2 2014 Spring Release Get ready to kick things up a notch! On March 22, our 2014 Spring Release will put a little spring in your step and a lot of new tools in the PeopleMatter Platform to help your business thrive. You ll see new mobile features, new-and-improved workflows, better reports and more. Have a great idea for our next release? Want to make a suggestion? Send them all directly to our Product Team at feedback@peoplematter.com. We re always looking for ways to make PeopleMatter even better, and no one knows how to do that better than you! The Fine Print This document contains proprietary and confidential information (translation: for-your-company-eyes-only). So, even though all of these awesome new features might have you ready to tell the world, we ask that you please keep this info between us and your coworkers. We also want to give you a heads up that while we ll make every effort to meet all of the features, enhancements, and dates outlined below, these might change between now and March 22. 3 H PeopleMatter HIRE New E-Verify workflow The government mandated some changes to E-Verify, so we ve updated our workflows within PeopleMatter to make sure you stay compliant. New E-Verify Participation and Right to Work posters help candidates better understand the E-Verify process and ease the burden of contesting an unfavorable result. We ve also added a built-in warning to remind managers that they should only accept a List B document with a photo. Finally, the TNC Further Action Notice (FAN) will now be returned pre-populated, which will save managers time. And if the employee entered their when filling out Section 2 of the I-9, they will be notified of the TNC. Rules and regulations for E-Verify users are constantly changing. That s why we stay one step ahead continually screening for updates to keep your business compliant. Required E-Verify testing and training New federal guidelines require all of your E-Verify users to complete training on the program. This training doesn t just make the E-Verify process easier to understand, it also reduces questions to the corporate office and prevents managers from taking the wrong steps. There s a lot to know about E-Verify how to handle unfavorable results, what kind of rights you and your candidates have, and more. USCIS now requires training and testing for each of your business E-Verify users. Our new E-Verify testing and training features enable managers to complete these USCIS requirements within PeopleMatter. An hour is all it takes to make sure managers know the ins and outs of E-Verify. Updated state tax forms Every year, your state has the option of updating its state withholdings form. Rather than having to track down those changes and distribute new forms yourself, we ve loaded all of the latest ones onto the PeopleMatter Platform. When new hires complete onboarding, they ll automatically be prompted to fill out their state s most recent withholding form. Save time and increase compliance. PeopleMatter always uses the most up-to-date state withholding forms and distributes them for you instantly, companywide, so you know everyone at every location is using the correct form. New criminal background check package More background-screening options provide greater flexibility and efficiency. Our new single-county search allows you to zero-in on screenings, so you can cut hiring costs. Finding trustworthy employees often means running a background check. We ve added another option to make sure you get the most cost-effective package for your needs. On top of our Basic Unlimited County Criminal check, we re also offering a Basic Single County Criminal check, so you only pay for the level of the screening you actually need. 3

4 Save for Later status Sometimes you have more than one applicant who s a good fit for the job. With our new Save for Later feature, you can keep great applicants in your talent pool for consideration when you have another opening. PeopleMatter HIRE will store their entire WorkFile record, so you save time and re-engage right-fit applicants when you re looking to fill future positions. When you come across a great website, you bookmark it; the same should be true for great applicants. Giving you the option of saving a standout applicant s information until you have another job available not only eases the stress of filling open positions, but also saves you time and energy. Reasons for applicant status changes Recording a reason for each applicant status change allows you to create an audit trail to better defend your hiring decisions, internally and externally. Tracking these reasons also provides visibility into hiring decisions and best practices. Ever wonder why hiring managers moved forward with a candidate or dropped them from consideration? Now you have the option of saving reasons any time managers change someone s status during the application process, even if they remove them all together. This feature is available by location and gives corporate more visibility into how managers make decisions throughout the hiring process. L PeopleMatter LEARN LEARN Admin role Great training takes a lot of prep work. That s why we ve created a special administrative role in PeopleMatter LEARN. This new LEARN Admin role will allow users to manage employee training like creating tests and editing courses without giving them access to sensitive HR-related information like pay rates, screening results and more. Cross-location features allow LEARN Admins to manage training across all locations, so you can designate one person to champion your entire companywide training program. Our new LEARN Admin role gives these users specific permissions within PeopleMatter, so employers can ensure compliance and other admins don t have to do all the heavy lifting for training. S PeopleMatter SCHEDULE Usability improvements Better design features let you load and populate schedules faster, saving you time and giving your team more-advanced notice. Saving you time and energy is one of our biggest drivers. In this release, you ll be able to see the entire schedule on one scrolling page, instead of having to click through multiple pages. Plus, we ve tightened up the view, so you can see more people on the schedule at one time. And when you add a job, you can upload all of the people who are eligible to work at one time, rather than adding them one-by-one. Whether you re viewing or printing them, rosters and schedules are now more consistent across browsers and easier to read. 4

