1 : Human Resources Benefit Dependent Assignment This Benefit Dependent Assignment utility will do the following: link any existing dependents to a benefit group (e.g., Health, Dental, Vision, etc.) based on selected criteria remove any dependents currently linked to a benefit group (e.g., Health, Dental, Vision, etc.) based on selected criteria NOTE: The user should be extremely careful to select the appropriate criteria when running this utility. This utility can be run in the event that an employee adds a benefit group and the dependents need to be linked to the new benefit group. However it can be run, if necessary, to facilitate the entry of the correct Covered Individual information required for Part III of the 1095C form. Let s look at an example of how this utility can be used. Let s say that this employee has a benefit record and an existing dependent record, and the dependent is covered under the employee s benefit, but the dependent is not linked to the benefit group. 4 While the Dependent can be linked through the Dependent Benefits tab on the Personal Information - Existing Dependents folder, the following utility can be run to link the Dependent to the benefit group. The utility can be accessed by clicking the Benefit Dependent Assignment option under the HR Utilities menu. To Add Dependents NOTE: You must have benefit records and existing dependents to perform this function. The utility will NOT add the same dependent multiple times. 1. Choose the employee group(s) All or Selected. 2. Choose the pay profile(s) All or Selected. 3. Choose Add Dependents to link dependents to benefit groups. 4. Choose the employee(s) All or Selected. 5. The Benefit Group(s) field will default to Selection with NO GROUPS SELECTED. This is done as a precautionary measure to ensure that you select the appropriate Benefit Group(s). Choose the Benefit Group(s) from the lookup. 6. 6 To view the results of the operation to ADD DEPENDENTS in this utility, go to the Employee Information Personal Information Existing Dependents window. Click the Dependent Benefits tab. Using the drop-down, be sure to select the appropriate dependent s name. Only one dependent at a time can be selected from the drop-down. The dependent is now linked to the benefit group. nvision will leave the Start Date blank, as it automatically assumes that the effective Start Date of the dependent benefit group is based on the Starting Date of the employee s benefit coverage start date. If the Start Date for the selected Dependent is different from the employee s benefit coverage start date, update the record and enter the appropriate Start Date on the above window. If more than one dependent exists, select the dependent name from the drop-down and, if necessary, update the applicable Start Date of the dependent benefit group. 7 To Remove Dependents NOTE: You must have benefit records and linked dependent benefit groups to perform this function. 1. Choose the employee group(s) All or Selected. 2. Choose the pay profile(s) All or Selected. 3. Choose Remove Dependents to remove dependent links from benefit groups. 4. Choose the employee(s) All or Selected. 5. The Benefit Group(s) field will default to Selection with NO GROUPS SELECTED. This is done as a precautionary measure to ensure that you select the appropriate Benefit Group(s). 8 Let s look at the same employee record, shown earlier in this document, where we added the dependent link to the benefit group. To view the results of the operation to REMOVE DEPENDENTS in this utility, go to the Employee Information Personal Information Existing Dependents window. Click the Dependent Benefits tab. Using the drop-down, be sure to select the appropriate dependent s name. Only one dependent at a time can be selected from the drop-down. The dependent link to the benefit group is now removed. If more than one dependent exists, select the appropriate dependent name from the drop-down to view any links to benefit groups. nvision Copyright FINANCE MANAGER All rights reserved. 8
