1 EXPRESSIONS OF INTEREST Festival Coordinator 2019 Sydney Gay & Lesbian Mardi Gras Expressions of interest are invited from suitably qualified event professionals for the role of Festival Coordinator for the 2019 Sydney Gay & Lesbian Mardi Gras Festival. The contract, based at the Sydney Gay & Lesbian Mardi Gras (SGLMG) offices will involve working closely with the CEO, Creative Director and Executive Producer along with key stakeholder groups including sponsors, venue partners, other LGBTQI organisations, government departments, authorities, and institutions to plan, create and execute our 2019 Festival program. The position reports to the Executive Producer. The 2019 Festival is run from Friday 15 February 2019 through until Sunday 3 March SYDNEY GAY & LESBIAN MARDI GRAS SGLMG is the non-for-profit member-based organisation that organises the Sydney Gay and Lesbian Mardi Gras Parade and Festival as well as number of other events throughout the year. SGLMG exists primarily to develop the Sydney Gay and Lesbian Mardi Gras for the benefit of Sydney s LGBTQI community, the enjoyment of a wider audience and as a global beacon of diversity, acceptance and LGBTQI rights. We aim to raise the visibility of the lesbian, gay, bisexual, transgender, queer and intersex communities. EMPLOYMENT PERIOD Monday 8 Oct 2018 Friday 08 March Fulltime. THE ROLE The Festival Coordinator provides support to the CEO, Creative Director & Executive Producer of the Company whilst working in collaboration with our event partners and contracted production management companies (where required) and is responsible for supporting the development, planning and execution of a number of events produced by SGLMG across the Festival period. These events may include Festival Launch, Queer Thinking, Pool Party, Queer Art After Hours, Parade or Laneway to name a few. SELECTION CRITERIA ESSENTIAL A minimum of 3 years experience working as a Coordinator within the events industry or similar A comprehensive knowledge and understanding of all aspects in event production, management and delivery Previous experience working in large-scale public events Experience in managing contracted relationships with talent, artists, agents and/or related entities, organisations or individuals Demonstrated relationship management and communication skills with a proven record maintaining strong relationships across numerous stakeholder groups

2 Ability to manage competing priorities and work well under pressure Accurate understanding of event budgets including financial reconciliation and reporting Strong attention to detail with excellent documentation and reporting ability across the entire event process Relevant tertiary qualification in arts and/or events management or other relevant discipline DESIRABLE Knowledge of the arts and not-for-profit sector, and in particular events and festivals. Accountabilities Results Area Accountabilities Performance Indicators Production In consultation with and under the direction of the Executive Producer be responsible for supporting the planning, managing and implementing SGLMG s produced events, where required collaborating with contracted production management companies. Ensure events enhance the brand, reputation and credibility of SGLMG. Scope, schedule and resource requirements for the events and programs as required. Liaise with the Partnership Team regarding all sponsorship activations at events Coordinate and implement technical, operational and venue specific logistical requirements for events and projects Prepare and implement production schedules and timelines and review/update as or when required. Prepare and produce other documentation as required for each event/production Delivery of all events to the highest artistic standards On-time, to agreed quality and on-budget delivery of events, projects and programs Accuracy and professionalism of project or event briefs and definitions Quality of execution for events and projects Adherence to better practice in production and safety standards Contribution of expertise

4 Leadership and Financial Marketing and Communications Assist in contracting all creatives for events, including talent, artists, agents, DJ s, designers, directors, choreographers and related talent entities, organisations and individuals. Proactively facilitate good morale and positive relationships between SGLMG and artists. Maintain and update programming database of artist contact details. Meet & greet artists backstage. Distribute artist accreditation if required. Plan and support the delivery of artist catering riders, within set budgets allocation. Other duties as required to assist Executive Producer Ensure each event is fully compliant with WHS standards and protocols and be responsible for the health and safety of all persons under their direction. Ensure compliance with legislative, industrial and government policy requirements and standards in the areas of Equal Employment Opportunity, Occupational Health and Safety, and Rehabilitation. Liaise with other team members to ensure that the event, program or project is effectively integrated Liaise with Volunteer Manager regarding event day workforce requirements. Liaise with other departments of SGLMG and key stakeholder groups including venue partners, other LGBTQI organisations, government departments, authorities, and institutions. Work with other SGLMG personnel to ensure relationships with sponsors and media are supported where required. Provide reports as required and attend any relevant internal team meetings. Track and report on project expenses and revenue Assist in the negotiation with all contractors, vendors and event partners to offer the best and most cost effective solutions Liaise with the Marketing and Communications team to provide relevant information and assistance in a timely manner to promote events and projects In conjunction with the Marketing and Communications team, assist in the proofing of materials relating to artist and event information within nominated deadlines Maintain the public image of SGLMG Solid collaborative working relationship with peers Excellent feedback from volunteer team members and members of the production company. Level of stakeholder confidence Delivery to and / or within agreed budget Compliance with company Finance policy and procedures; and Delegations of Authority Delivery of events to agreed service and quality standards

5 through consistent branding of events and programs Delegations, Authority and Decision Making This position is accountable to and receives operational supervision from the Executive Producer. The position will be assigned work as required by the Producer and/or the Executive Producer, and given clear parameters within which to work. The position may make decisions on day to day administrative issues and event delivery consistent with relevant SGLMG policies and procedures. The position may determine the priority of tasks and schedules within the general framework and timeframe determined by the Producer and/or the Executive Producer. The Festival Coordinator will be required to work autonomously on a range of projects and initiatives. The position will consult with the Executive Producer on complex issues and priorities, and receive advice and guidance concerning policies and procedures. The Festival Coordinator will work with the Executive Producer to make judgements and prepare recommendations as to how events/projects may be best managements. A high level of judgement is expected when assisting in the management of events or project teams ensuring they are delivered on-time, on-budget and meet expectations. Financial Delegation: NIL
