BACKGROUND The University of Manchester is the largest single-site university in the UK, with over 35,000 students and a turnover of over 1bn. It is also one of Europe s elite universities in terms of research and teaching quality. It has a proud heritage and scientific and wider breakthroughs, with 25 Nobel Prize winners having worked or studied at the University (including three on the current staff, more than any other UK university). Division of Development and Alumni Relations The Division of Development and Alumni Relations (DDAR) seeks to connect with alumni and other individuals and organisations, building sustained and growing sources of private gift income and other forms of tangible support for the goals of the University. The Division aims to provide an outstandingly communicative, engaging, stimulating and rewarding experience to donors and alumni who wish to play a partnership role in taking areas of shared interest forward. The University benefits from the interest and support of the UK's largest alumni community for a campus-based university, maintaining contact with more than 290,000 of its alumni in over 200 countries. Annual Philanthropic gift income has grown from 2M in 2004/5 to over 17.5M in 2015/16. The current Business Plan for the Division, linked to consistent, strategic investment by the University, targets on an-going increase of 15% per annum to reach a sustainable target of over 35M in gift income per annum by 2020/21. This income includes grants made to the University by the independent organisations the North American foundation for the University of Manchester (NAFUM) and the Hong Kong Foundation for the University of Manchester (HKFUM).
3 Beyond philanthropy, in the past two years we have worked with over 3,500 alumni volunteers who are engaged in programmes that bring current students and alumni together in order to enhance the student experience and take the University s commitment to Social Responsibility to new levels. These award-winning and nominated programmes include the Manchester Gold mentoring programme, meet the professionals careers events, School Governors programmes, work placements and an international Global Graduates Scheme that provides students from low income backgrounds with the opportunity to visit major global cities (including New York City and San Francisco) to meet with alumni across a variety of sectors, providing a global perspective on their future career. All positions in the Division work to raise the profile and reputation of the University, and to support the achievement of student experience, alumni engagement and philanthropic goals. JOB DESCRIPTION Overall Purpose of the role To provide assistance and support to the Development Team in the initiation and development of Programmes and strategies to enhance relationships with alumni, donors and prospective donors. Strategic support will be provided across the team including major gifts, legacy gift administration, regular giving, communications and stewardship. Key responsibilities, accountabilities or duties You will undertake a range of activities commensurate with the grading and responsibility of the post, which will include the following: Major Gifts, Stewardship and Legacies Produce monthly management reports on agreed major gift performance metrics. Proof reading and formatting of fundraising proposals and stewardship reports. Support the Donor Relations Team in recording all stewardship actions on RE for the Deputy Director (Development), Head of Philanthropy (North America), Head of Philanthropy (Asia) and Senior Development Officer (International) and producing monthly stewardship reports. Provide administrative support for meetings of the Global Leadership Board (GLB) including acting as minute taker at GLB meetings as required. Provide administrative support for Head of Philanthropy (North America) and Head of Philanthropy (Asia) as required. Make logistical arrangements for donor and prospective donor visits to the University (e.g. booking rooms and travel, arranging catering and parking etc). Provide administrative support across all aspects of legacy fundraising, including drafting initial response to individuals seeking further information regarding leaving a gift in their will to the University and correspondence to solicitors and executors regarding the administration of confirmed legacies. Working with the database (Raiser s Edge) Manage all RE updates for the relationships held by the Deputy Director (Development) and Head of Development. Liaise with the Deputy Director (Development), Head of Philanthropy (North America), Head of Philanthropy (Asia) and Senior Development Officer (International) to ensure
4 that all approaches, meetings and proposals to donors and prospective donors are fully recorded on the Raisers Edge (RE) database. Update newly acquired alumni, donor and prospective donor details on the RE database. Accurately record event attendance and other forms of engagement. Accurately record all legacy fundraising activity and touchpoints, including expressions of interest, appropriate Will information, pledges and gifts. Regular Giving Provide support to the Head of Regular Giving and Regular Giving Officer (Direct Appeals) in the recruitment and training of student callers. Ensure all HR processes are completed for the employment and payment of the student callers. Provide administrative support to the Head of Regular Giving for direct mail and e- solicitation appeals, including supplier set-up and requisition, proofreading and image sourcing. Provide support to the Regular Giving Officer (Students and Young Alumni) in promoting philanthropy across internal audiences (staff and students). Development Communications Source imagery for print publications and web communications. Identify opportunities for communications content to be used across social media or other channels. Assist with raising the profile of the Development team across internal communications channels where appropriate. Organise the logistics of photo and film shoots where needed. Edit and proofread written copy. General Provide secretarial support to the Deputy Director (Development) and Head of Development including diary management. Act as secretary for Development Team meetings and meetings chaired by the Deputy Director (Development) and Head of Development, collating and circulating all papers and taking minutes as required. Serve as a member of the DDAR Internal Communications Group and support the development of the DDAR intranet. Deal and process expenses for the Deputy Director (Development) and Head of Development Provide administrative cover across the Division during times of heavy workload or staff absence. Attend alumni and donor-related events on campus and away from the campus, as and when required. Utilise internal financial and booking systems for purchasing and travel arrangements. Deal with all initial donor-related enquiries (including managing the generic accounts), ensuring that the enquiry is passed on to the appropriate person quickly and efficiently. Such other duties as may be required by the Deputy Director (Development), Head of Development and the Director of Development.
5 Essential knowledge, skills and experience A good educational background to at least GCSE level with proven ability in Mathematics and English. Self-motivated and highly organised, with an ability to prioritise tasks as appropriate. Proven administrative experience in a busy office environment, including experience of using databases. A high level of computer literacy with experience of using a range of applications including Microsoft Office, Outlook, Excel and PowerPoint, along with a willingness to undergo training for any other applications as necessary. A keen eye for detail and accuracy, along with excellent proofreading skills. A good level of numeracy, analytical and problem solving skills with the ability to identify and resolve issues effectively. Experience of servicing committees (or similar) including minute taking. A high order of interpersonal skills and an ability to interact with ease with colleagues, students, volunteers, donors, academics, management and external agencies. Excellent verbal and written communication skills, with the ability to build good working relationships quickly. An ability to demonstrate tact, discretion and sensitivity in assessing and filtering communications, including confidential and often sensitive information. A positive attitude to problem solving and a helpful and friendly customer-focused approach. Experience of working in a team environment and able to support colleagues in the delivery of objectives, often to tight timescales. A catalytic team player who is committed to achieving shared goals and gains satisfaction from a team result. Knowledge and understanding of philanthropy and charitable giving, along with a personal commitment to, and belief in education, research and scholarly enquiry. Knowledge of current trends in university Development and Alumni Relations Knowledge of current issues in Higher Education in general. A willingness to work outside normal hours as and when required, for which time-off in lieu will be given. Desirable knowledge, skills and experience Experience of using the Raiser s Edge database. Experience of legacy fundraising administration. Experience of working in higher education, preferably within a marketing or customer service environment. Experience of using Campus Solutions and Oracle Financials.
