1 POSITION DESCRIPTION October 2014 PENINSULA VOLUNTEERS, INC. (PVI) PENINSULA VOLUNTEER PROPERTIES, INC. (PVP) Peninsula Volunteers seeks an experienced nonprofit executive to diversify the organization s revenue model, elevate the profile of the organization, provide for day-to-day management, and orchestrate delivery of continually refreshed programs and services for senior members of our community. Peninsula Volunteers, Inc. (PVI) provides quality programs and support for seniors as they pursue long and meaningful lives with dignity, purpose, independence and a sense of usefulness. Located in Menlo Park, California and serving people on the mid-peninsula primarily in San Mateo County, PVI was founded almost 70 years ago by a group of forward-thinking women. From modest programs run out of the aptly named Little House, committed volunteers determined the needs of seniors and established programs to help them. Today, the staff, board members, Peninsula Volunteers and community volunteers provide diverse services to thousands of seniors in our community. The programs are currently organized into four areas: Rosener House: Through therapies, socialization and other programs, Rosener House Adult Day Services serves about 110 participants each week with conditions ranging from Alzheimer s disease and dementia to Parkinson s and other disabling conditions, enabling families to keep their loved one living at home, enhancing their quality of life, and delaying the need for institutional care. Meals on Wheels: PVI prepares and delivers more than 70,000 nutritious meals a year to nearly 300 homebound seniors and adults with disabilities who are unable to cook. Additionally, through the Peninsula Volunteers Kitchen, 60,000 meals are prepared and delivered annually to participants in nearby senior centers. Little House: Little House, the Roslyn G. Morris Activity Center, offers wellness and enrichment classes and activities for 3,000 active seniors per year on a drop-in basis for a total of 31,000+ visits per year. Senior Housing: Through a separate nonprofit entity, Peninsula Volunteer Properties (PVP), Inc. owns and operates two apartment complexes with 123 units (Crane Place, 93 units; Partridge/Kennedy, 30 units), providing 82% of affordable senior housing in Menlo Park. PVP properties are managed by a company with expertise in below-market senior housing; the annual net cash flow is positive. PVI has a paid staff of 47, is guided by a 17-member board of directors, and is augmented by 6 non-voting Board Consultants. There is also a 12-member Community Advisory Council. Peninsula Volunteers is a membership organization with 156 Active and 132 Sustaining/supporting members. The organization draws on the help of 500 community volunteers to assist with specific program and activities. PVI has a current operating budget of nearly $4M with 54% of PVI's budget generated from program fees, 24% from donations and fundraising activities, 9% from grants, and 13% from investments. PVI owns the Rosener House building and leases the land from the City of Menlo Park for a nominal amount. The
2 Little House facility and land are also leased from the City of Menlo Park for a nominal amount. Peninsula Volunteers begins a new era of service to the community with a committed board, membership, and volunteer base, and with a talented professional team. Going forward, there will be a number of challenges as the approaches of both board and staff evolve in response to the changing needs and desires of the aging population. With this in mind, PVI has engaged the services of the Stanford Alumni Consulting Team (ACT) to analyze and suggest potential solutions to reimagine Little House and ensure that Peninsula Volunteers is supporting the needs of our community s seniors in the most cost-effective way possible. The Board recognizes the need for change in the organization and in its governance to ensure future effectiveness. The Board therefore seeks an who will be a visionary leader and who will work with the Board to define the future and bring about this change. The new will envision and lead PVI as a continually evolving program innovator serving senior members of our community, yet also must be financially astute and intensely practical when it comes to building sustainable operations. Fund development to support the evolution of PVI will naturally be a large part of the work of the and Board leaders who share responsibility for ensuring that PVI remains financially secure. Long-term stability and financial strength are as critical to PVI s future as is the quality and depth of services across all programmatic areas. Basic Function The is responsible for ensuring that PVI and PVP deliver quality programs and services to the senior members of the community whom we serve. The manages PVI staff in a manner that creates a positive work environment, ensuring that strategies, tactics, and operational priorities are properly set and that all work is managed and executed professionally. Reporting to the PVI Board President, the works with the President and the Board to establish a mutual understanding of PVI's mission, values, and short- and long-term strategic plans. The collaborates with the Board in setting strategies for fund development and provides the Board with the information necessary for the Board's role in organizational oversight and governance. The is responsible for shaping programs, strengthening earned and contributed revenue streams, and managing the PVI staff who are responsible for: (1) running PVI's daily operations and finances; (2) coordinating fund development activities; and (3) coordinating the activities of community volunteers. The is a visible and positive force within the community and works with the Board and community partners to ensure that at PVI maintains an external reputation for service and programmatic excellence, as well as community cooperation and collaboration. Specific responsibilities of the include: LEADERSHIP & VISION Understand the evolving needs, desires and demographics of seniors; seek their insights, and stay connected to the overall aging sector on a broad scale as a matter of practice. 2
