1 School District Position Description Position Title: Operations Coordinator Reports To: Superintendent Fair Labor Standards Act: Exempt SUMMARY: Plans, coordinates and directs the district-wide non-instructional systems and procedures that ensure operational excellence throughout the district. The systems include but are not limited to: facilities, grounds, maintenance and custodial, transportation, safety, cafeteria and food service programs. ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Oversee the grounds and custodial processes and operations to ensure that the facilities and grounds are well maintained. 2. Manage all aspects related to safety and security: fire evacuations, crisis plan and drills, and upkeep of facility certificates. 3. Facilitate and ensure that all construction projects adhere to building regulations, codes and policies. 4. Manage all contracts related to custodial, maintenance, food service, transportation and security services. 5. Manages construction contracts for new facilities and major alterations and/or modernization of existing facilities for the purpose of ensuring that work is performed in accordance with specifications, timelines and budget. 6. Inspects and coordinates new construction, repair work, grounds, special projects, equipment, work orders, daily maintenance and supplies for the purpose of ensuring that jobs are completed accurately and efficiently. 7. Serves as coordinator for and supervisor of all District transportation services; ensuring that all district-owned vehicles/buses are maintained and in proper working order. 8. Coordinates student transportation activities with other district administrators and interested groups for the purpose of ensuring that district transportation needs are met. 9. Analyzes and manages district custodial related building service needs, schedules, and assigns personnel to meet school needs. 1 of 4

2 10. Communicates with vendors to research, test, and evaluate products, equipment, and techniques; selects and purchases supplies, equipment, and other inventory of materials and equipment. 11. Assists with the development of bid documents 12. Assures proper use and care of all District facilities, operation equipment and transportation vehicles for efficiency and safety. 13. Remains free of any alcohol or non-prescribed controlled substance in the workplace. 14. Serves as a role model for students and District employees. 15. Other duties may be assigned. SUPERVISORY RESPONSIBILITIES: 1. Manage, develop, supervise and evaluate appropriate staff: buildings, maintenance. transportation, grounds, and food service personnel. 2. Plans and provides in-service training programs and seminars as needed. 3. Instructs custodial staff in the proper use of supplies and equipment. 4. Responsible for the execution and planning of the operating budget. 5. Overseeing the inventory. 6. Formulate effective strategies that enhance the financial welfare of the organization. 7. Develop measures to motivate employees and undertake office management. QUALIFICATION REQUIREMENTS: Must be an active listener, critical thinker, organizer, self-starter, effective communicator and a team player. EDUCATION and/or EXPERIENCE: Extensive background in or established skills with facilities, construction, organizational operations and their applications. Demonstrated work place experience in management and coordination of services. Demonstrated experience with managing projects and personnel. Demonstrated experience in the planning, budgeting, monitoring, and problem solving of operations. 2 of 4

3 Demonstrated ability to communicate clearly, both orally and in writing. Demonstrated presentation experience. Demonstrated desire to assist staff in the problem solving process. TECHNOLOGY SKILLS: Must have command of a variety of computer programs, including word processing, spreadsheets, and database. Typing and computer skills required with good grammatical spelling and punctuation. Ability to create, edit, and interpret word processing documents, spreadsheets, charts, graphs and databases. Ability to utilize new technology to perform duties more efficiently. Ability to learn and utilize new software programs as systems are upgraded. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents, visitors, students, administrators and staff. MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. OTHER SKILLS and ABILITIES: Ability to establish and maintain effective working relationships with students, staff, and the community. Ability to communicate clearly and concisely both in oral and written form. Ability to perform duties with awareness of all District requirements and Board of Education policies. Strengthen the relationship between the District and its stakeholders. Ability to recruit, hire and retain quality staff members. 3 of 4

4 The establishment and implementation of departmental policies demand that the operations coordinator consults with staff members, administrators or the organization s management. They will oversee the implementation of procedures, goals and objectives within the departments. This role involves instituting ways of improving the work environment and business operations across the district. As part of the implementation process, operation coordinators keep a close eye on the adherence to policies, objectives and goals. PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to perform successfully the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to walk and use fingers, tools or controls. The employee is occasionally required to stand and reach with hands and arms. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and the ability to adjust focus. The employee must be able to life and/or move up to 50 pounds, such as cleaning supplies, pails and items from delivery trucks. Occasionally, the employee will lift and/or move up to 90 pounds, such as salt and bulk furniture. The employee will sometimes have to push/pull items such as tables, bleachers and scrubbing machines. WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee regularly works indoors and will occasionally work outdoors. The employee will work near or with moving mechanical equipment. The employee must be able to meet deadlines with severe time constraints. The noise level in the work environment is usually moderate.
