12 MODULE 1: DEFINING PERFORMANCE MANAGEMENT Performance Management Overview Overview You can use the ADP Workforce Now Performance Management feature to complete the steps of the performance review process. What Is Performance Management? Performance Management is a feature of ADP Workforce Now that you can use to better manage your performance review process and data while significantly reducing the risks and disadvantages associated with a paper-based system. You can use this feature to set up and manage performance reviews and report on performance review data. If you wish, your employees and managers can access, update, and submit performance review forms. You need to assign the appropriate rights to enable managers and employees to participate in the performance review process. 13 MODULE 1: DEFINING PERFORMANCE MANAGEMENT The Performance Review Process Overview When setting up and using the Performance Management feature, you need to follow a series of stages in the performance review process. The stages that you complete depend upon the components that you use. Stages and Descriptions The following table describes the stages of the performance review process. The first two stages are reviewed in the Security Overview for ADP Workforce Now and Workflow Management for ADP Workforce Now courses, respectively. Stage Set up user access to Performance Management. Determine the approval workflow. Set up validation tables. Description Ensure that practitioners and managers are enabled to access and update performance review elements as appropriate. Customize performance review workflows with information about related tasks and the personnel responsible for completing tasks. 1. Create job competencies. Create job competencies based on your job analysis. 2. Assign competencies to jobs. Assign job competencies to the applicable jobs. 3. Create performance goals. Create goals based on required skills and job requirements. Set up performance review elements. 4. Create rating scales. Create rating scales to quantify employee performance. 5. Create performance review questions. Create performance review questions to consider when evaluating employees and optional categories to organize your questions. 6. Create performance review templates. Create performance review templates to determine whether you will include job competencies, performance review questions, and comments as part of the review. 7. Create performance review policies. Create policies that define how reviews are scheduled, the review templates used, who contributes to the review form, and the rating scale. Complete the review. 8. Schedule the performance review. Schedule the review for filtered groups of employees or for an individual employee. 9. Start the performance review. Start the review by releasing the review form to the contributors that you select. 10. 22 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Setting Up Job Competencies Overview After granting the appropriate practitioners and managers access to specific Performance Management elements and defining the performance review approval workflow, you create job competencies and assign them to jobs. What Are Job Competencies? Job competencies are clusters of related knowledge, skills, abilities, and other personal characteristics that are necessary to be successful in a particular job. Each competency is correlated with job performance and can be measured. Example Adaptability, which Geneva Entertainment defines as "adapts to change and is open to new ideas and responsibilities," is a key job competency for Geneva Entertainment's sales staff. Scenario Your company defined a new job competency that you need to add to the Job Competency validation table. Instructions Starting Point: Setup > Tools > Validation Tables Step Action 1 In the Validation Table list, select Job Competency. 2 Click Add. 3 In the Name field, enter the competency name. 4 In the Description field, enter a description for the competency. 5 If You Are Assigning the Competency To All jobs Then Select All Jobs Specific jobs Specific Jobs 6 If You Are Creating more competencies Not creating more competencies Then Click Add Another Done Copyright ADP, LLC 2-3 V WFN10

Unless you override the default by assigning competencies to all jobs, you will need to assign them to specific jobs. Scenario You need to assign some competencies to the account developer job in the Atlanta location. Instructions Starting Point: Setup > Tools > Validation Tables Step Action 1 In the Validation Tables list, under Position, select Job Title. 2 In the row for Account Developer ATL, in the Code column, select ATL-AD. Result: The Edit Job page is displayed. 3 Expand the Competencies section. 4 Click Assign Competencies to This Job. 5 Select the following competencies: Adaptability Collaboration Customer Service Productivity 6 Click Done. 7 Click Done. 25 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT What Are Competency Weightings? Overview A competency weighting is a percentage value that you assign to a job competency. The weighting reflects the competency's contribution to job performance for a specific job. The total of all competency weightings for a job must equal 100%. Example Geneva Entertainment's public relations specialist position includes four job competencies with the following weightings: Job Competency Adaptability 10% Communication 25% Customer Service 15% Productivity 50% Weighting Important Information When you assign a competency to a job, its weighting defaults to zero. Each time you assign or remove competencies from a job, you need to adjust the weightings so that the total equals 100%. Copyright ADP, LLC 2-5 V WFN10

