2 LEAVE POLICY Objective To define the types of leave & their numbers, this may be available to different categories of employees for the purpose of their personal work, taking rest in case of illness, going on vacation etc. Applicability Leave Record This will apply only to all the permanent employees of SAR Group. The trainees/employees on Probation on the roll of company will be entitled to 6 days consolidated leave during the training period of Six months. The Leave Policy is applicable to the group companies listed in annexure-i All leaves shall be determined for the calendar year, (January to December). Eligibility Employees joining/leaving the company at any point of time during the Calendar year would get pro-rata leaves. Maintenance of Records HR Department will maintain the leave records of all the employees posted at different locations. Probation Employees joining the organization will be on probation for a period of 6 months and will get leaves on pro-rata basis, and maximumm 6 leaves are given to the employee during the probation period Types of Leaves The employees shall be entitled to the following types of leaves. 1. Earned Leave (EL) All the employees shall be eligible for EIGHTEEN earned leaves in a calendar year. 1.1 EL can be availed in maximum of three parts in a year on prorated basiss and each part should not be less than 3 days Sanctioning of leaves shall be at the discretion of Departmental Head. 3 1.2 Un-availed leave can be accumulated to a maximum of 180 days. The EL over and above 60 days can be encashed at the end of each calendar year. The employees not opting for encashment at the year-end can accumulate ELs up to 180 days. The ELs over and above 180 days, shall lapse automatically. 1.3 The intervening weekly off/holiday shall not be counted as EL. 1.4 If an employee leaves the services of the Organization by way of superannuating or resignation or termination, the unavailed Earned Leave shall be encashed. 2. Casual Leave (CL) 2.1 All the employees shall be eligible for EIGHT casual leave in calendar year. 2.2 Maximum of two casual leave can be availed at a time. 2.3 Unutilized casual leaves shall lapse at the end of the year. 2.4 Casual leave cannot be clubbed with any other type of Leaves. 2.5 Casual leave shall be credited at the beginning of the calendar year. 2.6 All Holidays/Weekly offs falling between shall not be counted as casual leaves. 2.7 Half day casual leave shall be sanctioned in emergency case. 2.8 CL Shall not be encashed in any case. 3. Sick Leave (SL) 3.1 There are TEN sick leaves in a calendar year 3.2 Sick leave of more than two days, shall be allowed on submission of medical certificate of a Registered Medical Practitioner 3.3 The Company reserves the right to get the employee examined by its own physician to verify the Medical Certificate /Report submitted by the employee 3.4 All Holidays/Weekly offs falling between shall not be counted as sick leaves. 3.5 Sick Leave shall be credited at the beginning of the year. Sick leaves shall not be encashed in any case. 3.6 Unavailed sick leave will be accumulated and carried forward to next year and can be accumulated to a maximum of 30 (Thirty) days. Page 3

4 National Holidays and Festivals (10 days) There will be three National Holidays and Seven Festival Holidays declared in the beginning of the every calendar year Leave Without Pay Leave without pay may be allowed only in case of emergency, but at the sole discretion of the management. Employees going on such leave shall have to produce sufficient proof acceptable to their respective head. All Holidays/ Weekly offs falling in between the leave without pay period shall be counted as leave without pay. Procedure All employees willing to take leave, shall apply in writing in the prescribed format (Annexure- the leave II attached) with complete details i.e. nature of leave; contact address during period along with contactt telephone number (if any) etc., to his/her departmental head For taking earned leave for more than 15 days, information in advance by 10 days is required before proceeding on leave For casual leave and sick leave, an employee has to intimate HR department and /or his departmental head of his/her illness/casual work not later than 11 AM, telephonically or by any other means convenient to him. He/She, however immediately on reporting for duty shall submit the prescribed leave application form duly authorized to HR Department for getting the leave regularized. The Employee after getting his /her leave approved shall give the application to the HR department for marking in the relevant registers and records. In the absence of approved leave, the HR Department shall treat the period of absent leave withoutt pay. OTHER LEAVES Short Leave Authorized absence from work for duration of up to 2 hours shall be construed as short leave. Short leave is permissible for a maximum of 2 occasions in a calendar month. The short leave will be approved by the respective Head of department. Maternity Leave All female employees after have worked with the Organization for a Minimum of 12 months will be entitled to avail Maternity of 90 days with full pay. Maternity Leave can be claimed once during the tenure of service with SAR Group Page 4

5 Maternity leave and benefit shall be granted as per the Maternity Benefit Act to women employees not covered under ESI Act. For women employees covered under ESI Act, the maternity leave and benefit shall be granted as per the provisions of the ESI Act. For both the cases, leave is allowed for a maximum of 12 weeks. In addition, the leave can be extended up to a maximum of 30 days for sickness/illness related with pregnancy, subject to attending Doctor s certification. Employee will have to apply in advance for grant of maternity leave. Paternity Leave Paternity leave of 7 days shall be granted to the male employees blessed with a child subject to production of documentary evidence of his wife s delivery.