5 Edit published schedules This feature will be particularly helpful for tweaking schedules after you initially publish them and for businesses that have multiple people creating schedules. You publish a schedule, only to realize you made a mistake. Now, after publishing schedules, you can make changes, and we ll save those changes until you re 100% ready to re-publish it again. If another manager happens to publish it before you, we ll send you an alert to let you know. Improved Target Labor screens Managing labor in hours or as a percentage of your sales is now even easier. When you re looking at a wall of numbers, you need a way to quickly get the highlights. Our new Target Labor reports come complete with negative numbers in red, positive numbers in green and a dark-red shading that quickly shows you any scheduled hours or dollars that aren t in line with your set budgets. New color-coding features and icons in our Target Labor tools make it easy to quickly see how your business is doing when it comes to hitting your targets. PeopleMatter App Manager dashboard for PeopleMatter LEARN Our new manager dashboard on the PeopleMatter App will display time-sensitive training tasks across all of your people and locations, increasing companywide visibility and efficiency. For more effective employee training, you need more visibility and accountability. A new dashboard for managers on the PeopleMatter App will give you a quick snapshot of all your time-sensitive tasks in LEARN. We ll pull the most pressing training info into one place, across all of your people and locations, so you don t have to waste time checking in with individual managers or team members. View how many assignments are overdue or will be soon as well as any other upcoming coursework; get a high-level overview from the dashboard, then simply tap in to see more details. Manager dashboard for PeopleMatter SCHEDULE Important day-of and upcoming schedule info like who s working, shift offers and time-off requests are all viewable from our new manager dashboard on the PeopleMatter App. Configure what appears on your dashboard s Today view, so you can pull and track the scheduling metrics that matter most to you. You can even tap into this dashboard data to view more details, respond to requests and more. Our personalized dashboard gives you a great scheduling snapshot and makes it easy prioritize and complete your to-dos. Nothing frustrates employees more than managers taking forever to respond to schedule changes. With our Spring Release, managers will be able to see all time-sensitive requests in one place on the PeopleMatter App, right on their phones, so they can make better decisions, faster. 5

6 Mobile availabilities Your first schedule is rarely the final one. With availability info at your fingertips, finding the right replacements is fast and a lot less stressful. View manager and employee availabilities from our mobile app. New Availabilities functionality coming in our Spring Release lets you view this information anytime you tap someone s contact information. Employees can also view their availability, which helps ensure managers always have correct information when creating and updating schedules. More accurate availability info means more accurate schedules, which leads to lower overtime costs, greater productivity and higher retention. Shift reassignment No need to find a computer when you need to shift around employee shifts. New mobile features in our Spring Release will let you reassign shifts right from your smartphone. Tapping any team member on the schedule brings up the option of reassigning his/her shift, along with a list of everyone who s available to fill in. If there s a schedule change, affected team members need to know ASAP. New mobile scheduling features will let you reassign shifts quickly and on the go, and make sure you find the best replacement. Improved tablet design You told us you love using your tablet, so we re optimizing our PeopleMatter App for tablet use. New design features ensure you get the same great experience on your ipad or Chromebook that you do on your smartphone. Using the PeopleMatter App on your tablet is now better than ever. Our new split-screen design will make it easy to see all the information you need at one time. We ve optimized all of the screens you see on your smartphone for your tablet, so info is easier to read and understand. 6
