Every company manager is dedicated to mastering this challenge and improving their own performance. But experience from many cases shows that this cannot be achieved to their satisfaction using solely internal resources. Your own individual Quality Management System There is a caveat one hears from time to time asserting that QM Systems are too formal, too paperwork-heavy and fundamentally do nothing but restrict the company. Throughout our many years of experience, we have never found this statement to be justified. The DIN EN ISO 9001 describes exactly what a QM System should contain. However, the organization can decide for itself exactly how these requirements are to be put into practice. QM Systems are not uniform; rather they are as unique as your company itself. The VdS certification body is one of the first which was accredited in accordance with the EN series of standards. As early as October 1992, we were accredited to carry out certifications of QM Systems in accordance with ISO 9001; this accreditation was awarded by the German Association for Accreditation (Trägergemeinschaft für Akkreditierung GmbH/ TGA). In November 2009, we adapted our QM accreditation to the increased requirements of DIN EN ISO/IEC 17021; we were one of the first European certification bodies to do this. 5 VdS is the quality seal for the safety and security market Use the seal for your external image VdS is primarily active in areas relating to security - e.g. for security service companies themselves, for companies manufacturing or installing intruder or fire alarm systems as well as manufacturers of components and parts for the fire protection and security systems market. You can also benefit from our specialist knowledge in the areas of plastic goods, glass and metal manufacturing, data processing, machine construction and electrical engineering. We always award the current VdS standard We only work with permanently employed auditors, all of whom have profound expert knowledge and years of experience in the areas mentioned. You can contact them for any questions relating to the certification. All auditors have a qualification as an EOQ quality auditor in accordance with the most demanding scheme in Europe, the European Organization for Quality (EOQ). The auditors will accompany you before, during and after the certification; whilst doing so they will assist you in gaining experience how to design your QM System more effectively. Our decentralized organization and our ability to work on-location allows us to optimize our travel arrangements to your benefit. Manufacturers who are already working with VdS on product recognition or certification procedures can save valuable resources by combining the QM certification with product audits, inspections of internal product testing or sample taking. 9 How to get your certificate Would you like to introduce a QM System and have it certified? Or do you wish to switch to another certifier? We will be happy to create an individual offer for you taking into account the area in which your QM System is to be used and the number of employees active in this area. Once you have decided that you would like VdS to be your certifier, you will find all the necessary information in the "Certification of Quality Management Systems" guidelines, VdS This document and much more helpful information is available free of charge at After we receive your order, your Quality Management documentation will first be checked against the requirement of DIN EN ISO Your VdS auditor should be in possession of the Quality Management documentation at least six weeks before the stage 1 audit begins. As soon as the documentation check has been finished with a positive result, we will agree upon final deadlines and detailed audit plans for the stage 1 audit "maturity evaluation audit" and for the stage 2 audit "main/certification audit". We will make you a QM certified company In the stage 1 audit, the degree of maturity of the QM System will be determined, based on the test and appraisal of the QM manual. This manual consists of the QM handbook, the process descriptions and/or the procedural guidelines, the management evaluation and the internal audit. We recommend carrying out at least part of the stage 1 audit on the customer's premises. The stage 2 audit (main/certification audit) only takes place once the stage 1 audit has been completed with a positive result. In the stage 2 audit, the basic requirements of the standard and the process-orientated implementation and effectiveness of the QM System along the entire supply chain of a product or service are appraised. If desired, a so-called pre-audit can be carried out before the stage 1 audit in order to determine to what extent the necessary requirements of the standard are fulfilled. The advantage for you: possible discrepancies can be dealt with without any time pressure being present. Recognized worldwide: The VdS seal for your market success After the certification audit has been completed successfully, you will receive the certificate for your QM System. If you like, we will add your individual company logo to your certificate. Your company will be added to the directory of certified QM Systems VdS 2394, which is then visible on our website to your potential customers or official bodies, among others. Furthermore, you will receive a VdS logo which is specifically designed for the range of services for which you have been certified. This can be used on your homepage, your brochures, your letter paper, your company vehicles or in all forms of advertising to indicate the successfully completed certification which your company has achieved. In the two years following the audit, we will perform a yearly surveillance assessment at your premises. This is necessary to verify that the QM System is still functioning properly and to ensure the validity of the certificate for the full three-year term. We will gladly extend your certification shortly before it is due to expire; usually after the stated three year period. Following a successful re-certification audit (Re-audit), the duration of your certificate will be extended by three years. 