2 Question 3: Do work experience placements require special insurance arrangements? Work experience students will be covered: In the NHS: by the Welsh Risk Pool Elsewhere: by the Employer s Liability and Public Liability policies Visiting groups: by your normal public liability insurance. Insurers must be notified and the confidentiality clause must be signed (see template 5 below). Question 4: What health and safety assessments do I need to complete? Question 1: Do staff supervising work experience students require DBS checks? A Disclosure and Barring Service check (or DBS formally CRB) is not compulsory for staff supervising young people aged 16 plus. Question 2: Do students require DBS checks? With few exceptions, DBS checks are not required for work experience students under-16 as they must be supervised at all times. For further information about DBS checks please visit the Government s Disclosure and Barring Service website. A link to the site is included on page 5. A preliminary health and safety risk assessment must be conducted and standard occupational health checks followed as for any new recruit (see template 3 & 4 below). Question 5: What about patient confidentiality? Patients dignity and confidentiality must be maintained: By signing the work experience contract, students agree to abide by the confidentiality clause Patients must be consulted about the presence of work experience students. There are clinical areas which are inappropriate for younger pupils and students. However, these are limited and it is important that young people are given the chance to experience both the clinical and non-clinical roles involved in delivering healthcare. 2 Work Experience

3 Question 6: Can I just offer work experience to the children of staff? Contacts through family and friends have often initiated work experience opportunities. However, these must go through the same standard work experience procedures that an organisation has in place. Limiting opportunities to family and friends is unfair and unequal. It produces its own risks of unsupervised visits and it fails to engage with local candidates not lucky enough to have such contacts. Question 7: How will work experience placements benefit my organisation? Staff development: supervising and coaching young people on work experience offers an excellent opportunity to develop employees management capabilities. Engaged workforce: providing work experience sends a positive message to the wider workforce about the values of the organisation, which can support efforts to build employee engagement. Recruitment opportunities: work experience placements can be a way to access the local labour market and explore a talent pipeline that the employer would not have considered otherwise. Question 9: What use is work experience to the young people? The benefits of work experience include: Helps students to make informed choices about their future. Access to networks. Exposure to the workplace and how to behave in a work context. The tools needed to enhance their employability skills. Gain experience of working with people, enhancing social and communication skills. Learn more about specific industries, organisational cultures and job roles, some of which they may not have been aware of. Question 10: Does work experience benefit the community? Work experience provides a valuable means of creating a positive image, in which the organisation helps to address social issues related to deprivation and youth unemployment in the community. Question 8: What are the cost implications to offering work experience? Work experience placements are not paid. Work Experience 3

4 Providing The Best Experience Working with schools: Schools and employers have an important role to play in building the transition from the world of education into work. Many employers recognise this and work with schools through a number of initiatives (career talks, visits, work experience). How do I best match the person to the placement? Matching the person to the placement is important for a successful experience it s a two-way street; employers will benefit by providing clarity around what jobs they can offer/need to fill, and therefore what kind of placements are available. Young people need to offer some clarity on what their expectations might be. Be clear about what you want and manage your expectations: Explain the tasks you want carried out and/or which projects you want them to contribute to. Develop a standard work plan which can be adapted for each candidate so you don t need to develop a new plan each time. The plan needs to be flexible (while responding to your organisation s needs) and should also be tailored to the young person s individual interests and abilities. Each work experience participant will be different, with varying skill levels and abilities. It is important to manage the young person s expectations and to ensure that they have a realistic understanding of their role in the organisation. What tasks should they do? If work experience is to be beneficial to the young person and the employer, it is imperative that the young person is given as much insight into the world of work as possible; think tasks not tea. Otherwise they will not be exposed to any opportunities that will give them something meaningful to put on a CV/ UCAS personal statement. Best way to close? Student: Something meaningful to take away Organisation: Satisfaction that it was a worthwhile experience and a potential NHS recruit for the future. 4 Work Experience
