1 Job Description: Department: Reports to: FLSA Status: Assistant Bookkeeper Administration Finance Manager Non-Eempt Position Summary: The assistant bookkeeper manages accounts payables and food services accounts receivables for the Hospitality Services fund. This position also does daily deposits and daily entries into the accounting system, and from time to time conducts financial research projects as directed by the Finance Manager. In addition to maintaining our vision by adhering to our values, this position must provide the highest level of service to our employees, vendors and guests maintaining a professional and friendly demeanor. Principal Duties and Responsibilities Manage all aspects of accounts payables, including vendor and contract set-up in accordance with authorized procedures. Make sure credit card and house accounts paperwork are submitted by staff in accordance with written procedures and receipts are reconciled monthly to statements. Ensure all epenses are entered into the accounting system to the proper account and class, and paperwork cross-references to the entries. Implement and oversee an efficient Purchase Order system for the Administration department. Compile and record all payables and payments made and reconcile POs to vendor invoices. Audit petty cash accounts and till banks for all departments. Make daily deposit runs to the bank. Maintain complete finance department filing system and file processed paperwork on a daily basis. Minimum Qualifications A high school diploma or equivalent. An Associate s Degree in Finance, Accounting or Business is preferred. At least 5 years of bookkeeping eperience using QuickBooks for companies or government agencies with an annual budget of $1,000,000 or more. Bookkeeping for a public agency is preferred. Knowledge, Skills, and Abilities Basic understanding of generally accepted accounting principles and procedures Knowledge of relevant State regulatory requirements Proficient in English and in MS Office, and advanced skills with Microsoft Ecel Good organizational skills with the ability to balance and prioritize multiple tasks and requests, and meet deadlines in a professional manner Ability to be effective working both independently and as a team member FWPDA Assistant Bookkeeper Revised
