The entire team is happy to have you on board with Canada Post. This checklist will guide you through things you need to do before you arrive, during your first week and throughout your first six months. SECTION 1 PRE-ARRIVAL ACTIVITIES Letter of offer and new employee paperwork Your letter of offer has been sent to you by your Human Resources representative along with this new employee checklist. New Employee Paperwork Upon acceptance of the offer of employment, you will be sent the new employee paperwork which you are required to complete and sign electronically. The documentations will be sent to you by via a link to our Onboarding Portal. To sign your letter of offer and new employee paperwork you will need a DocuSign account. To access the Onboarding portal, you will require a desktop or laptop computer with an internet browser that meets the following minimum requirements: Internet Explorer 9.0 or higher (Windows), Microsoft Edge (Windows 10 or higher), Firefox 30.0 or higher (Windows or Mac OS X), Safari or higher (Mac OS X), or Chrome 37.0 or higher (Windows or Mac OS X). It is important that the forms be completed within the identified deadline in order for us to prepare for your first day. If you are unable to complete your onboarding forms, please note that we may be unable to set you up in our employee database, which could result in delaying your initial pay period. Forms to complete electronically : Employee Master Data Form Pension Declaration Form (if applicable) TD1 - Federal Personal Tax Credits Return TD1 Provincial Personal Tax Credit Return (for the province of employment) Equity Census - Self Identification Questionnaire Corporate Policies Acknowledgement and Agreement and Intellectual Property Assignment and Waiver Protection of Mail and Corporate Assets Employee Declaration When signing a document, once all required fields have been completed, the Finish button will appear. If the Finish button is not appearing, it is due to one or more incomplete required fields. Should you have any questions, please contact your HR representative. 2 Welcome to Canada Post The New Hire Zone If you are receiving your self-study training online, you will be directed to the New Hire Zone, which is part of the Canada Post Intranet. The New Hire Zone contains information about Canada Post that is important to know before your first day, including benefits forms (where applicable) and pay. Upon return of your signed letter of offer and the required documentation, and once you have been activated in our system, you will be sent a welcome from Human Resources Batch Account to the address provided on the Employee Master Data form. This will contain your Canada Post username and instructions for accessing the New Hire Zone. Password information for the New Hire Zone can be found in your Letter of Offer. You will receive a benefits letter in the mail (if applicable) that will guide you through your benefit enrolment. Accessing the NEW HIRE ZONE is NOT required Prior to your Training date. If you have not received your USERID, this does not impede your ability to come in for training on your identified start date If you have not received the before your date of hire, please proceed with the following: 1) Should you not receive this , please check your junk mail folder. 2) If you do not receive this in any of your folders, please wait until your start date of employment and contact the IT service desk at to obtain your USERNAME. 3) To access the new hire zone use the following link on your start date of employment: Welcome Package If you are receiving your self-study training in paper-based format, you will receive a Welcome Package in the mail with all the information from the New Hire Zone. The Welcome Package contains information about Canada Post that is important to know before your first day, including benefit forms (where applicable) and pay. Day 1: Orientation On your first day at work (your start date), you'll spend the day doing a variety of different things to help you get oriented to the facility, the people you'll interact with, and to your new job. You'll meet your Team Leader and spend some time with an experienced RSMC as they go through their morning routine, to help give you a full appreciation for your new role. Your Team Leader will review some administrative items with you; you'll get a tour of the facility, and spend some time discussing your new role and responsibilities. You'll also get set up with access to the online training program, and meet the rest of the team you are joining. Any questions you have about your first day can be answered by your Human Resources Representative or your Team Leader. You can find contact information for them in your Letter of Offer. Please make sure you know the specific arrangements for your arrival before your first day. Days 2-6: RSMC New Hire Training Canada Post has the following training you will complete during your first week: Self-study Training The two days following your official start date are for self-study training, completed at home. 3 On-the-Job Training Three additional days have been set aside for the completion of on-the-job training with a Peer Trainer. Make sure you have completed the self-study training beforehand. The Self-study modules ensure you are prepared for your job and have the necessary knowledge and skills to perform your job safety. As an employee of Canada Post you ate given access to the