1 Project Assistant Tubeho Neza Project Location: [Africa] [Burundi] Town/City: Bujumbura Category: Project Management Job Type: Fixed term, Full-time Section I JOB DESCRIPTION PURPOSE OF POSITION Provide the grant management administrative and coordination support throughout the project implementation pursuant of donor standards, timeline and budget. MAJOR RESPONSIBILITIES % Time Major Activities End Results Expected 25 Provide efficient and pro-active of coordination and administrative support to the Grant management in the development, planning, implementation, monitoring and evaluation of the grant in line with project documents (LEAP budget, PDD, DIP) Timely and result driven coordination evidenced by respect of the project deadlines and donor standards

2 15 Efficient management of all internal communication in relation to the Grant. On one hand, screening all enquiries and requests and handling them when appropriate; on the other hand collecting data, sorting, filing and sending out grant files to the right personnel, workers and stakeholders Timeliness in handling internal communication 15 Provide general administrative support by organizing and maintaining files and databases of grant documents and resources. All project files are systematically collected and recorded and all data bases are up to date. 10 Scheduling meetings and preparing presentations and taking minutes when appropriate; supporting the chief of party in managing outputs, work flow and office deadlines. All office deadlines are met 25 Provide logistical support for meetings, presentations, seminars and trainings being organized; Manage and coordinate all international travel arrangements including flights, hotel reservations and travel insurances in relation to the project. Timely and efficient logistical arrangements for all meetings and events 10

3 Prepare monthly reports to be submitted to the chief of party Monthly reports key achievement and emerging risks are submitted to the chief of party 100% KNOWLEDGE, SKILLS AND ABILITIES Minimum education, training and experience requirements to qualify for the position: Minimum Qualification required: Bachelor Degree in Business Administration, Communication, English literature or any related field Experience: Minimum 1 year experience in a similar role with a recognized organization preferably an NGO Experience with donor(s) funded projects would be an advantage Technical Skills & Abilities: Should have good public relations and exceptional communication and interpersonal skills Keen attention to detail and an aptitude for problem solving: able to proactively address potential issues Collaborative working style and team-player attitude Page 3/6

4 Positive and encouraging personality Able to work independently with minimum supervision Highly motivated with a strong work ethic Ability to manage time effectively Reliable, trustworthy, and committed to teams success Outstanding organizational skills and ability to prioritize tasks Flexibility and sensitivity to the socio-cultural setting of Burundi Able to thrive in a high-volume, deadline-driven work environment Good command of written and spoken English, French and Kirundi Excellent computer skills with proficiency in the use of MS word, Excel, PowerPoint, Access and other related packages Skills in negotiating and influencing Experience in results oriented planning Problem solving mind License, registration, or certification required to perform this position: Good command of written and spoken English, French and Kirundi

5 Very good reporting and experience capitalization skills Preferred Skills, Knowledge and Experience: List additional work experience preferred for this position. Experience with project cycle management Work Environment: Domestic Travel: 20% Regular and routine internal travel to project areas is required. International Travel on request: 5% international travel will be required for training, exchange visit and workshops On call: 15% in emergency and disaster situations, the position will be required to be oncall.
