1 Call for Applicants to Participate as AGIT Delegates Attending the 13 th GASEX Conference Hong Kong November 2014 The Australian Gas Industry Trust (AGIT) is offering three people working within in the Gas industry the opportunity to be part of the AGIT delegation attending the 13 th Gas information Exchange in the Western Pacific Area (GASEX) Conference and Technical Visit to be held from 18 to 21 November 2014 in Hong Kong. The first GASEX conference was held in 1990 and has become a bi-annual event for the gas related bodies in the Western Pacific region. GASEX consists of a conference, exhibition and technical visit and is an important gas industry event in Asia. The theme for the 13 th GASEX conference is Advancing the Gas Value Chain and covers advancing the Gas Market frontier both globally and regionally, developments and challenges in conventional and unconventional gas and improvement opportunities in the gas value chain. Information and a conference program can be found at The AGIT represents the Australian gas industry internationally as a Charter member of the IGU and is a founding member of GASEX. Within the Australian gas industry, the Trust contributes to the advancement of study, education and research in the Gas industry and related fields and to recognise and supports excellence in those fields. Additional information on the AGIT can be found at Three successful candidates will represent a cross section of the Australian Industry and will attend the Conference from Tuesday, 18 November to Thursday, 20 November and the technical visits on Friday, 21 November. AGIT will pay for the conference registration and Technical Visit and all reasonable travel, accommodation and incidental expenses. 2 1 OBJECTIVES AGIT GASEX Delegation PART A General Information Participating in an overseas delegation provides the opportunity for selected employees in the Australian gas industry to: increase their knowledge of the industry through visits to overseas natural gas and related organisations; increase their international contacts which will assist in maintaining communication and a flow of knowledge between relevant overseas organisations and the Australian gas industry; and broaden their outlook by experiencing different cultures and touring with other Australians from different parts of the industry. Successful applicants will attend the 13 th GASEX Conference as part of the Australian Gas Industry Trust s Delegation. The delegate will benefit from the knowledge, information, promotion, dialogue and networking opportunities associated with attending the conference and the subsequent technical visit. Delegates will participate in the daily Conference proceedings, the Welcome Reception, the Gala Dinner and the Technical Visit. Information about AGIT can be found at Details about GASEX and the 13 th GASEX Conference can be found at and the preliminary conference program can be viewed and downloaded at Applicants should review the programme to assess the benefits to them from attending the conference. 2 ELIGIBILITY The following guidelines apply: Applicants must be employed by organisations which are involved in the Australian natural gas industry. Approximately 40 years or under is the guideline age for applicants. Older applicants are welcome to apply and will be considered. Formal academic and professional qualifications will be considered but are not a necessary prerequisite. 2

3 Applicants are only eligible to participate in one AGIT funded overseas visit and applicants who have not previously benefitted from an AGIT funded study tour, training event or other funding will be given preference. 3 CONDITIONS The following conditions apply to the AGIT GASEX Conference Delegation: The Application must be forwarded to AGIT through the employer. Applicants must be able to attend an interview with the selection committee, if required. Applications must be submitted and endorsed by the applicant s Chief or Senior Executive or Manager and supported by a professional assessment provided by the applicant s immediate supervisor. Recipients cannot undertake additional work for their employer or any other organisation during the 13 th GASEX Conference and Technical visit. The delegate must attend the full conference, official functions and technical visit and must attend any delegate meetings and briefings as required. Applicants will be expected to declare any potential difficulties which could arise during their absence overseas. 4 ANNOUNCEMENT OF WINNERS AGIT GASEX Conference Delegation winners will be posted on the AGIT website All applicants will be advised in writing of the outcome of their application. 5 DURATION The AGIT GASEX Conference Delegation provides for the successful applicant to attend the 13 th GASEX Conference to be held in Hong Kong from Tuesday 18 November 2014 to Thursday, 20 November 2014, a technical visit to be held on Friday, 21 November 2014 and the City Tour. Delegates must arrive in Hong Kong by Monday, 17 November and remain as part of the delegation until the conclusion of the technical visit. The delegate is expected to attend each day of the conference including the Conference Opening Ceremony, Keynote speech, the Plenary and Break-out Sessions, the Gala Dinner and the Technical Visit. There are a range of alternative forums, panel discussions and technical sessions which should cater to the delegate s field of interest/employment. 3

4 6 APPLICATIONS Applications are to be made on the Form at Attachment B. The preferred method of transmission is via or post. The receipt of applications will be acknowledged within 5 days of receipt. It is the applicant s responsibility to ensure that an acknowledgement is received or to follow up with AGIT if not received within the acknowledgement period. 7 SELECTION The Selection Panel is drawn from the Australian Gas Industry Trust Board. All decisions of the Selection Panel shall be final. 8 ARRANGEMENTS Overseas travel and accommodation arrangements will be coordinated and arranged by AGIT. The Australian Gas Industry Trust Board or its nominated authority reserves the right to cancel the AGIT GASEX Conference Delegation prior to the departure or during the course of the conference for any or all of the Scholarship awardees, at the discretion of the Board. During the period of the AGIT GASEX Conference Delegation, employers must pay salaries, provide workers compensation coverage and maintain other benefits to which the employee would normally be entitled. 9 COSTS AND EXPENSES AGIT will cover the cost of the conference registration and technical visit, return economy airfares directly to and from Hong Kong and accommodation at the selected AGIT delegation hotel from the night of 17 November 2014 to the morning of 22 November AGIT will reimburse the cost of reasonable meal expenses which are not included as part of the conference, exit charges, travel insurance and incidentals incurred by the delegate during the conference and incurred as part of transiting directly to and from Hong Kong. All claims for reimbursement must be supported by documentary evidence of the expenditure. Recipients will be responsible for their own health cover, entertainment expenses, personal expenses and personal spending. Recipients are also responsible for the cost of airfares for additional travel and accommodation prior to Monday, 17 November 2014 and after the night of Friday, 21 November 2014 unless incurred as part of reasonable transit to and from the conference. 4

5 10 REPORTS AND PRESENTATIONS Recipients will be required to submit an article (suitable for publication in an industry journal) to AGIT within 30 calendar days of returning to Australia. The AGIT GASEX Conference Scholars (together or individually) will also be required to provide a written detailed report to the Australian Gas Industry Trust Board no later than 8 weeks after the conference (i.e. by Friday, 16 January, 2015). The recipients may be required to provide a presentation on their attendance at the 13 th GASEX Conference at an Australian industry conference, luncheon, dinner or event. Recipients may be asked to provide assistance to AGIT in the future by serving on a future Scholarship Selection Panel, be a contact to answer queries on experiences and outcomes from prospective future study tour applicants or to assist AGIT in other ways to meet its objectives. 11 PROFESSIONAL ASSESSMENT/ENDORSEMENT Supervisor s Professional Assessment The applicant s supervisor should provide a Professional Assessment of the applicant to accompany the AGIT 13 th GASEX Delegation application and cover: The applicant's field of work and achievements. Comment on why attendance at the conference is necessary or relevant to applicant s role. How the applicant would benefit from attending the conference, and Whether the applicant would have other opportunities to proceed overseas in the normal course of their employment. It should include the supervisor's opinion on the particular merit of the applicant in this field. The professional assessment should be approximately one and a half pages in length. Chief Executive's Endorsement The application and professional assessment must be endorsed by the Chief or Senior Executive within the organisation. The endorsement should include reference to the applicant's professional and personal merit to participate as a delegate and as a representative of the Australian gas industry. The endorsement should highlight the applicant's commitment to the industry, and the benefit to the applicant and to the Australian gas industry from his/her participation in the conference. 5
