1 Title: FLSA Status: Reports to: Maintenance and Security Supervisor Exempt Assistant Director Jobs Supervised: Maintenance Assistant; Security Monitors Job Summary: Under the supervision of the Assistant Director, with latitude for independent judgment and decision making, is responsible for all operations, maintenance, and security of the library facility and grounds, including the physical buildings, building systems, landscaping, parking lots, sidewalks, lawn, and security systems and staff. Responsibilities: Responsible for safety and security of assets, personnel, and patrons Responsible for the overall appearance and upkeep of the facilities and grounds Delivers and promotes positive customer service experiences Develops and implements department procedures in compliance with library policies and procedures. Prepares, submits, tracks and updates patron disciplinary reports as required. Schedules and attends court appearances related to library incidents as required. Serves as safety and security liaison with police, fire, and other local agencies. Builds on current plans for facility programs, services, staff, and budget. Coordinates daily maintenance and cleaning Inspects buildings and grounds to determine if repairs are needed Ensures roofs, fire safety equipment, alarm systems, HVAC, and other facility systems have current inspections Maintains file of physical assets Performs facility plant and equipment obsolescence planning, budgeting, and replacement Develops specifications and obtains estimates or bids regarding facility projects Oversees maintenance supplies inventory and ordering. Maintains vendor relationships, including tradesman, service companies, and contractors authorized to perform repairs Initiates negotiations and makes recommendations for and oversees contractual service providers (lawn, snow removal, cleaning service, carpet and window cleaners). Creates and maintains appropriate correspondence, including an online file of incident reports and related video footage. Page 1 of 5

2 Coordinates the handling of unattended children according to library policy; ensures staff follow proper protocols when handling unattended children. Coordinates with management team and staff to respond to queries from caregivers about their children s misbehavior. Oversees seasonal maintenance: ensures proper removal of snow and ice; watering plantings; mowing and trimming, trees. Recommends changes and upgrades to security systems. Coordinates regular fire, disaster, and safety training and drills with Library Management. Delivers cash deposits to the bank as needed and returns deposit receipts to the Administrative office. Submits a monthly report to the Assistant Director. Oversees deliveries; unloads, inspects, stores, and delivers incoming equipment and furnishings. Performs other duties as assigned. Supervisory Responsibilities Hires, supervises, evaluates, schedules, and ensures training of the maintenance assistant and security monitors. Coordinates the daily operations of the Maintenance and Security staff. Recommends changes and upgrades to maintenance and security systems. Supervises summer youth workers as needed. Assists with the supervision of library volunteers. Contacts: Patrons, contractual service providers, supplies vendors, first responders and representatives of other local agencies, library staff. Physical Demands: Requires standing, walking, and occasional periods of inactivity. Bending, stooping, climbing, and reaching Ability to move a cart or dolly loaded with up to 300 lbs. of materials Manual dexterity and eye-hand coordination to move furniture or materials or to operate automated equipment Ability to lift boxes weighing up to 70 lbs. May be subject to unruly behavior, harassment, and profanity. May have to attend to incidents, repairs, or maintenance activities outside. May need to respond to volatile situations. The noise level in the work area varies. Sometimes exposed to heights, wet or humid conditions, fumes, airborne particles and toxic cleaning chemicals. Page 2 of 5

3 Qualifications, Knowledge, Skills and Abilities: Bachelor s degree in Facilities Management or related field, or equivalent combination of education or technical training and relevant experience may be considered. Demonstrated proficiency with mechanical equipment, support software, and building related technology. PERC Card and/or Facility Manager Certification (CFM) preferred. Two years of supervisory experience. Highly developed sense of tact and diplomacy. Ability to work and communicate effectively with a diverse population of all ages. Ability to keep calm when confronted and de-escalate tense situations. Working knowledge of Microsoft Office Products, the Internet, , databases, and facility systems support software. Working knowledge of building repair (plumbing, electrical, carpentry, painting, power equipment) Working knowledge of cleaning products and procedures Rudimentary understanding of floorplans and schematic drawings. Commitment to the library s mission and goals. Ability to read, write and speak English. Ability to give and receive instructions in English. Ability to communicate in Spanish desired. 5 Special Requirements: Schedule requires days, evenings, and weekends, and response to building alarms. Valid driver s license and proof of automobile insurance required. Formal training in crisis intervention, intermediation, or comparable subject desired. A background in education, behavioral health, security/protective services or social work is desired. Safety and Risk Management Responsibilities: Employees are responsible for complying with safe work rules; reporting all accidents and injuries immediately; cooperating in all accident and injury investigations, reporting defective equipment and unsafe conditions.
