1 RHS SHOW VOLUNTEERS 2018 Role Description Booklet Thank you for your interest volunteering at our flower shows in This booklet will provide you with further information about volunteering with the RHS at our shows and the different roles available. Before beginning the online application process please read this booklet carefully so you can identify which roles are best suited to your skills and experience. Please note that not all roles are available at all shows, this is outlined in the table below. We are very lucky to have so many people interested in volunteering with us and supporting our fantastic shows, so please be aware that we are unable to offer a role to everyone. RHS CARDIFF FLOWER SHOW: April 2018 (Cardiff Castle, CF10 3EA) RHS MALVERN SPRING FESTIVAL: May 2018 (Worcestershire, WR13 6NW) RHS CHATSWORTH FLOWER SHOW: 6 10 June 2018 (Derbyshire, DE45 1PP) RHS FLOWER SHOW TATTON PARK: July 2018 (Cheshire, WA16 6QN) RHS MALVERN AUTUMN SHOW: September 2018 (Worcestershire, WR13 6NW) RHS LONDON FLOWER SHOWS: Various dates We have a number of roles available across our shows. We hope that all RHS Show Volunteers will share their knowledge and passion for plants and be a spokesperson and ambassador for the show and the charity. Whatever your role, we hope you will help to inform and direct visitors and excite them about what they can see and experience at the show. Outlined on page 2 are the qualities we look for in all RHS show volunteers and we have identified specific qualities or knowledge needed. Please review both of these when completing your application form. 2 Qualities for all RHS show volunteer roles: A passion for horticulture and gardening and an interest in the charitable work of the RHS. Experience or knowledge of customer care skills. A positive and polite manner. The ability to use your own initiative and to follow instruction where needed. Able to spend long periods of time outside and on the go, this could be talking to visitors about RHS membership, answering questions from visitors and/ or managing queues. Personable and approachable with a can do attitude. Good communication skills. Expectations of RHS show volunteers: To have an understanding of and promote the work of the RHS, its charitable purpose, vision and campaigns wherever appropriate (you will be given the information needed to do this). To be familiar with the layout of the showground, main show gardens, exhibitors and general areas to share this knowledge with visitors and give directions (you will be given the information needed to do this). To be flexible, you may be asked to support other teams at the show. To have an understanding of our membership options and benefits and the importance of members to the RHS. To adhere to the RHS s policies, including health and safety, equal opportunities, confidentiality and financial guidelines. To enhance our visitors experience and ensure they have the best possible visit to the show. A commitment to providing excellent customer care at all times. 3 ROLE DESCRIPTIONS 1. RHS Retail Volunteer Lucy McVeigh, Retail Team Volunteers are often the first point of contact on the stand and you need to be able to help customers with enquires and aid sales. The most important part of the volunteer role is to interact with the customers and make sure they have a high quality visit. Retail contributes 20% of the total RHS income, so you will be making a huge contribution to the charity by assisting us to keep customers happy and buying! This role can vary widely and rapidly; one moment you will be collapsing boxes in the stock room and the next you could be serving celebrities! Volunteers will be briefed on any offers, key product knowledge and retail specific FAQs. You will be expected to use this information to assist customers and further sales wherever possible. Where necessary you may be asked to relay the brief to a fellow volunteer at shift handover. We rely on volunteers to keep stock levels topped up and help manage stock rooms. At busy times you will be expected to help with queue management by speaking to customers who are waiting and making sure they are happy and may also assist at the till points by packing customer purchases. Volunteers will need to familiarise themselves with the layout of the stand and where necessary escort customers to any other area they are looking for, such as Membership. A love of interacting with people and a high level of customer care skills. A retail or sales background is a bonus, with an understanding of shop floor etiquette and an enjoyment of sales. An eye for visual merchandising and displays is also a plus. A positive attitude and manner is essential and a willingness to follow instructions when needed. An ability to work as a team. Happy to work in a busy and sometimes high pressured environment whilst maintaining a professional attitude. Able to spend long periods on your feet and move about in cramped conditions. Light lifting will also be required to help move stock and rubbish. Page 3/9
4 2. RHS Membership Recruitment Volunteer Elysa Rule, Membership Marketing Executive To be part of a passionate membership recruitment team made up of volunteers and RHS staff. You will either be based at the RHS Hub (shared with other RHS Departments), one of the membership satellite stands, or ticket box offices outside the showground. To sell RHS membership by proactively approaching our visitors to explain the benefits of RHS membership and how important membership is to funding our charitable work across communities, education and science. You ll encourage new members to join by Direct Debit and to Gift Aid their membership. You ll recruit new members using paper and electronic sign-up processes. As part of the team you ll work towards overall show and daily recruitment targets. To be the first point of contact for our visitors and welcome them with prize draw leaflets at the showground entrances. These leaflets highlight our show membership offer and encourage visitors to visit the RHS Hub and satellite stands to learn more about the RHS and to join as a member. To have an understanding of the work of the RHS, our membership options and benefits, adding to our visitors experience of the RHS Stands. To greet visitors and answer wide ranging questions about the RHS in a calm solution-focussed manner. As a Membership volunteer there may be times when you will be asked to support other teams at the show. You ll want to share your knowledge and passion for plants, be a spokesperson for the charity; your enthusiasm as a member will excite our visitors to become members. A commitment to excellent customer care and an understanding of the sales process. Good attention to detail is required to accurately complete new member join forms. Reliable and honest; respectful of the confidentiality of data captured. An ability to work as part of a team. Able to be on your feet for the duration of your duties (excluding breaks). A good sense of direction and a sense of humour will be a plus we are outside in all weathers! Page 4/9
