PERIOD OF CONTRACT: As per contract of employment Overview Community Living and Support Services (CLASS) is an organisation that supports people with disabilities, the frail aged and socially isolated to become more involved in their community. CLASS is a non-government, not for profit, charitable organisation. Position Objectives The Finance Officer is a member of the Finance team which is responsible for the provision of quality finance and payroll services to CLASS customers, employees and management. The team works closely together to ensure financial processes are both efficient and effective, and supports each other to ensure all internal and external reporting requirements and deadlines are achieved. Key Duties and Responsibilities; - Maintain and monitor a register of all service contracts, including: o Preparation of service quotations; o Follow up quotations to ensure contracts are issued and contract details are accurate; o Prepare reports/acquittals, as required, on the status of contracts and proactively investigate anomalies between actual and contracted hours of service; o Liaise with service managers and rostering staff to ensure the status and specifics of all contracts (quoted, active and ceased) are well communicated;

2 - Generate invoices for services provided, in accordance with attendance records, contract information and/or support hours recorded; - Submit invoices for government services into the appropriate contract portal and monitor status; - Ensure all receipts (electronic, cheque, cash, credit card) are promptly banked and accurately recorded against invoices generated or revenue areas; - Monitor and perform regular and proactive follow up of outstanding invoices by communicating directly with customers (or their representatives) to achieve a positive outcome; - Assist with the maintenance of client trust accounts; - Perform general ledger maintenance functions including journal preparation/posting and reconciliations; - Perform key functions as part of the monthly internal reporting process to ensure reporting deadlines to Managers, Senior Executive and Board are achieved; - Assist with the preparation of quarterly BAS returns; - Contribute towards the development of annual budgets and forecasts; - Perform other duties as directed by the Finance Manager; - Provide ad-hoc financial analysis as required by our stakeholders; - Develop and maintain relationships with relevant key stakeholder groups, both internally and externally (clients, staff, management, board, funding bodies, families, supporters, and the wider community); - Utilise existing financial systems while providing input to ensure continuous improvement in systems and processes; - Attend meetings, conferences and interviews as may be reasonably required; - Undertake correspondence and written communications on behalf of the organisation; - Work collaboratively with peers and colleagues to achieve organisational objectives; - Apply WH&S legislation to create and manage a safe work environment. 3 - The defined limits of delegated authority; - Within the confines of budgeted restraints, relevant legislation, regulations and by-laws. Person Specifications To perform this job successfully the incumbent must be able to satisfactorily achieve the objectives of each key result area. Qualifications and Experience It is essential that the Finance Officer have: - Certificate IV in Financial Services (or be willing to undertake studies in this area) or equivalent experience in the workforce; - Experience in financial processes, or a desire to develop skills in this area; - Intermediate MS Excel skills and a willingness to learn more advanced elements of this software; - Experience with personal computers, MS Office suite and some exposure to financial software packages Desirable It is desirable that the Finance Officer have: - Experience in working in a not-for-profit organisation; - Experience in preparing banking, receipting and/or debtors management; - Experience in preparing general ledger journal entries and reconciling general ledger accounts; - Previous experience with Sybiz accounting software; - Previous experience with State or Federal Government contract management portals. Knowledge Desirable It is desirable that the Finance Officer have: - An understanding of funding for both State and Federal programs and the subsequent reporting of outcomes along with how such funding is secured; - A working knowledge of accounting principles, taxation law and banking processes; Page 3 of 5

4 - An understanding of disability services and resources nationally and in particular in South Australia; - Knowledge of current developments within the community services sector; - Be familiar with the National Standards for Disability Services and relevant legislation; - Experience in working within a service excellence framework. Personal Characteristics It is essential that the Finance Officer: - Be a self-starter and demonstrate high levels of initiative and innovation especially in identifying areas for process improvements; - Be able to work effectively within a team environment; - Have a high level of attention to detail and a systematic and thorough approach to maintaining financial records; - Demonstrate and maintain high levels of professionalism, integrity and ethics; - Have the ability to effectively manage variable degrees of workplace pressure, changing circumstances and competing priorities; - Have the flexibility to work extended hours at times in order to achieve agreed goals; Special Requirements It is essential that the Finance Officer: - Have and maintain a current Australian Class 1 driver s licence for duration of employment; - Be willing to travel to sites and locations service regions; - Be willing to travel interstate and intrastate as required; - Be willing to perform out of hours work from time to time, as required; - Have and maintain a personal record free of inappropriate or criminal activity.