26 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Setting Up Goals Overview You can create and integrate performance goals into your performance review process. What Are Performance Goals? Overview A performance goal is a target level of performance expressed as a tangible, measurable objective against which to compare actual achievement. In ADP Workforce Now Performance Management, you can create goals and track employees' progress toward completing them. Example Your company encourages all project managers to acquire the Project Management Professional (PMP) certification. Therefore, you create a new goal and assign it to all employees who hold a project manager position. Types and Descriptions The following table describes the three types of performance goals. Goal Type Created By Assigned By Organizational Practitioners Practitioners Managers (to individual direct reports) Employees (to self) Team Managers Managers (to all direct reports) Personal Managers Employees Managers (to individual direct reports) Employees (to self) Important Information A new manager cannot access team goals that a former manager had created. 27 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Locked and Unlocked Organizational Goals Overview Goals are either locked or unlocked. By default, the organizational goals that you create are locked. You also have the option to unlock the goals. Types and Descriptions The following table describes each type of organizational goal. Type Locked goal Unlocked goal Description Only practitioners can modify this goal. Modifications are displayed to all assignees. Managers can only assign it to individual direct reports as a personal goal. Managers can modify this goal and assign it as a team or a personal goal. Employees can modify it when self-assigning. Modifications that practitioners make are not displayed to those who have already been assigned the goal; the modifications are applied moving forward. Copyright ADP, LLC 2-7 V WFN10

28 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Activity: Creating Performance Goals Overview You can create and assign goals globally, to filtered groups, or to individuals. You can also view and update the progress of all goals assigned to individual employees. Scenario Your company expects all employees to complete at least 10 hours of training per calendar year. You do not want anyone to be able to modify the goal, so you need to lock it. You also want to add a goal category to organize this and future training-related goals. Instructions Starting Point: Setup > Tools > Validation Tables Step Action 1 In the Validation Tables list, under Performance, select Performance Goals. 2 Click Add. 3 Click Edit Name and select English (US). Result: The Name window opens. 4 In the Name field, enter Training and then click Done. 5 In the Goal Category field, click Add (+). Result: The Add Performance Goals Category window opens. 6 In the Code field, enter TRAIN. 7 In the Description field, enter Training and then click Done. 8 In the Goal Type field, select Locked. 9 In the Goal Detail field, enter Complete 10 hours of job-related training. 10 Click Done. Important Information When copying and pasting formatted text, such as bulleted information, from Microsoft Word into a text field such as Goal Detail, select the Paste as Plain Text option. 29 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Setting Up Rating Scales Overview You can set up rating scales as an additional measure of performance. What Are Rating Scales? Rating scales are standards by which to evaluate performance. You can quantify results by assigning numeric values to each level of performance. When you assign a rating scale to a review, all competencies, rated questions, and goals are rated by the same scale. ADP Workforce Now Performance Management then calculates an overall score from the individual ratings that you select. Example Geneva Entertainment uses a four-point scale to evaluate the ability of the sales staff to implement value-based selling techniques. Copyright ADP, LLC 2-9 V WFN10

30 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Creating a Rating Scale Job Aid Scenario You need to create a new rating scale that uses point values. Instructions, Part 1: Enter Summary-Level Data Starting Point: Setup > HR & Talent > Performance Reviews > Rating Scales Step Action 1 Click Add. 2 In the Name field, enter the rating scale name. 3 In the Description field, enter a description for the rating scale. 4 In the Use Points field, select Yes. Instructions, Part 2: Create Ratings Step Action 1 Click Add. 2 In the Rating Name column, enter a name for the rating. 3 In the Description column, enter a description for the rating. 4 In the Points column, enter a numeric point value. Note: This field is displayed only if you have selected Yes in the Use Points field. 5 Repeat steps 1 4 until you have entered all of the ratings for the rating scale. 6 Click Done. Important Information Rating scales are displayed as a bar graph on the review form. To display the bar graph with the correct score, you must enter points from the lowest to the highest ratings. Once you assign a rating scale to a review policy or use it in a scheduled review, you can no longer edit or delete it. Copyright ADP, LLC 2-10 V WFN10

What Are Performance Review Questions? Performance review questions are questions about an employee's job performance that you want reviewers to answer. You can define performance review questions to align with competencies and goals or to collect pertinent feedback. You can configure performance review questions to gather comments, numerical responses, yes/no answers, or ratings. Example Geneva Entertainment wants reviewers of the sales staff to answer the question How effective has this employee been in earning the trust, respect, and loyalty of his or her team members? 33 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Activity: Creating Performance Review Questions Overview When you create performance review questions, you can assign them to categories if you wish. You can also create categories as you create your questions. Scenario You have to create two performance review questions. Instructions Starting Point: Setup > HR & Talent > Performance Reviews > Questions Step Action 1 Click Add. 2 In the Category field, select Quality. 