3 Welcome Welcome to HCM or Human Capital Management. It is our hope that by the end of this manual you will be able to go from hiring an employee to running a payroll. Logging into the system Login to the system using this URL: If you have used Evolution Classic, it will be the same information. If you have never you will need to contact your payroll processor so they can get you set up. Once you have logged into the system you will need to enter your User Name and Password. Once you are logged in, the dashboard will appear. If you only have one company, that will be the default. If you have multiple companies, there is a drop down and you can select which company you want to work in. 2

4 Add a New Hire To Add a New Employee in HCM: 1) Choose the purple Employees box 2) Click the green + in the top left hand side of the screen a. *a box will pull up asking you to put the new employee s social security number or EIN (employee identification number) to verify they do not already exist in the system. 3

5 3) Once it is established the employee is a complete new hire, the New Employee screen will popup. 4) Fill in all of the basic information on this screen. It allows you to choose their taxes (both federal and state), , and jobs all on one page. Once this is completed, choose Next 5) The next screen will take you to locals. Choose Add on the top of the page. Not every employee will have a local that needs set up so be sure to double check that before adding any. 4

6 6) Click in the empty space below Local as this will give you the drop down of locals that are available for the company. If you do not see one, please contact your payroll processor. 5

7 This will bring you to the ACA tab. The most important part is to choose the ACA Status *remember to be full time for ACA rules you only have to work an average of 32 hours per week* Click the save button at the top of the screen. The X button will cancel all changes. Complete all the necessary or required fields The Pay tab is next and that has three sub menu This where you would enter pay information The Shifts tab under the pay tab is where you enter the shift and the rate if applicable 6

8 The Piecework tab is where if the employee is paid by a piece rate is where that is entered The Auto-Labor Distribution sub menu is when employees time and pay rates are set up and applied, based on the D/B/D/T The Tax Menu The Federal is the first tax tab that needs to be completed. 7

9 The second tax tab is the state tab where the state tax information will need to be entered, viewed or deleted. The third and final tax tab is the local tax where it can be entered, viewed or deleted. If you click on the arrow button next to local tax you can open it up to see the information 8

10 The Child Support Screen Click the add button to add a new child support case Enter the priority number Enter the case number Enter the State of Origin Enter if Medical Coverage is necessary Select the Agency to whom the order is to paid to Enter if they are in Arrears Enter the FIPS number as this is needed for payment confirmation After creating a child support you will need to create a referencing scheduled E/D 9

11 Direct Deposit Screen Click the Add button to enter the direct deposit information Enter the ABA or routing number. It will prompt you if the number is not valid Enter the Account number Enter if Prenote as this is to verify the account (this will produce a real check when set to No and when set to YES will produce a direct deposit) Enter a matching scheduled E/D to tie the direct deposit to the employee s check 10

12 Scheduled E/Ds Click add to add a new scheduled Earnings or Deduction The Schedule tab is where you begin and end date the E/D The Limits tab is where the you select any minimums or maximums at 11

13 The Thresholds tab is where you can set a certain goal amount The Delivery Screen Delivery information for all of the employees payroll and tax forms is listed 12

14 Time Off Accrual The Time Off Accrual page is where you enter if the employee is eligible for and time off banks. The Employee Portal The employee portal screen shows if the account is locked and is the same as the employee self service 13

15 Notes This is the screen that you enter any payroll notes for the employee 14

16 Payroll Processing To process a payroll for a company you will click on the green payroll button Click on the BIG plus (+) button to start your payroll This will bring you to the batch screen where you can ensure the pay periods and frequency are correct. 15

17 Click on Payroll settings and this will show your check date and what run you are running. If you need to make changes to the check date or payroll type, choose the payroll setting on the far left hand side. After verifying the check date you can hide the slide tab 16

18 Click on the Create Checks button This will bring you to the quick entry screen to enter in the information In order to enter a column onto your quick entry screen you will click on the column button at the bottom right hand side. 17

19 Also time imports are done through here as well. 18

20 Click the totals button to show you the payroll totals To preprocess, click on Calculate on the upper left hand side. If you have any changes, you can go back to the checks and do so. Otherwise, move forward by clicking on the Finish in the upper right hand side of the page which will take you to the submittal options page. To submit to HR Butler, please select Process Payroll. This will bring it to the Evolution Classic queue and your payroll processor will complete the processing for you. If you want to just submit your payroll then you would click on the Submit Payroll and it would be completed and processed automatically without your payroll processor being able to verify it. 19
