1 JOB DESCRPTON Position details: Job Title: Department: Hours: Status: Resource Estates Assistant Team Leader Estates 37 hours per week Permanent Grade: EC5 21,534-22,846 Regulated or Controlled Regulated Activity: Reporting/Department details: Responsible to: Functional links with: Deputy Head of Estates Head of Estates, Resource Estates Assistant Team Leader, Safety Health and Environment Advisor, other Estates Team members, Advice Recruitment & Marketing Team, Heads of Faculty / Department and other College Staff Job Purpose: To lead the Resource Estates Assistant (REA) team and to provide a high quality customer focused service ensuring a safe, secure and welcoming environment for all College users. To organize day to day staffing and allocation of tasks. To proactively lead the REA team in the delivery of support services. To be responsible for the housekeeping, health and safety and day to day operational management of the REA work areas. To work with the Estates Services Assistant (ESA) Team Leader to ensure high standards of service throughout the department. The post holder will be required to operate across several College sites. Main Tasks: 1. To take overall responsibility for the operation of the Resource Estates Assistant (REA) team. Day to day tasks for the REA team include provision of general portering duties; setup and clear away furniture and equipment for examinations and cross College events; provision of a general repair and maintenance service; ensure that the College estate is safe and secure and that College grounds are tidily maintained. 2. To manage the REA staff rota and deployment of team members to ensure adequate cover is maintained at all times, anticipating peak demand periods. 3. To manage the REA team s annual leave allocation in line with business requirements. 4. To lead the REA team, assist in the recruitment and induction of new staff in collaboration with the Deputy Head of Estates in order to ensure adequate and effective staffing.

To lead and develop the work of the REA team including carrying out probationary reviews, professional performance reviews, production of action plans, team reviews, setting SMART targets and objectives etc. 6. To be responsible for identifying and organising training and developments needs for REA staff, in liaison with the Deputy Head of Estates. 7. To respond to out of hours issues which have the potential to operationally affect the College if required by the Head or Deputy Head of Estates. 8. To be an active member of the REA team and to contribute fully to its daily workload, including attendance at meetings and other events. 9. To work in collaboration with the ESA Team Leader to effectively manage the department s job tracker system and allocate maintenance tasks to team members according to appropriate skill levels and ability. 10. To be a member of the Department Management Group and to contribute to its work in driving forward the development of services and facilities to customers. 11. To develop and evaluate reports as required by the Deputy Head of Estates. 12. To contribute to policy development and planning as part of the Departmental Management Group. 13. To effectively contribute to the development of improvements to the department s working practices to meet the changing needs of the College. 14. To deliver Estates services in line with departmental objectives and college strategy. 15. To employ technology and systems in the delivery of Estates services, utilizing information and data gathered to plan and prioritise team members workloads. 16. To ensure the College s critical systems are fully operational and all documentation is completed regarding repairs, call-outs, incidents, damage and routine and daily maintenance schedules. 17. To take the lead with handling customer complaints that may arise and resolve or escalate as appropriate. 18. To work closely with other team members to help ensure the delivery of a high level and consistent customer-focused service and help ensure a safe, secure and welcoming environment is maintained. 19. To ensure that the work of the REA team adheres to procedures, quality standards and levels of service as required by the Deputy Head of Estates. 20. To ensure that all work by members of the REA team is carried out with due regard for the Health & Safety of team members, users and visitors and is consistent with college Health & Safety policy. 21. To take responsibility for own personal skills and knowledge development and contribute to developmental activities in support of service improvement.

3 22. To represent the department at internal and external meetings and promote a positive image of the Estates department and the college. Mandatory Duties: 1. 4 PERSON SPECFCATON Resource Estates Assistant Team Leader Experience Essential Experience of line managing, coaching, training and developing staff Experience of providing an excellent service to customers Experience of dealing with difficult people management situations through to an effective conclusion How dentified* Desirable Experience of working within an educational / College environment Ability to set up procedures to ensure that customers receive informed and consistent support How dentified* Skills & Abilities Ability to work autonomously to plan and organise your own work and the work of a small team to deliver the Departmental Plan. Knowledge of maintenance routines, practices and systems Ability to lead a team whilst also working within that same team Excellent communication skills with the ability to communicate clearly and effectively both verbally and in writing. Ability to maintain accuracy and attention to detail whilst managing a busy workload. T literate use of Microsoft Office (Word, Excel, PowerPoint etc.) A reasonable degree of physical fitness and the ability to move goods, equipment etc. in accordance with Manual Handling guidelines.

5 Qualifications Educated to Level 2, including GCSE s A-C in English Language and Maths FAAW Certificate. A Relevant Building / Engineering qualification Full Driving Licence (No more than 6 points). Personal Qualities Professional approach to work and the ability to inspire others. Ability to take a proactive approach to identifying solutions and improving the service offered by the Department. Ability to work with team members to meet shared objectives.
