This week I revisit a powerful process, which may be my favorite strategy to get things done and stay on top of all of my projects. This week I break down the entire weekly review process that I have been using for the last 3 years. In the Tip of the Week segment I share a simple strategy that I use every week to keep my calendar clear and flexible. I also have a few fun announcements this week! 3 3 Now, let s begin with this week s feature segment! [Fade Music Up and Out] I first discussed my weekly review process on this podcast 3 years ago in episode #38 in March of Back then I was just beginning to use the formal structure that I still use today, but it has evolved so much that now is a great time to introduce version 2.0 and discuss why this process is just so important to productivity and goal achievement. First, let s breakdown what a weekly review actually is. 1. Formal process where you review your progress from the previous week 2. Usually lasts 1-2 hours 3. Can include scheduling, planning, organizing, reviewing, and/or analyzing your life and work in many different ways 4. Many people first learned of weekly reviews from David Allen, author of the famous productivity book, Getting Things Done.

4 4 Benefits of a Weekly Review, and Why They Have Been So Powerful for me these last 3 Years If you successfully complete a weekly review (even once) you will gain enormous clarity over your entire schedule, all of the tasks on your plate, the habits you care about, and the commitments you ve made. #1 Clarity around your must-do tasks. This way you know exactly what has to get done. The list is simple and actionable. #2 Simplicity The review forces you to focus. My favorite part of the review is cutting things that don t need to happen. #3 Reminders Part of the process is to ensure you never forget anything by placing reminders whenever and wherever you need them. #4 Accountability If you want to include other people, you can get extra accountability to ensure you do what you said you were going to do.

5 5 #5 Productivity With a simple system and extreme focus, you will definitely get more work done than ever. The distractions that can wait, will wait. The Weekly Review 2.0 Schedule/Structure Clear a few hours on your schedule once a week to complete the review. It can be done anytime, as long as it s consistent. Usually lasts 1-2 hours My reviews are on now on Friday afternoons because I found that Sunday evenings were just too busy. Find what works best for you. Schedule the review on your task manager or calendar Walk through the checklist in Evernote Quick Note I will be mentioning many Templates you can use All of these templates are available for free when

Step 1: Review your Ideal Week Template Review what an ideal week would look like Make any necessary changes Re-print and post your ideal week on your vision board to see it every day Step 2: Review your Daily Rituals Template I use a template to monitor my daily habits Each week I review it to ensure these habits are still current, relevant, and helpful. Make any changes or updates for the coming week Step 3: Review Weekly Reports, Documents, Applications, Data Points, etc. Examples: Sales numbers

7 7 Website data on Google Analytics Podcast downloads Any important numbers in your personal or professional life etc. Step 4: Review Upcoming Appointments Scan your calendar for commitments Events Meetings Appointments Scheduled activities Update your Calendar (I update Acuity) Step 5: Complete your Weekly Reflection Document Google Drive Review Template Wins Losses Fixes Ah Has / Personal Development Ideas Gratitude Study Materials Top 3 Goals for the Quarter

8 8 Top 3 Goals for the Month Top 3 Goals for the Week Step 6: Complete your Progress Reports Evernote Update what I accomplished for each project Update the list of Next Actions This applies to ALL current projects Step 7: Review All Upcoming Tasks in Your Task Manager / Calendar Nozbe tasks Eliminate Delegate Postpone / Reschedule Refine / Update Add any new tasks, reminders, events, etc. Step 8: Post Your Goals Big Post-it of 4 Commitments Post your weekly goals on your vision board Review your goals throughout the week

13 13 This week s Tip is simple and effective immediately. Cancel all your meetings. Seriously. Cancel them, and only reschedule the ones that absolutely must take place. And then, only schedule it for half the time you originally planned. No more 1-hour meetings. 30-minutes max. Also, no more face-to-face meetings, or even phone calls, that can be handled with a faster medium, like a text or . Meetings are one of the biggest wastes of time in business today and you can save yourself, your coworkers, and your employees a lot of precious working time by simply minimizing or cancelling every extraneous meeting on the calendar. 14 14 #1 Craft your own Weekly Review Process. Use you can use my structure, or create your own. Either way, design a simple process to review your most important projects, goals, and tasks each week. It doesn t need to take long, but it does need to happen to ensure you have the clarity you need to move forward in the right direction. #2 Guarantee time on your calendar for your Weekly Review. The only way the review will happen is if it has sacred space on your calendar. For most people, that is Friday afternoon, Sunday evening, or another slow time during the week when you can reflect and review your work. Go ahead now and assign yourself a time for this week. #3 Cancel one meeting this week. That s right. Open up your calendar, pick a meeting you don t need to host or attend, and cancel it. Skip it. Don t attend it. Instead, do something more valuable with your time.

15 15 Anything! Pick one small project you need to work on and do that instead. You can thank me as soon as you get that instant feeling of satisfaction when you realize just how good it feels to free up a single block of time. Then, imagine how good it feels to do that again.. and again.. and again..