10 Prerequisites for a successful audit according to DIN EN ISO 9001 In the following you will find a summary of the minimum requirements which a customer must fulfil before a certification audit according to ISO 9001 can be carried out. This initial assistance deals with difficulties which (in our experience) often arise in auditing and therefore only presents some of the improvements from which you could benefit. As the audits stage 1 and 2 are to assess processes/procedures via examples, each process/procedure should have been used at least once in your daily business. Standard Chapter 4, Quality Management System A description of the company`s core processes is helpful to illustrate the scope of the QM System. Only parts of chapter 7, "product realization" of ISO 9001, can be excluded from the certification. Any exclusions should be documented and reasonable. For example, merchants can exclude the point "development and manufacturing" as they do not develop or manufacture products themselves. ISO 9001 at least requires the following procedures to be documented: Document control, Control of records, Planning and execution of internal audits, Management of non-conforming products, Corrective or preventative action. You describe the planning, handling, methodology, follow-up and responsibilities of the individual procedures listed above. Additionally you should describe the important procedures for your company, if these have not been defined by other means (e.g. checklists). A note in the QM manual indicating where the procedure or procedural instructions are documented is sufficient in these cases. Documents and records (see below) can be in paper or digital form. If any QM documentation is totally or partially computer-supported, then a written data security procedure should be part of your modern business culture. Furthermore, the certification requires in many instances that corresponding, clearly marked records must be created and maintained. Keeping records is the only way to prove which requirements have been kept to, as they document that a result has been achieved and prove that a task has been performed. As such, the records required should only be seen as the minimum quota of records which should be kept. Further records include the management evaluation, the test protocols, the audit reports, functional specification documents, test plans, records of corrections and preventative steps taken as well as any handover protocols. How the records are to be organized should be described in a documented procedure. 10

11 Standard chapter 5, Management responsibility In your quality policy you introduce your business/quality philosophy - your guidelines for future success. Normally these would include statements which reflect the interests of your partners - i.e. the expectations of your customers, employees, suppliers, proprietors or society as well as the environment and how exactly these will be taken into consideration. The company and its management absolutely must commit themselves to following what is laid down in the QM System and to continually improving effectiveness. Quality goals will be derived from the quality policy; for the company as a whole and for the individual departments or employees, depending on the company's size. These goals should be formulated to be specific, understandable, free from contradiction, scheduled, measurable, realistic but still as challenging as possible. The quality goals should not just be formulated to be measurable for the respective areas, but rather should also be relevant for the continuous process of improvement. This should ideally be checked for compliance and up-to-dateness during the management review (see below). A pictorial representation (process diagram) of the core processes is useful to visualize process interactions as well as the functions of each process step. If the core processes are expanded upon by means of the supporting processes described, the "continuous process of development", one of the core requirements of ISO 9001, can be visualized. Alternatively, the process descriptions can be stated in written form. Responsibilities and authorities are clearly defined in the whole company. To this end, a company organization chart which you can design according to the size of your company can assist in putting this into concrete terms. This can be specified by means of job descriptions, signature regulations and/or by including determined regulations for the procedural/working/testing instructions. The management should identify a representative; this could be the managing director himself or a member of the company's top-level management. Externals may not perform this function. Before the audit begins, an evaluation of the QM System which has been carried out by the management (management review) should be present. The ISO 9001 dictates the entries and results which must be part of the management evaluation. Standard chapter 6, Management of resources The most important factor for the success of any company are its employees. They are the ones who perform all your achievements for the market and they are the ones who master customer relations. QM certified companies have appropriate records of education, training, skills and experience of staff and determine what training they require. The infrastructure which is best suited with regards to your buildings, places of work, process equipment and supporting services (transport, communication and information systems) should be determined and made available. The required working environment needed to fulfil the project requirements should also be specified. The conditions under which the work will be performed are including physical, ecological and other factors (e.g. noise, temperature, moisture, lighting or weather). Necessary information systems or software should be considered as well. 11

