1 Date: March, 2018 Job Title : (6 month fixed term role) Department : Facilities and Development Location : North Shore Hospital Campus including other locations as determined from time to time Reporting To : District Facilities Manager Direct Reports : Nil Functional Relationships with : Internal Facilities and Development managers and team Waitemata DHB Staff All clinical and non clinical staff and managers External Patients & Visitors Consultant engineers & architects Building & engineering contractors External trades & maintenance contractors healthalliance Purpose of the role : Work together with the Facilities Maintenance Engineering and external consultants to undertake an asset condition survey and develop a database detailing all major and critical plant and facility assets at WDHB. The survey is to assess the condition and performance risk of the assets and consequently the systems they are a part of. The role will entail the following duties: Visiting all plant rooms and all building and physically identifying each major asset and its components Photographing, tagging and taking details of the components using modern 360 degree photography techniques and latest asset conditions. 3 KEY TASKS EXPECTED OUTCOMES Asset management survey Guided by external experts and facilities maintenance engineering team, assist with building a refreshed asset management database of all major and critical plant and facilities: Visit all plant rooms and all buildings and physically identify each major asset and its components Photograph, tag and take details of the components using modern 360 degree photography techniques and latest asset recording techniques Analyse each major system within the building to identify condition and risks Record all asset information gathered in the upgraded asset management register Prepare presentations and reports of key asset information as required BEIMS upgrade Contribute to the implementation of upgraded asset management software to support the data collection, analysis and reporting elements of the asset management survey Relationship Management Proactively develop and manage relationships with internal and external stakeholders to facilitate the delivery of the asset management survey Demonstrate full and positive participation as a member of the facilities maintenance team at meetings and planning sessions. Other Duties Assist with the development, review and improvement of Facilities Maintenance policies, procedures and protocols as required Prepare written reports as requested by District Facilities Manager from time to time Any other additional duties that relate to the position are completed as instructed by District Facilities Manager Statutory & Treaty of Waitangi obligations Ensures the professional and political integrity of Waitemata DHB by carrying out all functions in compliance of the Treaty of Waitangi and by demonstrating a serious commitment to keeping the treaty alive. Shows sensitivity to cultural complexity in the workforce and patient population. 4 KEY TASKS the Health and Safety at Work Act 2015 EXPECTED OUTCOMES Timely escalation of issues to Risk Register as required Planning, organising & managing H&S activities directed at preventing harm & promoting wellbeing in the workplace Ensuring a safe working environment & safe working practices through the Safe Way of Working H&S system Early and accurate reporting of incidents at work and raising issues of concern when identified. PERSON SPECIFICATION Minimum Qualification Graduate engineer (mechanical, building services or industrial systems) Experience Knowledge and understanding of asset management Good knowledge of HSWA and other standards relevant to the health sector Experience with asset registers Personal Relates well to people across organisations Builds relationships and engenders trust Presents ideas effectively Able to evaluate ideas of others Attributes Attentive to detail Ability to organise own work effectively, prioritising competing workloads and working to deadlines Ability to work independently and display a high degree of initiative Determined and results focused and thrives on a challenge Preferred 1 2 years post graduate experience in asset management in a large organisation Able to identify assets and assess performance risks Experience with BEIMS or other similar asset management software Waitemata District Health Board -JOB DESCRIPTION - Feb 17 Page 4