5 3. Plant Finder Volunteer Show Dependent To be the first point of contact with our visitors and to present a friendly, helpful face of the RHS in the Floral Marquee. To enhance our visitors experience and ensure they have the best possible visit to the show and that they receive the information and directions needed. To promote and encourage plant sales, to support the nurseries exhibiting at the show and create excitement about plants. To learn in advance and in detail what general plant types each exhibitor displays and sells, and to be able to locate them in the marquee. To help visitors to locate specific plants or exhibits: some will ask for a nursery by name, or for a general plant type, or for plants to suit their garden conditions. To promote the other features in and around the marquee, such the Potting Bench talks area, or the Plant Porter service. Directing visitors to the RHS garden advice for specialist queries or for garden advice. Offer directions around the marquee and general directions to other areas within the show ground, where key facilities and features can be found. To understand the idea of right plant, right place : you can broadly recognise plant types that are best suited to specific garden conditions (i.e. shady, boggy, acidic soil). Basic plant knowledge; could you tell the difference between a conifer and a climber, a shrub and a succulent, an alpine and an air plant? A good sense of direction and a sense of humour is a plus we are outside in all weathers! Page 5/9
6 4. RHS Garden and Feature Volunteer Show Dependent RHS gardens and features are created at our shows to demonstrate our horticultural campaigns and highlight exciting topics in the gardening world. To be the first point of contact with our visitors and present a friendly, helpful face of the RHS in these spaces. Willing to learn about the RHS gardens and features and the reasons behind it and share this knowledge with visitors. To have an understanding of the design, features and key planting. Some basic garden maintenance tasks as required (i.e. watering). Directing visitors to the advice centre for specialist queries or for garden advice. Hand out leaflets of information to visitors. Answer queries visitors may have about the RHS. A passion for horticulture! A commitment to delivering great customer care. Able to be on your feet for the duration of your duties (excluding breaks). A good sense of direction and a sense of humour! Page 6/9

Mobility Vehicle Driver TBC To help visitors with mobility issues to get between the car parks to the show ground by driving the mobility vehicle on an agreed route around the site and being on hand to offer lifts to customers when needed. Ensure that the buggy is clean and tidy before each shift. To be knowledgeable about RHS Chatsworth Flower Show. Share best practice. Things that work well and potential improvements should be passed to Team Leaders. To actively promote the RHS and act as its ambassador to encourage repeat visits to the show. To assist with the training of new drivers. Outgoing, with good communication skills and comfortable dealing with the public and compassion and empathy towards visitors that find it hard to get around the show. Enjoy working in a team and to be solution focussed. To be customer-focussed and have an understanding of the importance of good customer service. The ability to stay happy, smiley and welcoming no matter how busy we are or no matter how bad the weather is! To be reasonably physically fit and healthy (role involves walking through the site to collect vehicle and being out on the buggy in all weathers) Full clean drivers licence. Page 7/9
8 ADDITIONAL INFORMATION How much time do I need to offer? For Tatton Park and Chatsworth Flower Shows we ask everyone to offer a minimum of 2 days, but preferably 3 days during a show. You will also be required to attend a Briefing Session prior to the show in order to update you on the show and on your role. For Cardiff and Malvern Shows, due to their shorter duration we ask for a commitment of one day but you will also be expected to attend a briefing session and site orientation. What are the benefits of volunteering with the RHS? The opportunity to enjoy the show between your allocated shifts. To meet like-minded people and be part of a fun, enthusiastic team. Learn more about the RHS charity and how to get involved. Develop your communication, customer service and organisational skills. Gain events experience for your CV. We will reimburse travel expenses you incur up to a maximum of 15 per day for travelling to selection events, briefing sessions, and for each day you volunteer at a show. To claim for public transport you will need to provide your receipts or where travelling by car are able to claim up to a maximum of 30 miles for a round trip at 45p per mile. Please note, we can only cover parking charges within the daily 15 allowance so we would encourage volunteers to travel by public transport wherever possible. At most shows, on site tea/coffee making facilities will be available and lunch will either be provided or if not you will be given a voucher to obtain lunch on site. Please ensure any dietary requirements are included in your application form so we can cater for you. Volunteer Selection Events All applicants who are shortlisted will be asked to attend a Selection Event lasting half a day. For Chatsworth and Tatton Park Flower Shows there will be two sessions to choose from (AM and PM) on Thursday 22 March in Sheffield. Please note that for Cardiff, Malvern, and London Flower Shows you will be invited for an informal telephone interview and will not need to attend a selection day). Volunteer Briefing Sessions Those invited to join us as a Show Volunteer will be invited to attend a Briefing Session. Dates to be confirmed but are likely to take place on Press Day, which is the day before the show starts. For Malvern Spring Festival, briefing will be held at 11.30am on Thursday 26 April at RHS Regional Centre, Pershore College. The briefing for Cardiff will be held on site at 2.30pm on Thursday 12 April. Page 8/9
9 Volunteering Shifts & Timings To give you an idea of the commitment of volunteering at one of our shows please find below suggested shift patterns for each show. Generally each day will be divided into two shifts with an early and a late starting group other than Chelsea, where we have 3 shifts due to the long opening hours of the show. Usually each show finishes early on the final day but we do ask for volunteers to stay on to help with Plant Sell Off and packing away. Exact shift times will be provided when you book your shifts.