12 Standard chapter 7, Product realization Customer-specific processes identifying their requirements should be determined, along with the procedure for creating quotes and contracts, and how communication with the customer will take place. Quotes, contracts or changes to contracts should be created in such a way that the requirements of each product are clearly defined. The evaluation which determines if the customers requirements can be met or not should be recorded, also with respect to jobs which are conveyed orally or to changes to existing jobs. The development of a product or a service should be planned and managed. When doing this, the process of development should be divided into the individual steps. This should start from the customers requirements right up to the finished development, including its verification/ validation with any possible changes which have occured during the development process. The appropriate records should be present for all these points. The procurement process of a product or service should be determined. The supplier or subcontractor should be selected accordingly and then assessed in the suitable manner. At least one initial evaluation should be present which is based on experience or on a self-evaluation by the supplier or by a subcontractor. Deliveries or services received should be subjected to a receiving/initial inspection. The production and service provision processes with the subdivisions Production management and service provision, Process validation (inspection of practicability) if no suitable measurement is possible, Designation and traceability (if traceability is requested by the customer, this must be evident in the documentation, including the record), Customer's property, also intellectual property and personal data, Receipt of product with designation, handling, packing, storage and protection during processing and delivery, Control of monitoring and measuring devices, must be established. The necessary monitoring and measuring equipment must be determined to confirm that the product or service does indeed conform to the defined requirements. They should be listed, given a designation and then aligned, calibrated or gauged at regular intervals and according to the manufacturer's recommendations. Records are to be kept on the results. These include (among others): a clear identification of the monitoring and measuring devices, information on the standards used and how they relate to national or international standards, the procedure which is to be followed when adjusting, calibrating or gauging, along with an evaluation of the results. If a monitoring or measuring device is found to be defective, the effects of the error on previous monitoring or measuring should be evaluated. Where necessary, appropriate measures for the monitoring and measuring devices and the products or services are to be carried out. Computer software which is used for monitoring or measuring purposes should be checked for suitability and should be subjected to an initial release. Their suitability is to be maintained during usage; configuration management should also be involved in doing this. 12

13 Standard chapter 8, Measurement, analysis and improvement You collect and analyze information on the level of satisfaction of your customers. This can take place during conversations with customers, by complaint management or by means of targeted customer surveys. The internal audit should assess whether the processes which have been determined are indeed being kept to and whether the desired result is being achieved. A documented procedure should determine which records are to be kept for an internal audit. At least one internal audit should have taken place before the stage 1 audit. Corrective action in terms of responsibility and deadlines should have been determined, but do not have to be totally completed by the time the certification audit takes place. ISO serves as an introduction for planning, implementing and documenting internal audits. All processes should be monitored. To do so, process parameters can be measured or other auxiliary means can be assessed, such as internal quality audits, post-calculation of individual projects, committee statistics, failure statistics and/or evidence of repair. The distinguishing marks of finished or purchased products should be monitored, meaning the products are to be checked for their usability. This takes place during the product release, the supply checkpoints, at in-process inspections and/or at final inspection. Records of the results should be kept, the person giving the release is to be identified. Defective products should be detected and designated accordingly. This avoids the unintended use of these parts. They can only be used after special release has been granted, i.e. after this has been agreed upon with the customer or after repairs or maintenance have taken place. You are to keep records of this. How much knowledge is gained from the records should be analyzed; e.g by means of supplier evaluations, information on customer satisfaction, process and product monitoring and internal audits. These analyzes are used to evaluate the QM System (see management evaluation) and should be used to improve the processes and products and to serve as the basis for setting new goals for success.
