1 Instructions to Begin a Hiring Proposal and Searching Hiring Proposals Updated 11/26/2013 When you have identified a candidate that you wish to hire, you will need to complete the Hiring Proposal for this candidate and send it through the electronic approval process. Once you have started an action online, the system will log you out after 60 minutes of inactivity, and any information you have entered will be lost. To avoid that, periodically (and definitely before you leave the task for any period of time) save the information. To save your work, click on the Preview Action button at the bottom of the screen. Select the status of Save without Submit or Save. Click on Continue and then Confirm. When you are ready to resume your work on the action, click on Search Actions from the left hand navigation bar and check the appropriate search criteria. Log in to the HR system at To start the Hiring Proposal, click on View under the Job Title tab of the posting you are hiring from. After you click on View the following screen will appear. 2 Click on the Change Status link under the candidate you wish to hire and the following screen will appear. Use the drop-down box to select Recommend for Hire as shown in the screen below. Click on Continue to Confirm Page. Page 2 of 10

3 Click on Save Status Changes. A link will now appear under the applicant that says Begin Hiring Proposal. Click on the Begin Hiring Proposal link and you will see a screen with four types of Hiring Proposal choices as shown on the following page. Page 3 of 10

4 The four options are: Begin Hiring Proposal for a Current Employee for a Specific Position: You will use this action to request an INTERNAL candidate for hire into a position other than the position listed at the bottom of the screen or if there is no position listed at the bottom of the screen. NOTE: You will have the opportunity to search all positions. Begin Hiring Proposal for a Current Employee for the selected Position Listed Below: You will use this action to request an INTERNAL candidate for hire into the position that you see at the bottom of the screen. Hiring Proposal for a New Employee for a Specific Position: You will use this action to request an EXTERNAL candidate for hire into a position other than the position listed at the bottom of the screen or if there is no position listed at the bottom of the screen. NOTE: You will have the opportunity to search all positions. Hiring Proposal for a New Employee for the Selected Position: You will use this to request an EXTERNAL candidate for hire into the position that you see at the bottom of the screen. Once you choose your Hiring Proposal selection, click on the Start Action link just below the action. Page 4 of 10

5 If you selected either Hiring Proposal for a Current Employee for a Specific Position or Hiring Proposal for New Employee for a Specific Position you will see a screen similar to the following. Search for the correct position and click on Start Action under the job title. OR If you selected Hiring Proposal for a Current Employee for the Selected Position or Hiring Proposal for a New Employee for the Selected Position the system will take you to the screen shown on the next 2 pages without requiring you to search the positions as described above. Many of the fields will automatically populate with the candidate s information. Although there may be fields that do not have the red * making them required, please complete all fields that you have information for in order to ensure a quick and efficient hiring process. For example, enter the salary in the appropriate field. The reason that everything is not marked with an * indicating that the information is required is that in RARE circumstances that information is not available. Typically, all information requested here would be available and should be included. If you have any questions please contact the Human Resources Office at extension Page 5 of 10

7 After the details have been entered, click on Continue to Next Page. Enter comments if desired. (Please remember that all comments will forever remain a part of the document and can be viewed by everyone with access to the system including, potentially, the employee.) Click on Continue to Next Page. Page 7 of 10

8 A screen will appear which allows you to scroll down to review all the information. If you need to edit the information, click on Edit. When you are done editing, click on Continue to Next Page, then click on Continue to the Next Page again. When you are ready to move the action forward, change the status to the next appropriate user in the approval workflow. Click on Continue, then Confirm. Page 8 of 10

9 Searching Hiring Proposal To check the status of your Hiring Proposal, you may search for it at any time. Click on Search Hiring Proposals on the left hand navigation bar. The following screen will appear. Check or uncheck search criteria as appropriate and then click on Search at the bottom of the page. Page 9 of 10

10 Your Hiring Proposals will be shown like on the screen below. Updated 11/26/2013 On this screen you will be able to see the current status of the action. To view details of the action, click on the View Summary link and you will be able to view the information. If you scroll all the way to the end, you will be able to see the Action History which is a list of the status changes and comments. Page 10 of 10
