Frequently Asked Questions Chicago/Cook County Paid Sick/Safe Time For Eligible Associates What is Chicago/Cook County Paid Sick/Safe Time? Chicago/Cook County passed a law effective July 1, 2017 providing paid sick/safe time. Eligible associates will have access to time off that works like Paid Time Off (PTO), but with more flexibility. When can I use Chicago/Cook County Paid Sick/Safe Time? You may use Chicago/Cook County Paid Sick/Safe Time when needed for the following reasons: Your mental or physical illness, injury or health condition, need for medical diagnosis, care or treatment of mental or physical illness, injury or health condition or need for preventive medical care. The care of a family member who needs medical diagnosis, care or treatment of a mental or physical illness, injury or health condition or the care of a family member who needs preventive medical care. To address the psychological, physical or legal effects of domestic violence, sexual assault or stalking of you or covered family member. Your place of business is closed due to a public health emergency, or you are providing care or assistance to a child, whose school or child care provider is closed due to a public health emergency. Who is a covered family member? Covered family members are: Spouse (under the laws of any state), registered domestic partner or civil union partner; Child (biological, adopted, step or foster); Parent of spouse or registered domestic partner; Parent (biological, adoptive, foster, step, legal guardian, ward or person who stood in loco parentis when the you were a minor); Sibling; Grandparent; Grandchild; and/or Any other person related by blood or whose close association with you is the equivalent of a family relationship. Who is eligible for Chicago/Cook County Paid Sick/Safe Time? You are eligible if (1) you worked within the City of Chicago or Cook County for at least 80 hours in a 120 day period, and (2) have worked for Macy s, Inc. for at least 180 days. Am I losing any PTO time? No. Chicago/Cook County Paid Sick/Safe Time that is carved out of PTO can still be used as PTO, consistent with the PTO guidelines, including notice and approval requirements and blackout periods.

How does Chicago/Cook County Paid Sick/Safe Time work with PTO? If you are hired (or transferred to Chicago/Cook County) on or before Feb. 3, 2018: Beginning July 1, 2017 (or your hire or transfer date if later) through the end of fiscal year 2017, you will accrue paid sick/safe time at the rate of one (1) hour for every 40 hours worked in addition to your 2017 PTO entitlement. This time may only be used as sick/safe time for the covered reasons listed above. Beginning in fiscal year 2018, you will see Chicago/Cook County Paid Sick Safe time carved out of your PTO. This means that paid sick/safe time is not in addition to PTO, but rather a portion of your total PTO. This sick/safe time can be used for certain covered reasons (listed above) or it can be used as PTO, consistent with attendance rules and PTO guidelines, including notice and approval requirements and blackout periods. If you are hired (or transferred to Chicago/Cook County) on or after Feb. 4, 2018: Beginning at date of hire/transfer, if you are eligible for PTO, you will see Chicago/Cook County Paid Sick/Safe Time carved out of your PTO. If you are not eligible for PTO, you will begin to accrue paid sick/safe time. What does carve out mean? Beginning in fiscal 2018, if you are entitled to 40 or more hours of PTO, 40 hours of your PTO will be reallocated, or carved out, and identified as Chicago/Cook County Paid Sick/Safe/PTO. You may use these 40 hours as Chicago/Cook County Paid Sick/Safe or as PTO. If you are entitled to less than 40 hours of PTO, all of your PTO will be carved out as Chicago/Cook County Paid Sick/Safe Time and you will begin to accrue additional paid sick/safe time at the rate of one (1) hour for every 40 hours worked up to a maximum for 40 hours in a fiscal year. Please note: Since our Macy s, Inc. PTO Policy provides a greater benefit than that provided under the new law, Chicago/Cook County Paid Sick/Safe Time is carved out of PTO. You may use Chicago/Cook County Sick/Safe Time for any of the reasons listed above, or it may be used as PTO. Will I receive an attendance point when I use Chicago/Cook County Paid Sick/Safe? No. When using Chicago/Cook County Paid Sick/Safe Time as sick/safe time, you do not incur attendance points. This protection only applies to time taken as Chicago/Cook County sick/safe time. For example, if you request four hours as sick/safe, but fail to show up for an entire shift, you will receive an attendance point and you will not be paid for the missed time in excess of the four hours of sick/safe time. Please note: if you are using Chicago/Cook County Paid Sick/Safe Time for PTO, all attendance rules and PTO guidelines, including notice and approval requirements and blackout periods apply. Are there times when I cannot use Chicago/Cook County Paid Sick/Safe Time? You can use Chicago/Cook County Paid Sick/Safe Time when needed for any of the reasons outlined above. Blackout periods (if applicable to your schedule) do not apply to Chicago/Cook County Paid Sick/Safe Time. However, if you are using designated Chicago/Cook County Paid Sick/Safe Time as PTO, blackout periods apply (as do all attendance rules and other PTO guidelines). I am an executive, do I have to use Chicago/Cook County Paid Sick/Safe Time when I am out sick? No. You may utilize the Executive Short Term Disability (ESTD) benefit. Remember, ESTD can only be used in cases of your own personal illness. See the question below for additional information.

