3 Purpose of this Quick Reference Guide (QRG) The goal of this document is to equip you with the basic information and processes that will allow you to effectively use the appointment module in the Supplier Portal. In the document you will find information on the purpose and benefits of the appointment module, processes you can take (including screenshots), and a list of key questions and answers. Supplier Portal: Appointment Module Overview and Benefits The appointment module within the supplier portal will provide you with improved visibility of your deliveries to UNFI Distribution Centers. You will see your delivery appointments and the details related to those appointments. You will also be able to see status information such as whether an appointment has been landed, cancelled, or remains unfulfilled. Additionally, all carriers and any supplier that performs and manages their own carrier activities can register for the appointment management capability within the Supplier Portal appointment module. This will allow all applicable carriers and suppliers to use the Supplier Portal to perform the following activities: Accept loads Request appointments View confirmed appointments Request to reschedule appointments View confirmed rescheduled appointments Please share this information with your carriers and let them know they can request access by completing the form at this link: April

4 Request Access to the Supplier Portal In the event you do not have Supplier Portal access, request access by completing the form at this link: Navigate to the Appointment Module After logging into the Supplier Portal, use this process to gain access to the appointment module. 1. Click on the word Appointments located in the header menu 2. You will see the appointment module appear. It will default to show you a list of all upcoming appointments. View Upcoming Appointments You will have access to view all upcoming appointments within the Upcoming tab of the appointment module. 1. Click on the Upcoming tab to view all future appointments. 2. Alternatively, you can search for a specific upcoming appointment by using the three search bars. You can search by appointment ID, Carrier name, or DC respectively. For the Carrier and DC Search bars, you can either use the drop down arrow and scroll through to find the correct entry, or start typing as the entries will auto-populate as you type. April

5 View Past Appointments You will have access to view appointments from the past 6 months within the Past tab of the appointment module. 1. Click on the Past tab to view past appointments. 2. Alternatively, you can search for a specific past appointment by using the three search bars. You can search by appointment ID, Carrier name, or DC respectively. For the Carrier and DC Search bars, you can either use the drop down arrow and scroll through to find the correct entry, or start typing as the entries will auto-populate as you type. View Appointment Details Follow this process to view details about an upcoming or past appointment. 1. Once you have located the appointment, click the appointment ID number. The appointment can fall within the Upcoming or Past tab. April

6 2. A screen will appear with the appointment information. The page will default to display the tab showing the POs assigned to the appointment. 3. View the Appointment History by clicking on the Appointment Details tab. April

7 Appointment Module Glossary TERM DESCRIPTION ID Load # Destination DC Pallets Weight Cubes Protection Status Truck Load Type A unique number assigned to a specific appointment A unique number assigned to a specific load. This number will only display if the load is UNFI-managed vs. supplier-managed. The DC where the load is scheduled to be delivered to The number of pallets included in a specific load The weight of the load A calculated number providing the total amount of space taken up by the cases in a load The type of truck required based on the items being delivered in that load. For example D Dry, C Chilled, F Frozen. The status of the appointment. The appointment may be Scheduled, Rescheduled, Landed, and Cancelled. Designation of either Floor load or Pallet load Dock Needed Provides the dock number where the load will be delivered. This is a date that you will find in appointment details. It is a calculated value that changes on the PO that indicates the urgency of that PO to be delivered to UNFI. April

8 Frequently Asked Questions (FAQs) QUESTION How do I access the Supplier Portal (and therefore the appointment module)? ANSWER Access the following link to submit a request: Complete the request form (see screenshot below) What is the link to the Supplier Portal appointment module? Whom do I contact if I have questions about the appointment module? Once you have been granted access to the Portal, you can access the appointment module using this link: If you do not have access to the Portal, follow the process directly above. Click Here you will find FAQs, a glossary of terms, and Supplier Portal guides, such as this one. Additional questions can be directed to SupplierSupport@UNFI.com. Should I use a specific internet browser when I am working in the appointment module? Can you search for a specific PO in the appointment module? Yes. We recommend that you use Internet Explorer version 10 or higher or Google Chrome. No. You can search by appointment ID, carrier name or DC. If you are looking for a specific PO you would need to know the specific appointment that the PO was delivered on. April
