2 POSITION DESCRIPTION Planning Officer - Position Number 1087 Position Status Permanent Position Supervisor Superintendent Department Asset Management & Project Services Job Level of Work I Job Context GPC s Asset Management & Project Services (AMPS) department is accountable for the operation and whole of life management of GPC bulk handling assets. The Department is also accountable for servicing customers, primarily coal customers, through the RGTCT and other bulk products through BPT terminal. With a workforce of over 500, the efficient and effective management of employees critically impacts our success. The Coal Handling Process at RGT, requires effectual management of planned, preventative and corrective maintenance activities, to ensure no significant issues effect our success. The role is accountable and responsible for not only the effective planning and scheduling of resources to planned maintenance activities, but also to take a lead role in the application of the CMMS, to the greatest effect for the Division area. The role reports to the Superintendent and is expected to effectively compliment the peer level roles, i.e. / Operations Coordinators, Technical Officers and other Planners. Job Purpose Statement The Planning Officer - role is primarily responsible and accountable for the planning and scheduling of maintenance activities for the Section within the Reliability & Division, with the scope to assist other departments as necessary. Job Accountabilities Assist in the optimisation and utilisation of maintenance resources and develop effective planning and scheduling strategies for maintenance activities on all Train Assets, including the effective use of a Computerised Management System (CMMS) for recording work, managing the backlog, prioritising work, recording history and reviewing/reporting on maintenance performance: o Incorporate plant maintenance strategies in the scope and priority of work; o Incorporate condition monitoring methodologies and results in ensuring the maximum allocation of resources to planned work; o Contribute to the continuous improvement of the maintenance system by identifying opportunities to improve and participate in their implementation; o Champion the work management system. Work towards achieving financial responsibility through identification of cost saving measures and effective utilisation of resources; Assist in ensuring that work priorities are appropriately managed to match operational needs with optimum levels of maintenance; Docs# Planning Officer () Page 2 of 5

3 Monitor and report on maintenance performance with a focus on achieving the initial target of 70% scheduled work through measures such as but not limited to the following; o Planned vs Unplanned work; o Number and Percent PM's completed; o Backlog trends - number of W/O's and Resource demand; o Number of new work requests for week/month; o Number W/O's completed and resources utilised for week/month; o Shutdown/Outage execution and compliance. Establish and maintain effective working relationships with all GPC departments. Operate effectively in an environment where there are conflicting demands on time and resources. Job Challenges & Impacts Effectively apply JDE CMMS for all facets of Planning Activities. Contribute and Implement Continuous Improvement strategies, liaising with Execution Leaders, Reliability Engineering and Systems specialists. 4 Key Relationships Internal Interaction with supervisors, coordinators, planners and other employees: o Impacted by decisions, plans and schedules initiated or implemented by this role; Interaction with Shutdown Supervisor; Interaction with Systems Specialist: o Systems development and implementation; Interaction with Reliability and Technical Services sections: o Plant upgrades or modifications; o Warehouse requirements; o Site Service Requirements; o Preventative and Electrical Statutory Inspections; Interaction with Operations Department: o Requirement for assets out of service for maintenance; Interact and, from time to time, lead employees: o Involved and informed in all planning and scheduling activities and that maintenance scheduling needs are effectively communicated at and from the scheduling meetings. External Equipment Suppliers; Service Providers. Level of Supervision Direction is provided on the assignments to be undertaken, with the occupant determining the appropriate use of established methods, tasks and sequences. There is some scope to determine an approach in the absence of established procedures or detailed instructions, but guidance is readily available. Performance is checked through assignment completion. 5 Formal Qualifications An Electrical or Mechanical trade certificate or Relevant Tertiary Qualifications. It is desirable that the incumbent is able to demonstrate experience and/or knowledge in the following: Post Trade study in Management; A sound understanding the Workplace Health and Safety Act. Materials Handling Plant Experience Demonstrated experience in planning and scheduling function; Demonstrated understanding of computerised maintenance management systems and the optimisation of these systems; Understanding of materials reservations, conveyancing and rotable repair systems. Demonstrated experience in a heavy materials handling plant environment. 3. Computer Skills Demonstrated knowledge and experience in MS Office Suite, including MS Project and Computerised Management System. 4.
