WH-347 form.

27 Redirection of Equipment Fringes (12.2) If posting directly to a piece of equipment, you can now redirect the fringes to a different cost type and G/L.

28 Mulitple Retirement Plan Deductions and CAP Function (12.2) Ability has been added to link multiple deductions together to determine if a CAP amount has been reached. This is designed for employees that have multiple 401K/IRA deductions (some may be ROTH others Pre Tax). To link deduction codes together, enter in RPL followed by the amount in the based on field for each applicable deduction. For example: D10 (401k), D11 (Roth 401K) and employee has a CAP amount of 16500, in these examples in the based on field for both deductions you would enter RPL If deduction is an amount then it would just be RPL If deduction is a percentage then would be similar to E01-E40, RPL16500.
