2 Conference Jhenifer Morfitt for Yris Lance Conference will be held on August 24 at the Hotel Murano All members are asked to participate in this event. Health & Wellness Subcommittee Tracy Thornburg Vendor list confirmed 34 so far for Health Fair o Waiting to hear back from several vendors Need help the day of the event o Signup sheet for helping setup o Registration/welcome o Clean up for 41 tables o Clearly ID ICSEW Representatives so folks know who to contact YMCA Spring Run! May 2. ICSEW will have a team representative o Deadline to register a team is April 22 o $28 per person Legislative & Policy Subcommittee Lonna Hocker Will cover later in the morning during the Legislative Brief. Public Outreach Lorene Ross Clothing Drive starts on Friday o 2015 tax form will be sent out for folks wanting a tax deduction o YWCA will mail the receipt to donor. o YWCA would like agencies to keep tallies of donations Will send tally sheet for estimate of value of donations. ICSEW wants to track level of donations again this year. o Drop off is April 3 from 9-Noon Take Your Daughters and Sons to Work Day is scheduled in June. National date is in April o Endorsement with Governor for June date. 3 Update message on how to be active on the bills we are tracking Update on each bill that we were tracking and if they are still alive or not Bills effecting state employment 5466: clarify employee eligibility from PEBB and makes state registered domestic partners of emergency service personnel eligible for benefits if their spouse passes In the line of duty o 5777 whistleblower programs: communications (ex parte) o 1168 corrects restrictions on collecting a pension when you return to work in a different area or under and different program o Law enforcement and firefighters programs bill as well Many involve voting: including registration and to improve fairness in the voting process for all districts. Include part of the EO into the document (A. Duties. 3) o Communications plan creates a blueprint for the next ICSEW Representative Responsible for placing InterAct in break room Internet or may work best o Identify an Executive Sponsor HR Director, Deputy Director, etc. Write up a communication plan Reference the executive order Talk about Representative and Alternate roles Identify what information will be shared (events, etc.) Place InterAct on agency intranet How often to communicate, authorization to do each month? Each week? Identify who will send s out

4 Who receives the information? From me to a group? Or from ICSEW Representative to everyone? o Social Media information will be shared on social media. Can we link to it? Connect to Twitter feed o Effective today, Maria will begin distributing talking points / high level outline of our meeting, key decision points. Send out various communication plans to use as a sample. o Other agencies: Use Health and Wellness information as a platform to come and talk at our meetings Sends any s to executive sponsor; gets approval and has free range to send out. Ability to put into a PDF and put on an internal screen Communication Plan is a great starting point on what Representatives are allowed to do. A template would be nice in addition to the communication plan. When Representative was first appointed they talked with HR Director. Was able to get her buy-in and communications still developing. A lot of support. Have ICSEW outlines, signs to hang in your cubicles tools available to you. Help to start conversations. o Add ICSEW Representative in your signature line. o Recognize we re appointed by agency Directors, supported by an executive order. The Director provides authority and support through Communications Plan representatives propose, be respectful of Director s or Executive Sponsor s final decision. Have a clear message with meeting with sponsors and back-up documentation. Helps employee morale. Tie back to our employee satisfaction; things that help us be productive, healthy employees. It s about the whole function of committee that adds value. When shopping, box is available; when full, drop it off at local food bank. 50 percent of clients are under 18 2,000 kids per week Need donations of 16# paper bags needed for weekend meals for children; can buy at Cash N Carry Accepting volunteers, including teens