3 In the Answer Type field, select Percent Field. 4 Click Question Text and select English (US). Result: The Question Text window opens. 5 In the Question Text field, enter Quality score achieved when setting up accounts and then click Done. 6 Click Add Another. 7 Repeat steps 1 5 to create a second question with the following elements: Category: Quality Answer Type: Number Field Question Text: Service quality score from clients 8 Click Done. Tip If you use coded menu, combo menu, or multi-select menu answer types, you can use the Add Multiple Options feature to insert all of the selection options from a source file such as a Microsoft Office Word document or an Excel spreadsheet. 34 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Setting Up Templates Overview The performance review elements that you have set up so far are all individual pieces. Now you begin to organize these elements into performance reviews. What Are Performance Review Templates? On the performance review template, you define the competencies, performance review questions, and/or goals to include on the review form. The template may include instructions for the reviewers. If comments are collected, the template will indicate whether they are optional or required. ADP Workforce Now provides one default performance review template for an annual performance review. You can modify this default template if you wish. Example Geneva Entertainment has a template for reviews of their sales staff. The template provides instructional text for reviewers, requires each reviewer to enter comments about the employee's competencies, and includes three review questions that must be answered. 35 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Activity: Creating a Performance Review Template Overview Once you have created competencies, goals, rating scales, and questions, your next step is to create a template to map out the review form. Scenario You need to create a performance review template for reviews of account developers. Instructions, Part 1: Define General Template Settings Starting Point: Setup > HR & Talent > Performance Reviews > Templates Step Action 1 Click Add. 2 In the Template Name field, enter Account Developer. 3 In the Sections to Be Included section, select the following: Overall Comments Competencies Goals Instructions, Part 2: Select Performance Questions Step Action 1 Expand the Questions section. 2 Click Assign Rated Questions. 3 Select both questions and then click Done. 4 In the Weight % column, enter the following values: 1st Question: 70 2nd Question: 30 Note: The weights that you assign must add up to 100%. 5 Click Assign Non-Rated Questions. 6 Select both questions and then click Done. 7 Click Done. Important Information To assign a weight percentage, the question must use the rating scale answer type, and the scale must use points. Copyright ADP, LLC 2-15 V WFN10

36 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Setting Up Performance Review Policies Overview Review policies pull all of your performance review elements together. After you set up your policies, you can schedule, start, and complete performance reviews. What Are Performance Review Policies? A performance review policy determines how a review is conducted. The policy may include scheduling details and due dates, the role of the review owner, the templates and rating scales to use, and the roles of the review contributors. Example Geneva Entertainment has a quarterly review policy for sales staff. All sales employees are reviewed on the same date. Although the direct manager is responsible for the review, other managers contribute to it. Default Review Policies and Descriptions ADP Workforce Now Performance Management provides two default review policies. If you wish, you may modify these polices by assigning rating scales, contributors, and review templates. Instructions, Part 1: Policy Name and Scheduling Starting Point: Setup > HR & Talent > Performance Reviews > Policies Step Action 1 Click Add. 2 Click Edit Name and select English (US). Result: The Name Window opens. 3 In the Name field, enter Account Developer Annual Review and then click Done. 4 In the Scheduling Options fields, select the Common Review Date and the first day of the next month. 5 In the Review Due Date field, enter 30 and select After Review Date. 6 In the Automatically Schedule Next Review field, select Yes. Instructions, Part 2: Owner and Ratings Step Action 1 In the Owner field, select Direct Manager. 2 In the Owner Template field, select Account Developer. 3 In the Initial Reminder to Owner field, enter In the Second Reminder to Owner field, enter In the Rating Scale field, select Account Developer. 6 In the Calculate Rating field, select Yes. 7 In the Weighting fields, enter the following: Competencies: 50 Questions: 30 Goals: 20 8 In the Display Rating field, select Bar Graph with Score. 38 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Instructions, Part 3: Release, Contributors, and Templates Step Action 1 In the Release to Employee field, select Release Manually. 2 Select Employee Acknowledgement. 3 In the Acknowledgement Reminder to Employee field, enter 5. 4 In the Contributor Role Selection section, do the following: Clear the Practitioner selection. Select Employee (Self Assessment) and then select the Account Developer template. Select Peers and then select the Account Developer template. Note: If the review owner is the practitioner, Direct Manager is displayed as the first contributor role. 5 Click Done. Important Information To delete a policy, it must not be associated with an in-progress performance review. Tip Enter acknowledgement instructions for employees on the Acknowledgement tab. 39 MODULE 2: SETTING UP PERFORMANCE MANAGEMENT Practice: Setting Up a Performance Review Scenario Geneva Entertainment needs to set up a performance review policy for customer service representatives (CSRs). You need to have employees acknowledge their reviews. Additionally, peers, other managers, and the employee will contribute to each review. Instructions Step Action 1 Create a CSR performance rating scale using the following ratings: Unsatisfactory = 1 Satisfactory = 2 Exemplary = 3 2 Create the following two questions: Question Text Question Category Answer Type Quality score from telephone monitoring Performance Percent field Average monthly calls cleared Performance Number field 3 Create a new review template for the CSR: Include overall comments. Include competencies. Include goals. Assign both questions from the Collaboration category. Assign the two questions that you created in step 2. 