1 GCE Applied ICT Unit 3 Case Study For submission in May 2014, May 2015 and May 2016

2 PERFECT PETS The Patterson family has a long history of farming and veterinary practice. For three generations the family and extended family have run a successful dairy farm with herds of the finest bred cattle. The family also manage a veterinary practice within the farm site. Over the years, the farm has provided employment for many members of the family as well as for the local community. The farming aspect of the business is currently managed by Peter Patterson, son of the original owner Philip Patterson. Peter intends to hand over total responsibility for the management of the dairy farm to his son Patrick. He is happy to continue to work on the farm and provide advice, but feels that the time is right to hand over the day-to-day management of the business. He has discussed this fully with his brother Paul who manages the veterinary side of the business. In the past Peter was able to oversee everything that went on in the farm. He managed the staff and scheduled all daily activities. With the help of his wife Anne, he maintained a basic administrative system and employed an accountant to ensure that his accounts were reasonably well ordered. Peter is the first to admit that he dislikes paperwork. He relies a lot on his knowledge of the business to make everything work. Peter must make sure that stock needed for the day to day running of the farm is supplied on time. He must manage all daily orders for the dairies he supplies and in addition, he must manage all invoicing, receipts and payments. Peter s wife, Anne assists him with these tasks but their systems are not well organised and invoices are sometimes issued several times by accident and on occasion, stock has been miscalculated and they have run out of essential items. Over the last five years, Peter has also become more and more aware that the whole face of farming has changed. It is now necessary to comply with all sorts of guidelines, directives and European legislation. The health and safety issues involved for the animals, the staff and the dairy produce are a constant source of worry. There is also the issue of competition from other sources.

3 Patrick has already started to make some changes to the way things are run and while Peter is not completely comfortable with some of the changes his son has already made and has concerns over his diversification into other areas, he does realise that the farm will not survive without change. He trusts Patrick implicitly. There are four full time employees working on the farm along with Patrick and his father. Patrick has insisted that additional part-time staff should be employed to assist in the work as the business has expanded considerably in the last two years. It was agreed that two part-time staff would be employed to relieve the pressure on the full time employees. Richard Lynch and Robert Magee each now work a half day, one in the morning 6-2 and the other in the evening They interchange alternate shifts. Patrick sees lots of opportunity for development. He really wants to provide educational tours of the farm for families and schools. He wants to increase awareness of what goes on in farm life and he also sees a business opportunity. The veterinary side of the business, managed by Peter s younger brother Paul Patterson, is continuing to develop as well. Peter and Paul are joint owners of the whole business. The farm itself is extensive, set in acres of beautiful countryside. Given the family interest in animals and farming, it was no surprise that someone would develop a veterinary career. Paul Patterson qualified as a vet in 1980 and it was at that point the family decided that it would be an excellent business decision to establish a veterinary practice within the farm location. Philip made his two sons joint owners of the whole enterprise. In 2003, Paul Patterson s twin daughters, Pamela and Patricia joined him in the veterinary practice. The practice now has five vets including Paul and his daughters. The practice is located in Paul s home, a large rambling house set in two acres of land on the farm estate. The vets are very overstretched because of the huge demand for veterinary services in the area. Between them, they serve a major rural area that includes the local town and two villages.

4 The practice employed a part time manager Heather Smith in Her role is to manage all requests for services, the daily scheduling of work between the available vets and the overseeing of accounts, stock and any other issues likely to impact on the efficient running of the practice. Initially the practice confined its business to dealing with large farm animals. The vets mostly went to farm locations to do their work. All clients have a record card held in a manual file that is supposed to be updated at the practice after each visit. While this is a sensible approach, on many occasions these cards are not completed after each visit. The vets tend to be satisfied that they have sorted out the problems with the animals and that they can deal with paperwork later. They frequently leave a post it' on the record card with a name, date and an abbreviated problem noted but sometimes there is no record made at all of the visit and consequently the client is never invoiced for the call out service, any treatments administered or any drugs or supplies used. As the business grows, this is becoming a significant problem. Sometimes, the vets send Heather a text message, briefly outlining what they have done and expect her to complete the paperwork. This is very unsatisfactory and although not part of her job role, Heather feels compelled to complete the required documentation. She is increasingly dissatisfied and concerned about the situation. Pamela and Patricia soon recognised the need to provide care for small animals in the area as well. With very little advertising they began to run small animal clinics from the house in This aspect of the practice is booming and it is clear that it is growing steadily. However the premises are not properly organised for dealing with this type of service and there are real issues arising in terms of appointments and administration. Basically, there is a telephone answering service on which pet owners record a request for an appointment if Heather is not available to take the call and make the appointment. Heather writes the appointments into a book and must ring the client back to confirm an appointment time. There are occasions when this does not happen or when the client does not leave a telephone number at all.

