1 Job Description Job Title: Coordinator, Grants Reports to: Director, Planning & Institutional Effectiveness FLSA Status: Exempt Level: 212 Position Class: Job Summary: This position is responsible for the coordination of the College s efforts to procure grant funding from public entities (primarily from governmental agencies) to support the mission, objectives and programs of the College. Activities include searching for potential funding sources that support the College mission and priorities, facilitating the writing and submittal of grant proposals and providing guidance on practical and compliance issues dealing with expenditure of funds, reporting, and interaction with funding sources and partners. NOTE: Job descriptions and essential functions are subject to change due to advances in technology, utilization of work force, and other factors which may impact the College s need to modify position requirements. Essential Duties and Responsibilities: The following listing of essential job duties indicates the general nature and level of work required in this job. Coordinates grant development teams made up of College faculty, staff and others (including representatives from partner institutions); assists the team with formulation of project ideas and design; guides the writing team through internal procedures (ie: creating new staff positions); edits and enhances proposal presentation; refines the grant budgets, timelines and other documentation to meet specifications of funding sources. 2. Encourages faculty and staff participation in preparing proposals and administering awarded grants through presentations, recognitions and informal meetings. 3. Facilitates the development of collaborative proposals by nurturing existing external relationships established by College, division and departmental personnel (ie: community organizations, business and industry representatives and government entities, as well as educational institutions and economic development groups). 4. 2 for effective management of potential or funded grants. 5. Reviews and researches databases and other sources for potential funding resources that may support identifed College needs and initiatives and makes that information available to appropriate College faculty and staff. 6. Develops and maintains an ongoing grant submission plan for the College, under the direction of the Director, Planning & Institutional Effectiveness. 7. Makes recommendations to College leadership regarding policies and procedures for developing and submitting grant proposals, as well as the successful implementation of awarded projects (including proper administration and documentation for collaborative projects). 8. Provides general information on practical and compliance issues dealing with expenditure of funds, reporting and interaction with funding sources and partners. 9. Assists Director, Planning & Institutional Effectiveness with a variety of tasks, including, but not limited to: researching data, writing and editing of reports. 10. Supervises Resource Development personnel providing support for the grants function as directed by the Director, Planning & Institutional Effectiveness. 11. Performs other duties as assigned. Education/Experience: Bachelor s degree from a regionally-accredited four-year college or university; and three years related experience and/or training; or equivalent combination of education and experience. Supervisory Experience: One to two years of direct supervisory experience, including responsibility for hiring, firing, performance management, training, and coaching is required. Language Ability: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. 3 Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram/chart, or schedule form. Computer Skills: Ability to utilize word processing, spreadsheet, and presentation software for creating and/or editing documents, reports and presentations. Basic knowledge of database and web development software preferred. Knowledge of current College database system must be acquired if not already attained. Certificates and Licenses: None required. Responsibility for People and Property: Responsible for department inventory, placing initial orders for supplies and other items as approved by the Director, Planning & Institutional Effectiveness, and for periodic monitoring of grant budgets to determine amount and rate of expenditure per line item. The job requires supervision of personnel providing support for the grants function. Responsibility for Communication: Internal Contacts: This position has routine contact with all levels of SCF staff, administrators, and faculty. External Contacts: This position has frequent contact with people outside of SCF, including, but not limited to, funding agencies, educational institutions, social service organizations, business and industry, and the general public.