4 Create a new policy that includes the following: Scheduling options: common review date of January 1. 46 MODULE 3: USING PERFORMANCE MANAGEMENT Assigning Goals Overview Once a performance review is set up, practitioners, direct managers, and employees can set goals in ADP Workforce Now Performance Management. What Is Assigning Goals? When you assign a goal, the employee is expected to work toward achieving it. Once assigned, practitioners, direct managers, and employees can view the goal and update progress. You can mass assign goals or assign them to groups or to individuals. Example Geneva Entertainment requires all customer service representatives to complete three training sessions by December 15 and to update their progress in Performance Management. What Is Scheduling Performance Reviews? Scheduling a performance review is the process of selecting a review policy and the employees to include in the review. You can schedule reviews for everyone, for groups, or for individual employees. Example All employees of Geneva Entertainment must complete a scheduled annual review on March 15. When starting a review, the review owner does the following: Modifies the review dates (if necessary) Selects individual contributors (reviewers) Selects goals to insert into the review (if necessary) Inserts any necessary attachments Releases the review forms to the contributors Example Geneva Entertainment's Customer Service department manager starts the review process for his direct reports by selecting both employees and peer contributors, inserting training goals, and releasing the review forms to contributors. The manager logs on to start the first employee's review. Instructions Starting Point: My Team > Talent > Performance Reviews Step Action 1 In the record for Nicole Edmunds, click (action) and select Start Review. 2 If the employee will perform a self assessment, in the Contributor Feedback section, in the Add Contributors field, select Employee (Self Assessment). 3 If an employee's peers will contribute to the review, in the Add Contributors field, select Peers. 4 In the filter, enter the contributor's last name and click Filter. 5 Select the peer's name and click Done. 6 In the Assign Due Date field, enter the date by when contributors must complete and submit the review form. 7 In the Send Reminder field, enter the date on which to send a reminder notification to the contributors. 8 Click Add Goals to Review. 9 Select the goals to include in the review and then click Done. 10 Click Save. Important Information Practitioners and review owners can modify review dates, contributors, and goals until the review owner submits the review to contributors. You may wish to attach additional instructions, guidelines, and other documents to assist contributors during the review process. Review Owner Releases Review Form When the review owner has set up the performance review by selecting contributors, inserting goals, and so on, he or she releases the review form to the contributors by starting the review. In the Message Center, contributors will receive a review form to complete. Example Manager and review owner Donald East releases Nicole Edmunds's review form to Nicole to complete a self assessment and to Megan Jefferson to complete a peer review. Once completed, contributors submit the form back to the review owner. At that point, contributors can no longer make changes. However, contributors can view and print the review form at any time. The review owner then completes the review by entering comments and selecting ratings based on contributor feedback and his or her own observations. Review owners may wish to copy and paste contributor comments into the review and then select their ratings. Scenario A manager has received contributor feedback and is ready to complete and submit the review for approval. Instructions Starting Point: My Team > Talent > Performance Reviews Step Action 1 Navigate to the employee record. 2 Click (action) and select Perform Review. 3 Where available, enter comments into comments fields and select ratings. 4 Click Save and then select Save. 5 Click Submit Review. Important Information Review owners can save partially completed review forms and can return at any time to print the reviews. However, review owners cannot edit the review after they submit it. Note: If necessary, practitioners can return completed review forms to direct managers to edit. Guideline If your company wants to enable managers to participate in the performance review process through Self Service, you need to define your company's performance approval workflow. Description Releasing a performance review allows the employee to read and acknowledge the information contained in the review. When you create a review policy, you have the option to allow the review owner to release the review manually or automatically upon final approval. You can require the employee to sign off on a review after it has been approved. Practitioners, managers, and employees can print completed reviews from the Historical Reviews tab on the Performance Reviews page. Example Donald East received notification that the HR practitioner approved Nicole Edmunds's review, so he schedules a meeting with Nicole and releases the review to her.
