1 Lubricants Operations and Quality Supervisor Role reports to: Group Operations Manager WP Group Overview WP Group is an integral fuels and lubricant company focused on providing bespoke service solutions to its growing customer base through each of its eight business sectors. Based at ExxonMobil's Fawley refinery, WP Group is one of the UK's largest privately owned fuel and lubricant distribution companies holding a substantial share of the fuels and lubricants markets in which it is active and a national player in ExxonMobil lubricants brand. Role Summary Lubricant Operations & Quality Supervisor (LOQS) role is pivotal to the operational success of WP s Lubricants business and the integrity of the customer experience and entire order management and fulfilment process. Managing directly the warehouse team and the daily responsibilities of the drivers, the LOQS will ensure lubricant operational related activities and orders are fully satisfied adopting WP Group's philosophy of right first time. Working closely with the, CSM (Customer Services Manager), the LQOS will report directly to the Group Operations Manager (GOM), with a dotted line to the Group Commercial Director for matters relating to ExxonMobil compliance and contract performance. Responsible for all operational activities, the LOQS will manage the inbound, outbound and all warehousing related activities. Delivering the very best customer service experience, you are responsible for the timely delivery of all orders, systems, procedures and applicable processes. Acting as a role model, the LOQS will exhibit WP Citizenship behaviours ensuring standards are upheld at all times. The role will oversee strict adherence to all company policies, procedures and compliance with ISO quality process and ExxonMobil's DPIM requirements. Work closely with transport team to ensure vehicle maintenance & road worthiness at all times. Ensuring drivers working time & overtime is monitored and recorded correctly at all times.

2 Building effective working relationships with team members, colleagues, WP Group board of directors and suppliers is of paramount importance. Communicating key business strategies will be critical and good listening and motivational skills essential. Key Responsibilities Sustainability and Ethics A leadership role is critical in ensuring the Lubricant Operations team understand and adhere to all company policies, procedures, business ethics and sustainability commitments ExxonMobil Relationship & Alignment. Together with the CSM and Group Operations Manager, you are responsible for ensuring WP Group s full alignment with ExxonMobil s DPIM, compliance and anti-trust standards, You will proactively and objectively work to ensure rigorous procedures are implemented and maintained throughout the Lubricant Sales Operations team s full remit. Quality and Compliance Ensure quality and WP s ISO9001 management system is fully embedded within the lubricants business. All non-conformities will be recorded and actioned eliminating the risk of reoccurrence with systems and process updated accordingly. Provide strict adherence to EM s DPIM s processes ensuring all applicable are trained, understand the requirements and are audited accordingly. Logistics Contracts You will ensure the most effective logistical inbound and outbound options are utilised ensuring full compliance with ExxonMobil s DPIM processes and procedures. Strict attention will be applied to the service level requirements ensuring the most competitive routes and logistics options are sought and costs managed. Warehousing You are responsible for the overall management of the warehouse activities, team members, quality management adherence and performance. You will become an expert in fully understanding the operational activities and standards demanded by ExxonMobil and their DPIM processes. Able to provide cover for the Warehouse Manager, you will consult, audit and understand all warehousing related activities and issues and work proactively to identify and close any gaps by employing a continuous improvement approach.

3 Product Distribution You will oversee the delivery scheduling and performance of our distribution team for all WP own ticket orders and Buyback commitments in line with DPIMs. With the CSM, you will work proactively to ensure all opportunities to reduce risks of crossovers and associated issues are implemented. We will improve our customer service experience and work with WP s Group Operations Manager (GOM) to ensure adequate management oversight is applied to the delivery drivers. Personal & Team Management and Development. Communicate clearly and effectively with all team members and line management. Continually seeking to improve your own and team s performance, you will be an advocate and proactive participant in WP s Personal Development Process. Covering for the CSM Procurement and Stock review You will support the CSM by learning and understanding the purchasing and review requirements and procedures for all Mobil bulk and pack lubricants for own use and the EM buyback contract. ExxonMobil Buy Back You will support the CSM by ensuring and maintaining WP s contracted commitments and alignment to the ExxonMobil Buy Back contract. Understanding not only the stock requirement but also the logistics required to fulfil. Ensuring the Lubricant Operations Team Warehouse Supervisor understand its requirements and the implications of non-compliance. To instil a culture of 100% right all the time. CRM Management and Fuelsoft A good working knowledge and understanding of the company s CRM and Fuelsoft system and report functions is critical to the success of this role. WP continually strives to provide the most advanced systems and this will provide the level of management information required to manage the complexities of business and understand the value of its activities.

4 Customer Services Working with the CSM, you will understand the need to maintain highest performance standards within the Lubricants Customer Services team. Daily Responsibilities Responsible for overall management of WP s lubricant operations and personnel. Ensuring all WP people operate safely, in line with DPIM s, ISO and with excellence in all day to day business activities. Responsible for the full implementation and maintenance of EM s DPIM s procedures and WP QMS systems. You will document and resolve all operational related non-compliance issues and ensuring continuous improvements are made to resolve any potential risk areas. Responsible for securing the most competitive rates and subsequent management of all distribution agreements ensuring cost agreements and kept and controlled. Regular reviews of performance levels and implementation of a continuous improvement plan. Responsible for ensuring our bulk delivery drivers are issued with their schedules in a timely fashion. Working with them to maintain are high standards of service both with ExxonMobil and our own business customers Via the CSM, responsible for completion of ExxonMobil outstanding bulk and pack buy back reports, ensuring accurate data and liaising with EM customer services. Responsible for ensuring the best possible rates and service levels with external hauliers for collections of bulk and pack for various ExxonMobil blending plants. ( Responsible for the full implementation and maintenance of WP QMS system documenting and resolving all operational related non-compliance issues and ensuring continuous improvements are made to resolve any potential risk areas. Work with CSM to understand Fuelsoft operations including pricing maintenance, stock and product maintenance and implementation of price list changes.

5 Provide CSM with the data required for the completion of ExxonMobil outstanding bulk and pack buy back reports, ensuring accurate data and liaising with EM customer services. Responsible for Lubricants Operations team Personal Development Plans. Ensure adequate cover is established and a plan is in place to develop team members and general skill base providing continuity and progression. Responsible for planning vehicle schedules in-line with customer demand. Qualifications, Skills and Market Knowledge Relevant operational management experience, relevant industry preferred Formal quality management qualifications would be a distinct advantage; failing this a bias toward processes and proactively identifying, fixing and documenting issues is essential Strong operational understanding essential Reside a commutable distance to WP s Hythe Effective and confident communicator with high level of attention to detail High level of desire to achieve goals /targets perform in a pressurised environment Ability to build team and capable of mentoring others to fulfil capabilities People development via specific coaching skills around core competencies is required Good IT skills, essential to have knowledge of Microsoft programmes including Outlook, excel, Word, and able to use Microsoft CRM systems or similar to a high degree Team player who is both supportive and approachable Full UK driving licence, HGV an advantage Fork lift truck license essential International CPC
