4 Employee Import Introduction The employee import is used to import new employee and user information into the ezlabormanager application, or to update employee and/or user information. If the user ID is not specified, the user ID will automatically be the same as the employee ID. The application will determine based on the Employee ID whether it is new or updated information. General File Information The file being imported must be either a.txt file or a.csv (comma-separated value) file. Any other file types will be rejected. When an update is being performed, only the changed values are updated in the employee record. Certain fields must contain values that are unique within the company. For example, each employee must be assigned a unique Employee ID. These fields are noted in the Comments section as Must be Unique. On an update, any employee rates and/or employee dates that are associated with an employee will overwrite existing rates and/or dates defined for the employee. On an update, employee accruals can be viewed as deltas (added to the existing value) or absolutes (replace the existing value), depending upon the status of the accruals flag associated with the import template. By default, accruals are imported as delta values. All fields used to define effective dates will default to the current date/time unless explicitly defined. It is not possible to clear out data entries using an employee import. For example, if the employee no longer has an address, it cannot be cleared by importing an update file and leaving the address field blank. Any blank entries are skipped and the data values currently defined are left as-is. It is not possible to delete a user using the employee user import. Labels defined for labor charge fields and used in the comma delimited with header format must be entered exactly as the label is defined. This includes spaces if defined. For example, a labor charge field called Work Order would be specified in the comma delimited header format as Work Order. Regarding the fields Employee Status (), Termination Code (TERMINATIONCODEID) and Termination Date (TERMINATIONDATE), the following rules apply: o o If Employee Status (EMPSTATUS) is T then Termination Code and Termination Date must also have values. If either Termination Code or Termination Date has a value, then Employee Status must have a value of T and the other value (Termination Date or Termination Code, respectively) must also have a valid value. ezlabormanager Employee Import Rev Layout 1
5 o o If either value is missing under the conditions described above, an error message is generated and the record is not imported into the system. For example: If Termination Code is TERM and there is no value for Termination Date, the import processor generates an error. If Termination Date is and the Employee Status is A, the import processor generates an error. Blank Supervisor ID s will generate a warning message only when the employee being imported is not a Supervisor. An ID field can contain any Latin-based alphanumeric Unicode characters, spaces (in the middle only; any at the ends are trimmed), as well as the following special characters: o ( - ) - Hyphen o (. ) - Period o ( : ) - Colon o ( ' ) - Apostrophe o ( _ ) Underscore This includes the definition of the employee ID. 6 Field Definitions The table below shows the fields that are used in an employee user import. 7 National Tax ID Value National Tax ID Applied For 20 Specifies the actual value of the National tax ID for the employee. 1 Whether Employee has applied for National TaxID like SSN. Culture 10 Specifies the user's locale/culture. The culture is used to format dates, set the language used to display the application, and control currency displays. Employee ID 25 Y Unique identification value associated with each employee. Badge 15 Badge number assigned to the employee. If specified, the Unique national identifier must be specified. Value must be in clear text (not encrypted or hidden). Hyphens can be included. Valid values are T or F. If not specified, the base company culture is used. Valid culture ID's are: "en-us", "en-ca" and "fr-ca" (or a subset of these dependent upon the company preferences) see the table below. They must be entered exactly as listed in the table; they are case sensitive. Must be Unique. Must be unique if defined. Supervisor Flag 1 Y Indicates whether the employee is a supervisor and oversees other employees. If this flag is set and the employee is also set up as a user, this will enable access to Supervisor Services. Emergency Phone Number. This is only required if the employee is not a supervisor (the Supervisor Flag value is set to F). Valid values: T or F. 9 Employee Security Group 25 A security group defines the employee s group within the organizational structure. Example security groups might be TEAM1, PRDDEV. Employees can be associated with more than 1 security group. Only one security group can be added per employee record/row. Additional employee records/rows have to be used to create multiple security groups for an employee. security group. 17 Pay Premium PAYPREMIUMPLANID Plan ID 25 Specifies a pay premium plan ID to be associated with the employee. pay premium plan ID, and the pay premium feature must be enabled for the client. Valid Culture Specific Codes The table below defines the Culture Specific codes recognized by ezlabormanager. A subset of these codes may be valid for the import, depending on how the client has configured their supported cultures. Only the specific columns of information to be added and/or updated through an import need to be specified. Delimited with Header The comma-delimited with header file is used to define a limited number of parameters associated with employees. This file format is much more flexible than the comma delimited file, as only the new/changed parameters need to be specified. For new employees, any parameter identified as Required in the Detail Record must be included. For updates to employee records, the employee ID must be included in addition to the changed parameters. The first record entered in the file lists the field names included in the file. See the column Header Field Name in the Field Definition table for the specific field names. The field name must be entered exactly as specified in this column. The subsequent records in the file list the field values associated with the field names. Sample File The sample file below shows how a new employee can be set up by specifying only the minimum number of required values. In this case, there are 3 required labor charge fields defined for the employee: team (LCF16), task (LCF17), and work order (LCF3).
