2 Posting Workflow for Adjunct/Part Time Employees Originator HR Initial Review Department Head/Chair Dean Academic Budget Coordinator- Only if under Academics Provost Vice President (Non Academics) Budget HR Final Review Posted on UCA s Website or HM sent Private Link from HR to send to applicant 2

3 Logging On ADJUNCT/PART TIME JOB POSTING INSTRUCTIONS FOR ORIGINATORS Open your browser and go to Click under the box on the SSO Authentication or CAS Credentials link. You will then be able to log in with your UCA credentials. DO NOT LOG IN HERE! Be sure you are logged in as an originator. Click on the Postings tab, Adjunct/Part Time. Click on the orange button +Create New Posting button. 3

4 You may Create from a Position Template or if you have originated the posting previously then you can Create from Posting. Select Default. Select Create Posting from this Position Template. Complete the Working Title. This is what the public will see. Complete other fields if needed. Click accept applications at the bottom. Click create new posting. 4

5 Posting Details Enter the proper employee class code. FLSA-05 & 06 will be Exempt and 07 will be Non-Exempt. Continue filling out all applicable fields. For Adjunct add start and end date. Select an option for Dates of PAF. Private link will provide an internal link (I will supply to you when posting is approved) for you to give an applicant/applicants that you have predetermined will be hired adjunct/part time. The applicant will be able to fill out their application and then after they inform the hiring manager/dept head it is completed the HM/DH will need to be proactive in moving the applicant to Recommended for Hire AND HR for Background Check. There are NO triggers to inform the hiring manager that the applicant has applied. Public posting will post to the public. It can remain open for 5-30 days. Complete additional fields. Click Next. 5

6 POSITION DETAILS Continue to fill in all applicable fields. If you would like to convey information to the applicant you would place the instructions in Special Instructions to Applicants such as This is an M-F, 3-11 PM position. Click Next. POSTING SUPPLEMENTAL QUESTIONS On the next screen IF you would like to add questions to ask the applicant such as Do you have at least two years of experience/onthe-job training performing grounds keeping and/or the maintenance of lawn-care equipment? then click on Add a question. When the questions screen appears type in a keyword. Click the Add box on the left and Submit. Click the Required box then click on the blue area under Question to open up the field. Click on blue question to open up field. You can click the no checkbox under disqualifying and if they do not have the experience requested then it will automatically disqualify the applicant if they check no. Click Next. 6

7 APPLICANT DOCUMENTS The Applicant Documents page is next. You may check the boxes if you would like to accept documents from the applicant; otherwise click Next. GUEST USERS If you need a non UCA employee to view applications then you would need to add their address here. SEARCH COMMITTEE MEMBERS You may add search committee members or the Administrative Specialist to give them access to view the applicants. REFERENCE LETTER SETTINGS Please indicate if you would like to receive reference letters or just collect contact information with the drop down boxes. If you prefer to collect nothing then leave blank. Click next. Review your posting. If it is correct then hover over Take Action on Posting and move to HR Initial Review. Submit. It will continue in the workflow until posted or a private link will be ed to you. As it moves through the posting workflow on page 2 triggers will be sent to the appropriate approver to take action on the posting. 7

9 ADJUNCT/PART TIME APPLICANT WORKFLOW INSTRUCTIONS FOR THE HIRING MANAGER AFTER JOB IS CLOSED & REMOVED FROM THE WEB REVIEWING APPLICATIONS AS THE HIRING MANAGER Log in as the Hiring Manager. If the posting is not on your home page under your watch list then go to Postings, Adjunct/Part Time and click. The posting should be at the bottom of your page. Click on the working title to open it up. Click on the applicants tab. The applicants should be at the bottom of the page. After reviewing the applicants move them appropriately in the workflow by checking the box to the left and then hover over the bigger orange Actions button on the right to move in workflow. You will then select the workflow state for change for all applicants of Recommended for Hire. Then for each applicant select the appropriate workflow such as Not to be interviewed at this time- when posting is filled. Save changes. 9

10 YOU ARE NOT FINISHED!! YOU MUST START THE HIRING PROPOSAL!! Refresh. Click on the applicants name and open their application. On the right side under the big orange button Start Adjunct/Part Time Hiring Proposal. Click start again. Fill out the appropriate areas. Click next. Click next again. As hiring manager move the hiring proposal to HR Background Check. The applicant will then receive an from HireRight to consent for a background check. Please see your hiring proposal workflow on the next page to see the next approvers for your hiring proposal. s will be sent out to the appropriate approver until the hiring proposal has been approved. The hiring manager will receive an EPAF sent via . The selected applicant will then receive an from TalentEd to collect their new hire paperwork. They MAY NOT START until they have been to HR with their I-9 docs, voided check and social security card for payroll. At that time the applicant may start on the date shown on the EPAF. NOTE: Please share the EPAF with your Admin and Dean if needed. 10

12 HOW TO FILTER A SEARCH FOR A POSTING OR APPLICANTS When SEARCHING for a posting or applicant and you cannot find the posting or the applicant please filter your search options. Here is how your page might look with no rows or columns: If you do not see any postings or applicants then you will need to filter your search. Click on the More Search Options to add your rows and columns. To build out rows and columns click the drop down for Add Column. You may then select your columns you would like to have on the title bar. See below. After you have built out your columns and rows you may then select a workflow state to determine where the position is in the posting process. Please refer your workflows contained in these instructions. You may also save this search. Please remember you may use this filter for applicants AND postings. 12