3 In collaboration with the Board of Directors, staff and volunteers, initiate and implement an inclusive strategic planning process to develop a road-map for the short-term and in the three-five years to come. Develop goals and measurements for success with values that reflect how the organization operates. Cultivate a mutually supportive relationship between board, staff, members, volunteers, and other stakeholders that are important to the future of the PVI and PVP. With the Board, refine and interpret the mission of Peninsula Volunteers and articulate its place in the community. FUND DEVELOPMENT Work with the Board and staff to ensure a sustainable funding base for the organization; create a fund development plan to set fundraising goals, strategies and targets for donor and funding sectors with particular attention to growing individual and business support on the Mid-Peninsula; strive to maximize government, foundation and other sources of available revenue; create structure around planned giving activities. With the Board and staff, personally drive direct solicitations with major donors; ensure that appropriate donor cultivation is understood and in place. Provide support for the Board, members, and volunteers in their efforts to enhance PVI s annual fundraising and community-building events. Promote a culture of philanthropy among staff and board so that each is invested in the success of fund development goals. PROGRAM AND SERVICES With the Program Directors, foster a strong service orientation that is innovative, compassionate and professional; maintain high quality and cost-effective programs and services; lead the development and implementation of a strategic and tactical plan that will provide the necessary resources to sustain the organization and provide cohesion to programs; create a culture of transparency with regard to program budgets, fundraising activities and expenses. In consultation with the Board, review the recommendations of Stanford ACT for Little House, and implement agreed upon programs and direction for this vital community resource; ensure that funding for programmatic or facility enhancement changes is sustainable. Design and implement an ongoing process for evaluating the impact of the organization s work in achieving its mission and to ensure that PVI can provide programs and services in the most effective way. Maintain a strong working knowledge of significant trends and developments in the field of aging. GENERAL MANAGEMENT, FINANCE AND ADMINISTRATION Hire, supervise, motivate, develop and evaluate staff, ensuring that staffing is appropriate to meet the organization s goals and that staff are appropriately compensated; identify and address areas inhibiting the organization s evolution and 3
4 growth. Ensure, through effective management and leadership, that the day-to-day operations are professionally and efficiently organized and administered. Understand the organization s fiscal health; lead the budget development process and identify near-term goals and objectives for the next fiscal year; be accountable for the organization s adherence to sustainable financial plans based on Board-approved budgets; ensure financial reports that provide budget transparency to board and staff as part of everyday practice. MARKETING AND COMMUNICATIONS Sharpen and refine PVI s mission, brand and communications to effectively convey its purpose, values and benefits with clarity and cohesion; ensure that targeted communication of programs and services offered are reaching potential participants, their families, service providers, and the community at large. Continue to enhance PVI s profile in the community and generate potential new sources of support; seek to strengthen existing partnerships and create new ones that will benefit the organization; collaborate with service providers, nonprofits, hospitals, healthcare providers, local government agencies, etc. Represent PVI before public agencies, foundation boards and other funders, community partners, businesses and other key organizations. GOVERNANCE Secure the Board s trust and confidence; keep Board members informed of the organization s operations; provide timely and concise financial and fundraising assessments. With the Board and under the direction of the Board s President, set the strategic direction for the PVI and PVP; implement board policies, goals, priorities and objectives; keep the Board informed of all relevant issues; attend all Board meetings; participate in Board committee meetings as appropriate. With the Governance Committee of the Board, assist in ensuring an effective board committee structure and active engagement of Board and volunteer talent and resources in support of PVI. Ideal Experience and Qualifications The will be an experienced nonprofit leader with strong financial and business acumen, a thoughtful and skilled communicator whom people trust and want to follow, and a accomplished fundraiser and marketer. S/he will have the following experiences and qualifications: Proven senior-level managerial and operational experience in organizations of similarly sized budgets and staff; financial and budgeting experience as an executive in the notfor-profit, public or private sectors; experience in successfully developing and implementing strategic plans. 4
5 Demonstrated results in personally cultivating and sustaining donors; a successful track record in attracting financial support from individuals, foundations, businesses, and government sources. Ability to recruit, develop, motivate and retain a balanced workforce whose skills and sensibilities reflect the communities PVI serves. Experience in leading and motivating a large, passionate, engaged volunteer base so that their energies and interests are put to the most productive use. Outstanding oral and written communication skills; confidence but humility as a public speaker, presenter and advocate; a consummate networker and relationship builder. A thoughtful and strategic approach to building organizations and programs to address community needs. Familiarity with Bay Area nonprofits and having well-developed networks is desirable but not required. Personal Characteristics Mission-driven; authentic and genuine interest in the well-being of seniors; a high level of emotional intelligence; a respect for the history and culture of PVI but with the vision and tenacity to move the organization forward through robust fundraising, programs and services. A thoughtful and skilled communicator whom people trust and want to follow; effective influencing ability and politically astute; a good antenna for interacting with different constituencies who may have different levels of understanding. Ambitious and energetic in identifying ways to grow the organization within its mission without jeopardizing operational stability. A team player who values and models working collaboratively but is not afraid to make difficult decisions; a high energy level, upbeat personality, with a can-do attitude who values and appreciates hard work and commitment. Straight-forward, shares information easily, listens well and provides feedback when appropriate, imparts trust and integrity; open to different points of view; can back up opinions and decisions with concrete information. Results-oriented, adept at planning, prioritizing, organizing and following through; high tolerance for ambiguity.