I am an executive, does Chicago/Cook County Paid Sick/Safe Time affect my ESTD benefit? No. If you are an executive who is eligible for Chicago/Cook County Paid Sick/Safe Time, there is no impact on your ESTD benefit. You are not required to use the Chicago/Cook County Paid Sick/Safe Time as sick time, nor are you required to exhaust your Chicago/Cook County Paid Sick/Safe time before taking normal sick days. If you are a SOEE or an Hourly Executive, and you are not using a Chicago/Cook County Paid Sick/Safe Time, you should continue with the current practice of indicating a sick day in your time keeping system. Though this time will be tracked as sick time, it will not count toward your Chicago/Cook County Paid Sick/Safe Time allotment. How do I request Chicago/Cook County Paid Sick/Safe Time? Executives, may enter Chicago/Cook County Paid Sick/Safe time into the MTO system as you would a sick or vacation day. Hourly associates, you must request Chicago/Cook County Paid Sick/Safe Time through your supervisor or HR. Specify if the time is for Chicago/Cook County Paid Sick/Safe Time or PTO. The designated person will enter the time into MTO. How does Chicago/Cook County Paid Sick/Safe work with carry-over? You may carry over accrued, unused Chicago/Cook County Paid Sick/Safe time from one year to the next, but how that time carries over and how you can use it changes based on your date of hire/transfer. Associates hired (or transferred) on or before Feb. 3, 2018: You may carry over all accrued unused paid sick/safe time from fiscal year 2017 to fiscal year 2018 as Chicago/Cook County Paid Sick/Safe Time. Paid Sick/Safe Time that is accrued, but unused during fiscal year 2018 will carry over to fiscal year 2019, but it is treated differently: o Half of the accrued, unused time (up to a maximum of 20 hours) will be carried over as Chicago/Cook County Paid Sick/Safe Time and may be used as paid sick/safe time. o The remaining accrued, unused time (up to a maximum of 40 hours) will be carried over as Chicago/Cook County Paid Sick/Safe FMLA Time. This time may only be used during a leave approved under the Family Medical Leave Act (FMLA). o You may only use up to 40 hours of paid sick/safe time during any fiscal year. Going forward you may have: o up to 40 hours of Chicago/Cook County Paid Sick/Safe Time carved out of each year s PTO entitlement which may be used as PTO or paid sick/safe time; o carry-over paid sick/safe time that can only be used as sick/safe time; and o carry-over paid sick/safe FMLA time which can only be used during an approved FMLA leave. However, you may only use up to 40 hours of Chicago/Cook County Paid Sick/Safe time or Chicago/Cook County Paid Sick/Safe FMLA time during the fiscal year. You use all 40 hours of paid sick/safe time, you may take an additional 20 hours of paid sick/safe FMLA time (if available) and vice versa to reach the maximum usage of 60 hours in a fiscal year. If you are not eligible for FMLA, you may only take up to 40 hours of Chicago/Cook County Paid Sick/Safe time in a fiscal year. There is no maximum amount of paid sick/safe or paid sick/safe FMLA carry-over time that you may accumulate.

Associates hired (or transferred) on or after Feb. 4, 2018: You may carry over all accrued, unused time from the fiscal year in which you were hired/transferred to the next fiscal year as paid sick/safe time. Then, after the first full fiscal year in which you accrued Chicago/Cook County Paid Sick/Safe Time, accrued, but unused time carries over to the next fiscal year, but it is treated differently: o Half of the accrued, unused time (up to a maximum of 20 hours) will be carried over as Chicago/Cook County Paid Sick/Safe Time and may be used as paid sick/safe time. o The remaining accrued, unused time (up to a maximum of 40 hours) will be carried over as Chicago/Cook County Paid Sick/Safe FMLA Time. I have used all of my PTO but I have Chicago/Cook County Paid Sick/Safe Time remaining. Can I use it for a vacation? Yes, if your Chicago/Cook County Paid Sick/Safe Time is a carve-out of your PTO entitlement, you may use your Chicago/Cook County Paid Sick/Safe Time as PTO. All attendance rules and PTO guidelines, including notice requirements and blackout periods apply. I m a SOEE and I used all my PTO entitlement, and now want to use my 40 hours of Chicago/Cook County Paid Sick/Safe Time for PTO, do I need to code PTO time as Chicago/Cook County Sick Time? Yes. The 40 hours identified in the MTO system as Chicago/Cook County Paid Sick/Safe Time may be used as PTO and you would follow the same procedure you currently follow in MTO - just enter the time under Chicago/Cook County Paid Sick/Safe Time. If I leave the company, will I be paid out Chicago/Cook County Paid Sick/Safe Time? If your Chicago/Cook County Paid Sick/Safe Time is a carve-out of your PTO entitlement, you will receive a payout of your PTO and Chicago/Cook County Paid Sick/Time that was accrued during the fiscal year of termination, but unused through your last day of employment. Chicago/Cook County Paid Sick/Safe time carried over from the previous year(s) is not eligible for payout.

Where can I review my PTO and Chicago/Cook County Paid Sick/Safe Time balance? You can access the MTO system through My IN-SITE: Click the first tab My Day. Select the Time Off (MTO) link to access the system. I can see Chicago/Cook County Paid Sick/Safe Time in MTO, when can I begin to use it? Chicago/Cook County Sick/Safe Time will be displayed in the MTO system the week of July 10, You may use it immediately. How does Chicago/Cook County Paid Sick/Safe Time show on my paycheck? Chicago/Cook County Paid Sick/Safe Time will show on your paycheck as SICK-SAFE. What happens to the existing Bloomingdale s sick day policy? The Chicago/Cook County Paid Sick/Safe Policy will replace all prior Macy s, Inc. sick pay policies and practices in the state of Illinois.
