1 After you hire a new employee into Atlas, you need to verify the information you entered and if applicable, assign a Designation. Part I: Hire the New Employee 1. Navigation: Human Resources > Add New Employee 2. The Add New Employee box populates: 3. Fill in the following fields: Last Name: (i.e. Tee) First Name: (i.e. Tess) Middle Initial: Hire Date: Friday date required (i.e. 27-Mar-2009). Empl Rec: Defaults to 0; Leave as is if this is their only position. ID Number: This is the Employee Number (referred to as Person ID in Atlas). Location: Use the (i.e. Troop C Residents) Job: Use the Select link to locate and choose the position. 4. Select: Click. 1

2 5. The Select Open Position page populates: Special Note: : Click to add a Job Number (if it does not populate in the list). 6. Job Number: Double-click the Job Number (i.e. CE63). 7. The Add Employee page populates with the refreshed Job information: 8. Ok: Click. 2

3 9. The Add Employee page populates: 10. Fill in the following fields: Address Type: Address: Country: State: Zip Code: City: Phone Type: Phone Number: 3

4 11. Verify the defaulted information (i.e. Seniority Date matches Hire Date): 12. : Click. 13. : Click. 14. The Issue Property to New Employee page populates: Special Notes: a. This page is not used at this time. b. Badge Number is added on the Day Sheet. 15. Next: Click. 4

The Issue Forms to New Employee page populates: 17. : Click the form to be issued. 18. : Click to move the form to the section (i.e. Employee Verification Form): 19. : Populates the Hire Date; type in the form s actual issuance date (i.e. 03-Mar-2009). 20. Repeat issuing a Form Type as many times as necessary. Special Note: : Click to remove a Form Type from the section. 5

6 21. Verify the Forms issued information: Special Note: This is the last page used for the Hire process. 22. : Click. 23. : Click. Results: Congratulations! You have hired a new employee into Atlas! The next step is to verify the newly entered information in Employee Profile. 6

7 Part II: Verify the New Hire Information 1. Navigate: Human Resources > Employee Profile 2. The Employee Profile page populates: 3. : Click to locate the New Hire s name. Special Notes: a. : Allows you to locate all employees in this area, including future ones. b. : Limits your employee search to current, not future, ones. 7

8 4. The Request Parameters page populates: Special Notes: a. Not case sensitive and partial name is searchable. b. : Click to pull up an employee (with the last name entered) including future hires within two weeks. c. : Click if you need to view a future employee (with the last name entered) with a Hire Date beyond two weeks. 5. Type in the employee s last name (i.e. tee). 6. : Click (Tess Tee s Hire Date is beyond two weeks). 8

9 7. The matching employee populates (i.e. Tee, Tess): 8. Double-click the employee s name you need to view. 9. The selected employee s Employee Profile page populates: Special Notes: a. Automatically populates when you hire an employee. b. Name Change History: Do not update the Effective Range Begin date. If you update it to the Hire Date the employee will no longer be visible. c. To add or update information on any page: Update field and click Save. 9

10 10. : Click to verify the address and phone information: 11. : Click to verify the position information: 10

11 12. : Click to verify the Forms information: Special Note: You can enter new information or type over any existing information in any field, then click to update that information. Reminder: Name Change History: Do not update the Effective Range Begin date. If you update it to the Hire Date the employee will no longer be visible. Congratulations! You have verified all of the employee information that defaulted and was entered when you hired the employee. Now you can add a Designation on the Qualifications tab, if applicable. 11

12 Part III: Assign a Designation 1. : Click. 2. Special Designations : Click to add a row to enter the employee s Designation that you need to populate on the Day Sheet. 3. The blank row populates: 4. Click to select a Designation (i.e. Resident Trooper): 5. Effective Range Begin: Enter the Hire Date (i.e. 27-Mar-2009). 12

13 6. Verify the information: 7. Save: Click. Special Note: If you forget to click Save when you make an update on a page, you will receive this reminder message to respond to accordingly: 8. : Click when you have completed the new hire s information review. Results: You have added a new hire into Atlas, reviewed that employee s information to make sure it was all correct and even assigned a Designation which will appear on their Day Sheet. Brilliant! 13
