2 Welcome! This guide gives you the information and tools necessary to be a successful CIA volunteer. As you read the guide you will see links to policies that the CIA requires you to read and acknowledge. 4 Volunteers are the heart of the CIA. They founded the Institute, and they continue to drive our efforts in research, standards development, and education. CIA volunteers strengthen the profession by applying knowledge and objectivity to help ensure financial security for Canadians. Philosophy of Involvement

8 Volunteer Conduct The CIA is committed to a supportive and collaborative environment for everyone. To ensure you are aware of the policies and procedures in place to protect our volunteers best interests, please follow the link below to read and acknowledge the volunteer conduct policies. (Please acknowledge that you have read and understand the content of these three policies at the end of the Workplace Violence and Harassment Policy.) 9 The selection process

10 Your volunteer profile serves the same purpose as a résumé. We reference the tool to determine your candidacy for a volunteer position. We encourage you to be as detailed as possible in your profile. If you select Doesn t matter, I just want to volunteer as your committee preference, your name is automatically added to the Volunteer Application Registry (VAR). If you did not select this option, we ask you to go to Modify My Committee and Task Force Interests to indicate your areas of interest. Taking this step will result in your name being added to the VAR. We recommend updating your profile and interests on an annual basis. Your Volunteer Profile and the VAR

11 There are a number of ways that chairs recruit for their groups. The two most frequent methods are: 1. The chair works with the volunteer services team to develop a volunteer opportunity listing. Members who have updated their VAR registry will be given first consideration. If there is a limited number of candidates in the registry, the volunteer opportunity will be posted on the CIA website and sent to all members via the CIA s weekly announcements. 2. In the case where the role requires a specialized skill set, the chair might ask for recommendations from peers or research specific candidates, with support from the volunteer services team. 12 When there is more than one candidate, the chair will select the individual who best meets the criteria or has a unique/beneficial skill set that complements the group. Candidate Selection Once a candidate is selected, their name goes to the oversight body for approval. Once approved, the candidate receives an orientation to the group and the necessary documents, meeting dates, action plans, etc. specific to the group to get started.

13 Starting a new role is exciting. Here are a few need-to-know details that will help you begin. Orientation and Training You will receive an with the following: your new responsibilities, the chair of your group and their contact information, the staff liaison for your group, and the scheduled meeting times. The chair of your group will contact you to set up an orientation session. There is potential for travel in some volunteer roles. Read the travel policy so that you are aware of the reimbursement process.

15 Acting with respect for peers, colleagues, CIA staff, and the actuarial profession. Fulfilling the objectives of any volunteer role to which you are appointed. Your Volunteer Commitment Being transparent and forthright in the case of a conflict of interest. Informing the CIA of a change in situation that prevents you from fulfilling the duties of a volunteer role. Respecting the policies in place for volunteers and completing the necessary training that is provided. Sharing your feedback to help improve volunteer experiences.

16 Volunteer Feedback Volunteer feedback is valuable information that can be used to celebrate a job well done and identify areas for growth. We encourage our volunteers to share and receive feedback openly, formally or informally. Your connection for feedback could be the chair or vice-chair of your group, the CIA staff liaison for your group, the volunteer services team, or the CIA Executive Director when appropriate.

17 Volunteer Recognition CIA volunteers are unique in that the majority are motivated by professional growth. We are constantly adapting our recognition activities around your goals and motivations. From networking opportunities to sharing our volunteer success stories in the community, we celebrate our volunteers as often as possible.