5 Open clinics where no appointment is necessary are scheduled on Monday, Wednesday and Friday from 9-11 am and on Tuesdays and Thursdays from 5-7pm. Sometimes clients have to wait a considerable length of time for their animals to be seen, even if they have booked an appointment. This is causing great dissatisfaction and could lead to loss of business. Although plans are already in place for a purpose built small animal clinic in the grounds of the house, the haphazard way this aspect of the business is currently run is causing quite a bit of difficulty. Heather is trying to manage this as well as her current workload. Peter and Paul agreed to employ a secretary, Jane Thompson, to assist Heather and to take over the administrative responsibility associated with the farm. It is clear that the record keeping system is inadequate. Returning clients complain that they have to provide all their details again and again. Peter, Paul, Patrick, Pamela, Patricia and Heather now meet together once a fortnight to review what is happening on the farm and in the practice. They have decided to make these meetings quite formal and to keep a record of the discussions and any concerns that are raised. Since Jane has joined the staff, she now attends to keep minutes. Although they have only had four meetings so far, the family believe that they are already much better informed about the entire business operation. The joint ownership between Peter and Paul has been an amicable arrangement. They have both agreed that ownership will transfer to Patrick, Pamela and Patricia within the next year. The cousins get on very well together and are working very hard to initiate and develop new aspects of the family business. The location and extent of the farm premises have made it an ideal setting for a whole range of services. Pamela and Patricia have also started a grooming service as a spin-off from the small animal development. The grooming service is advertised at the clinics and clients can have their pets groomed to perfection for a very reasonable price. The service is provided by the two veterinary nurses, Janice and Carol, who are located on site and assist at the clinics.

6 With purpose-built accommodation this service will be greatly enhanced and could be a great asset to the overall business. Pamela and Patricia know that information about pets and their owners that is constantly duplicated should be shared by the grooming service. The current system is clumsy and inefficient and even though they now have established clients, they are still recording the same information repeatedly. They also realise that the small animal clinic and grooming service must have a receptionist. The twins also see potential in the provision of accommodation for pets to allow for holiday arrangements. They are also considering the possibility of a dog walking service, holiday pet sitting and insurance plans. The development of these ideas will require complete agreement and cooperation from all involved. While the development potential clearly exists, there are major issues to be considered in terms of communication and storage of information. The farm and veterinary practice are deficient in terms of their recording mechanisms and urgent investment in appropriate technology is required. You must produce: 1. A comprehensive report for Management that fully explains the following: the current status of the company (this should include a brief background to the company and reference to the current organisation structure, management, resources etc.); how information is communicated in the company; four examples of the type of information currently circulating within the company. The likely content and format of this information should be noted and explained; possible problem areas currently within the organisation; how ICT resources could be used to assist the circulation of information in the organisation; how the implementation of a Management Information System could help the company at present and in the future;

7 two examples of MIS reports which you have designed yourself that could be obtained from a new MIS system in the company. These should be accompanied with an explanation of each in terms of the data they contain; how the company could exploit e-commerce opportunities to expand their customer base; two examples of on-line documents likely to be used by the company if they proceed with an e-commerce solution with a brief explanation of each. Your report should reference legal issues likely to impact on the development process. 2. As a Systems Analyst with Specialist Solutions Limited, you are also responsible for the compilation and delivery of a presentation to the Board of Directors. This presentation should outline the future vision of the company as seen by Specialist Solutions Limited. Your presentation which is based on the information in your report should explain and justify to the Board of Directors how the company could fully utilise ICT and available technologies to support the management function and to expand the business, thus fulfilling long term plans. Your presentation should comprise no more than 10 PowerPoint slides. You must pay careful attention to the company image in the presentation of your slides. You must also display at least ONE of the on-line documents you have proposed in the report, taking the opportunity to explain and demonstrate its ease of use. These tasks will demonstrate the following: how organisations are structured and managed; why information is necessary to make an organisation work;

8 the role of ICT in an organisation; the role of Management Information Systems (MIS) in an organisation; the legal issues surrounding Information Systems; what are the standard ways of working
