2 Structured Solutions PMO Approach (A Week in the Life in a Schedule Analyst) Overview SSI Tools supports the steps in periodic schedule reporting cycles. An example of an end-to-end Business Rhythm for one reporting period is shown graphically using a process wheel. Following the image is a description of related SSI Tools that support each step. 3 Prepare Schedule for Periodic Reporting Cumulative Schedule Variance = the difference between the current Start and Finish dates and Baseline Start and Finish Dates. Current Period Schedule Variance is the difference between the current Start and Finish dates and the Start and Finish dates at the end of the prior reporting period. Microsoft Project enables both Cumulative and Current Period variance analysis using its Baseline capture tool (Project / Set Baseline or Tools Tracking / Set Baseline in version prior to 2010) SSI Tools also includes a utility (Trace Tools / Schedule Snapshot) to copy current schedule dates to Start/Finish 1 10 or to set a baseline using Baseline or Baseline Copy Current schedule dates to Start/Finish 1 10 or copy current dates plus durations plus assignment values to Baseline or Baseline 1-10 Generate & Report Periodic Status Use the SSI Status workbook to identify current and near term tasks in a schedule by their owner. Current tasks are those with a Start or Finish date prior to the project s status date and Near Term tasks have Start or Finish dates in the next reporting period or are within a look ahead date range specified by the project team or analyst. Changes can have implications beyond the changed task itself. SSI Trace tools and the SSI Time scaled Values from the Toolbox Trace Tools inspect and display critical and driving path Show resources usage over time using Time Scaled Values from the Toolbox Develop Corrective Action Plans Use SSI Trace Tools to find opportunities along driving paths to mitigate the impact of schedule delays. Use Time Scaled Values reports to make decisions about resource prioritization. Use SSI Performance & Earned Value Reporting to identify root cause drivers of schedule variances using Duration, Work or Cost metrics. 5 Generate Executive Summary Reports Critical or Driving Path, Time Scaled Values analysis and Program Performance Rate reports as well as narrative explanations of root cause drivers and corrective action plans can be part of the final analysis and summary of progress for the period. Trace Tools show the Critical Path to Key Events in a Project Time Scaled Values reports show resource needs for future work Show Baseline, Actual and Projected Start & Finish dates by Week or Month to see the Baseline Execution Performance Index (BEI) for the entire project or for performing teams within a project Inspect Project Milestones for Current Period Variances. SSI Presentation Professional is a PowerPoint Add-in that enables users to create Microsoft PowerPoint presentations containing objects (shapes) that are linked to Microsoft Project schedule items (Summaries, Tasks and Milestones). The purpose of this tool is to enable rapid production and efficient maintenance of succinct, to-the-point, executive level PowerPoint presentations that convey the status and performance of key and critical schedule events and life cycle phases. The example below shows Key Project Milestones along with reference dates from the prior reporting period (shown in green) and the contractual deadline date (shown in red). The analyst looks at each milestone s current date and compares it to the reference dates. SDR, for example, was delayed in the current reporting period (shown as the difference between the large white diamond and the green shape to its left). The analyst can also see that SDR has no more margin to its contract date shown in red.
