1 Job escription Position etails Faculty/irectorate School/epartment Team Job Title Services Facilities Sport Sport Administrator Vacancy No Grade 3 Hours of Work Contract uration (Perm/Fixed Term) Reports To (Job Title) Responsible For (Job Title) Full-time, 35 hours per week Permanent Head of Performance Sport N/a Principal Accountabilities To undertake the administrative functions for MMU Sport, to include administration and facilitation for BUCS (British Universities & Colleges Sports), sports club coaching, club trips and events and support for sport related events and activities. Liaison with BUCS, sports clubs, facility managers, sports officials, transport companies and other contractors and colleagues. Administrative functions around BUCS fixtures, facilities, finance, transport and club trips and events. Administrative functions for club coaching. Administrative functions for the sport scholarship programme. Administrative functions for the proactive recruitment of our future cohorts of student athletes. Provide further administration support for MMU Sport staff as and when necessary.

2 Key Tasks Liaison, communication and cooperative working Act as the the main BUCS contact for administration purposes. Maintain close links with other institutions in BUCS membership. Work closely with colleagues in sharing BUCS information regarding development of new sports, regulation changes and deadlines, to include entries and affiliations. nsure that expenditure related to the fulfilment of BUCS fixtures, trips and events or club coaching is kept within the budgetary constraints. nsure that a database is maintained in relation to BUCS fixtures and results and that internal/external communications are sent around these through the relevant channels. Provide a BUCS administration service to include: Arranging fixtures and officials Booking facilities Team sheets Organisation of transport Be the first point of contact for BUCS captains nsure health & safety policies are followed First point of contact to deal with enquiries and problems nsure that entry and affiliation deadlines are met To coordinate BUCS individual entries and events Help teams arrange accommodation Work with colleagues to complete entries and relevant information on BUCS Assist and lead on enquiries from clubs regarding financial and other matters. Provide a trips administration service for clubs. Lead on the administration of transport systems for clubs. Assist MMU Sport in the administration of finance systems. Collate documents and records as required and maintain a filing system and databases. Administer and monitor the inventory of club equipment. Advise (the line manager) of any issues relating to discipline, H&S or failure to comply with policies. Administrative functions for club coaching evelop and maintain databases recording information relating to coaching. Have knowledge and understanding of safeguarding procedures in relation to coaching responsibilities.

3 nsure all club coaches hold appropriate minimum operating requirements, qualifications and that relevant safeguarding checks are undertaken to ensure records of club coaches and coaching qualifications are maintained. Liaise with HR and legal to ensure that all coaches are employed following the correct employment procedure, either directly through a contract for services, a casual worker form or through external organisations. nsure coaching invoices are submitted by deadlines agreed on the coaching contract, authorised by club signatories and processed in line with policies and procedures. Provide administration support for the recruitment process of club coaches Provide further administration support for the MMU Sport staff Attend and support key events, which may include but is not limited to Fresher's events, varsity and awards ceremonies. Organise training courses for club members to include Mini Bus driving courses and First Aid courses. Special Features The role will be required to co-ordinate work across University locations though will be predominantly based out of our Manchester office. Miscellaneous You have a legal duty, so far as is reasonably practicable, to ensure that you do not endanger yourself or anyone else by your acts or omissions. In addition, you must cooperate with the University on health and safety matters and must not interfere or misuse anything provided for health, safety and welfare purposes. You are responsible for applying the University s qual Opportunities Policy in your own area of responsibility and in your general conduct. You have a responsibility to promote high levels of customer care within your own areas of work. You are expected to co-operate with the PR process, engaging in the setting of objectives in order to assist in the monitoring of performance and the development of the individual. Such other relevant duties commensurate with the grade of the post as may be assigned by the Manager in agreement with you. Such agreement should not be unreasonably withheld. You may be required to undertake a specific Health & Safety role, commensurate with your grade, to support the University in meeting its statutory Health & Safety obligations. This could include acting as a S Assessor, First Aider, Fire Marshall or epartmental Safety Co-ordinator. The allocation of such roles will be subject to the provision of appropriate training and assessment of competence.