Learning Zone, Canada Post s online training centre. The Learning Zone is the single source for all training related information including job specific / health and safety training, the course catalogue and employee training history. As a new employee at Canada Post, you are required to complete your training within the first 5 days of your start date. These mandatory course can be accessed at home and appear on your learning assignments page in the Learning Zone. You must complete your mandatory training to ensure that you are prepared for your role and have the necessary knowledge and skills to perform your duties safely. To access your training as a first time user, please follow the steps below: a. Click the following link: b. Enter your employee ID into the Employee ID field. c. Re-Enter your employee ID with no leading zeroes in to the password field. You will then be prompted to create a new password and security questions. d. After inputting your new password and security question, you will be able to access Learning Zone by clicking on the My Learning link. To access job aids explaining how to access your training, please click the link below: Note: VPN is not required to access Learning Zone. If you experience technical issues accessing the Learning Zone, please contact the Innovapost Support Desk available 24/7 at Note: Paper-based versions If you indicated during your interview that you don t have a computer, then you should have received paper-based, self study versions of the courses. 4 2. Enter your employee ID number when prompted and press the number (#) key. If you make a mistake, press the star (*) key to make a correction. 3. Select the appropriate option for the course you completed. 4. Select option 1 to confirm you have completed the training. First Day Arrangements Before your first official day at your work location, coordinate the following with your Team Leader: Arrival time and meeting place Parking arrangements Dress code Feel free to ask any questions. 5 SECTION 2 POST ARRIVAL ACTIVITIES Building Tour / Health and Safety Walk You will receive health and safety information as you tour the building on your first day at Canada Post. Be sure you know: Emergency exits Assembly area(s) outside of the building Emergency response activation Alarm signals First Aid procedures and First Aid Kit location. For more information, refer to the Health and Safety Policy in section 3.2 of the New Hire Zone, or visit the Policy and Practice Centre under Resources on Intrapost (the Canada Post Intranet) after your first day. You can also contact a member of your Local Joint Health and Safety Committee (LJHSC) or a Health and Safety representative in your facility. Building Access Pass You will require either an identification card or an access pass to enter your building. Your Team Leader will have documentation ready for you to receive your identification card or access pass on your first day. Bring a valid photo ID (driver's license) with you on your first day of work as it may be required to access the building. Peer Trainer Where a Peer Trainer is provided, they will be available for your three days of on-the job-training. Feel comfortable asking your Peer Trainer questions about your new position. The more questions that you ask, the sooner you will feel at ease in your new position. Create an epost Account As a new employee with Canada Post, we encourage you to create an epost account. You can do so by visiting You can receive your pay statements through your epost account. Benefit Forms <This section is not applicable to On Call Relief Employees (OCRE)> Benefit enrolment forms should be completed and returned within your first week. If you have any questions on benefit enrolment or coverage, contact AccessHR at One-on-one Meetings With Your Team Leader Your Team Leader will arrange monthly one-on-one meetings with you throughout your six month probationary period. Use this time to address any questions you may have about your role or Canada Post. It is encouraged that you contact your Team Leader should you have any questions throughout your time with Canada Post. Meet Your Union Representative Following your first day of work, your team leader will introduce you or provide you the contact information to your local union representative/shop steward. 6 SECTION 3 YOUR FIRST SIX WEEKS By the end of your first six weeks, you should clearly understand: your role and the expectations attached to it your role relative to customer experience and sustainability of our business your performance in your new role based on regular feedback from your Team Leader By the end of your first six weeks, you should have completed: Benefit enrolment (if applicable) Violence in the Workplace and other elearning training epost account sign up SECTION 4 YOUR FIRST SIX MONTHS At the six month mark, you should feel like an engaged and productive member of your team. If you are experiencing any issues, do not hesitate to contact your Human Resource representative. You will have a meeting with your Team Leader to discuss your probation results. At this point, you should complete your career profile in SAP. Visit Employee Self-Serve (ESS), select 'Personal Information' and then 'Employee Career Profile'. If you have any questions, career.profile@canadapost.ca. This will initiate a career conversation with your Team Leader, where you can ask questions about opportunities at Canada Post.
